There is no single best Microsoft Teams replacement for every team. Shortlist Slack if persistent, searchable channel conversations and integrations matter most; Zoom Workplace if you want meetings and chat in one service; and Google Chat with Meet or Cisco Webex if their wider suite fit or organization-specific requirements make them a better match. Compare the exact plans your team needs—not just free tiers or starting prices—before switching.
Which Microsoft Teams alternative should you shortlist?
Choose based on how your team works: is the main need ongoing team discussion, video meetings, or a collaboration service that fits the productivity suite and controls you already use? The options below are candidates to evaluate, not a test-based ranking.

How do the free plans compare?
Free plans can be useful for trials or small teams, but they may restrict meeting duration, message history, integrations, or group calls. For example, Slack’s official free-plan page says, “Messages are saved and searchable for 90 days.” Slack Free also has one-to-one huddles; its Pro plan includes unlimited history, app integrations, and group huddles. Check Slack’s free-plan details for current terms.
Zoom’s official pricing page displayed its Basic plan as free with meetings of up to 40 minutes and 100 participants, and described Team Chat. A secondary comparison page updated September 12, 2026 reported free group-meeting durations of 40 minutes for Zoom and Webex, and 60 minutes for Google Meet and Microsoft Teams. Those figures are a dated comparison, not guaranteed current vendor terms; check each provider’s own plan page before relying on them.

A headline monthly price does not tell you what your organization will pay. Compare the plans that satisfy your requirements at your actual seat count, billing cadence, region, and add-on needs. Vendors may use different billing units and include different capabilities; the secondary comparison notes these differences but should not replace vendor quotes or current plan pages.

- Check whether the service supports the channels and direct-message patterns your teams use.
- Confirm whether external guests or partners can collaborate as needed.
- Test search against realistic questions, and verify how long messages remain available and searchable on the plan you would buy.
Meetings
- Match participant limits and group-call duration to your largest regular meetings.
- Confirm whether recording and transcription are available and whether they require a particular plan or add-on.
- Consider whether it is useful for chat and meetings to share one workflow, as Zoom Workplace does with Team Chat and meetings.
Suite fit and integrations
Map the tool to the calendars, identity systems, business applications, and data workflows your organization already depends on. Google Chat and Meet may merit a closer look in an organization invested in Google Workspace; Slack is worth evaluating when broad app integrations are a priority. Confirm compatibility and administration details for your actual environment rather than assuming a suite label guarantees a fit.
Security and administration
List required controls—such as SSO, user provisioning, audit logs, encryption, compliance evidence, and data-location choices—and confirm which are included in the exact plan under consideration. The available cross-platform security comparison is secondary; treat its descriptions as leads to verify in current vendor documentation, not as proof that a particular plan satisfies your requirements.

How should you evaluate a switch from Teams?
- Inventory what matters. Identify important chat history and files, retention obligations, meeting workflows, integrations, and the user groups that rely on them.
- Write down must-haves. Specify message-history duration, meeting capacity, required controls, and the applications and identity systems the new service must work with.
