Do not upload a live attendee list or connect a CRM until the vendor can show exactly what data the feature receives, who can access it, where it is processed, how long it remains, and how you can delete it. Start by defining the event task and sending only the fields required for that task. Then obtain written answers on controller and processor roles, lawful basis, model training, subprocessors, transfers, retention, security, permissions, human review and exit. If any answer is vague—especially about downstream providers, logs, deletion or inherited API permissions—pause the integration. A synthetic or minimized pilot is safer than testing with real attendee records.

What data does the event-planning AI actually need?

Ask the vendor to list every input field, not just the name of the feature. An agenda assistant may need session titles, descriptions, speakers and exhibitor information; it may not need attendee names, email addresses, payment records or free-text notes. The Information Commissioner’s Office (ICO) recommends a detailed data specification and omission of more sensitive material when it is unnecessary.

Use a field-level specification

Request a written mapping that shows the source system, field, purpose, recipient and retention period. Separate ordinary event content from personal and high-risk data. Mark each field as required, optional or prohibited, and configure the connection so prohibited fields cannot be sent accidentally.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Usually lower risk: event title, venue, public session description, exhibitor name and published schedule.
  • Personal data requiring a clear purpose: attendee name, work email, employer, registration status, dietary preference and session attendance.
  • High-risk or special-category data: health or accessibility information, identity documents, payment details, precise location, criminal-record information and sensitive free-text notes.

Ask whether names and direct contact details can be replaced with stable pseudonyms, and whether synthetic records can be used while configuring prompts, workflows or permissions. Minimization is an operational control: if a field is not needed for the stated task, leave it out rather than relying on a policy promise.

Who is the controller, processor or separate controller?

Get a role-by-role data-flow diagram and identify the legal party for each step. Your organization, the event platform, an AI feature provider, a model provider, a badge-scanning company and a sponsor may not all have the same role.

A standard processor DPA may be wrong when a recipient uses attendee details for its own purposes. Linux Foundation event-sponsorship guidance notes that a party receiving contact details through badge scanning, a sponsor portal or an attendee opt-in can be a separate controller rather than a processor of the sponsor’s data. Ask who decides the purpose and means of each disclosure, whose privacy notice applies, and which agreement governs it.

Questions to put in writing

  • Which entity is controller, processor, joint controller or separate controller for each transfer?
  • What contacts are responsible for privacy, security and rights requests?
  • Which DPA, joint-controller arrangement or data-sharing agreement covers the step?
  • Can the vendor show the subprocessor list and explain each provider’s role?

What lawful basis and notice support the sharing?

The vendor should explain the lawful basis for each purpose and how it is disclosed to attendees. The ICO states that organizations must clearly explain their lawful basis for sharing data. Do not treat a generic “legitimate interests” statement as a complete analysis: document the purpose, necessity, balancing assessment and any consent requirement for the actual event workflow.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ask how people can withdraw consent, access or correct their data, object to a use, restrict processing and request deletion. Establish which organization receives the request, the response deadline, and how the vendor propagates it to model providers, logs, backups and connected systems. If special-category data is involved, require the additional condition and safeguards in writing; a vendor’s general privacy statement is not a substitute for your own assessment.

Will prompts, outputs or logs train a model?

“No training” is only one question. Ask separately whether prompts, generated text, uploaded files, feedback, usage analytics, safety traces, metadata, support tickets or derived profiles are used to train, fine-tune, improve, advertise or benchmark any model or service.

Require a precise data-use statement

Clarify whether the restriction applies to the event vendor, every model provider and every subprocessor. Ask whether the setting is on by default, available on every plan, and enforceable by contract rather than merely described in marketing copy. Confirm whether human reviewers can see content for quality assurance or abuse investigations.

CventIQ currently says it does not use customer prompts or generated outputs to train third-party AI models and that no Cvent customer data is retained or used for model training. Sessionboard says its data is not used to train the model and describes closed, stateless provider-side processing. These are vendor disclosures, not universal guarantees; verify the exact plan, configuration, contract and policy date.

Which models, subprocessors and support teams can access the data?

Ask for the complete provider chain, including named model providers, hosting companies, analytics services, contractors and support personnel. A front-end event platform may send content to an enterprise model API when an assistant is invoked. Require notice before a new provider is added, a practical objection process, and an explanation of what happens during emergency substitutions.

Ask whether support staff can access live prompts or outputs, under what approval and logging controls, and whether access is limited to a region or customer tenant. Confirm that subcontractors are bound to equivalent confidentiality, security, deletion and rights-request obligations.

Where are live data, backups and support access located?

Separate the location of primary processing from backups, disaster-recovery copies, log storage and remote support access. Ask which countries may receive data, what transfer mechanism applies, and whether your organization can select a region or prohibit particular locations.

Eventtia’s September 1, 2026 privacy policy describes EU or US hosting depending on user location, validated subprocessors and disclosure to the selected AI provider when its assistant is invoked. Sessionboard describes enterprise APIs primarily hosted in the United States. Treat these statements as configuration-dependent: confirm your tenant’s region, the provider’s current list and the contractual transfer safeguards.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How long are inputs, outputs, logs and backups retained?

Request separate retention periods for raw prompts, uploaded files, outputs, question-and-answer logs, audit metadata, support records, backups and copies in connected systems. Ask whether retention starts at submission, account closure or the end of a support case, and whether legal holds or abuse investigations extend it.

Cvent gives a concrete vendor example: its current FAQ says question-and-answer logs are retained for 30 days for quality assurance. That duration is not an industry benchmark. Ask whether the 30-day period applies to every customer, whether prompts and generated outputs follow the same rule, and how deletion from backups is handled.

Make deletion verifiable

Require a deletion workflow that identifies each system and subprocessor, states the completion time, and produces a certificate or other evidence. Test the process with a non-sensitive record before production. Confirm that disabling an AI feature stops new collection but does not silently leave historical logs or connected-system copies behind.

What security evidence and incident terms are available?

Ask for current security documentation appropriate to the risk: SOC 2 or ISO 27001 attestations, penetration-test summaries, encryption details, access-control design, vulnerability-management procedures, security-awareness training evidence and relevant compliance audits. New York State Department of Financial Services guidance recommends risk-based ongoing monitoring and contract terms covering data location, subcontractors, deletion or migration at exit, AI training restrictions, remedies and monitoring evidence. Those recommendations are especially useful for regulated organizations, but they are not a universal legal checklist.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Get the incident definition, notification deadline, communication channel, investigation duties and cost allocation in the contract. Ask whether the vendor will preserve evidence, support regulator or attendee notices, and provide a post-incident report. Confirm recovery objectives for the event records you depend on, not just the AI feature’s availability.

What permissions does the AI receive, and can a human stop it?

Map every API scope, role and action the assistant can perform. Read-only access to a schedule is materially different from permission to edit registrations, send messages, export contacts or publish content. Require least privilege, separate service accounts, short-lived tokens and independent revocation.

Eventtia says its MCP server inherits the scopes and permissions of the user’s API token. A broad token therefore creates a broad AI access path. Use a narrowly scoped token, document its owner and expiry, and verify that revoking it immediately blocks the assistant.

Control consequential actions

  • Require human approval before publishing schedules, sending attendee communications, changing registrations or making eligibility decisions.
  • Keep immutable action logs showing the prompt, tool call, account, time, result and approver.
  • Provide a kill switch that administrators can use without vendor support.
  • Review outputs for inaccurate, discriminatory or confidential content before distribution.

CventIQ describes human-in-the-loop review where reasonable and allows customers to disable AI features. Confirm how those controls work in your plan and whether they cover automated actions as well as generated text.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can the organization disable the feature and leave cleanly?

Exit terms belong in the initial decision. Ask how to disable AI, revoke tokens, export event data and prompts, return or delete vendor copies, and obtain deletion evidence across subprocessors and backups. Clarify whether an account can remain active without AI and whether disabling it affects ordinary event functions.

Require cooperation with access, correction, objection, restriction and deletion requests after termination. Define transition assistance, export format, notice periods, fees and the deadline for final deletion. Include a process for challenging a new subprocessor or model provider and a remedy if the vendor cannot meet the agreed controls.

What should the DPA or data-sharing agreement contain?

Use the agreement to turn the vendor’s answers into enforceable duties. The ICO’s data-sharing guidance supports provisions covering organizations and contacts, exact data items, permissions, lawful basis, special-category safeguards, individual-rights responsibilities, retention and deletion, technical and organizational security, staff training, complaints, termination and return or deletion.

Add AI-specific language that states:

  • Permitted purposes and prohibited secondary uses, including training, advertising, profiling and model benchmarking.
  • Named model providers and subprocessors, change notices and objection rights.
  • Processing, backup and support locations and transfer safeguards.
  • Retention periods for every data class and deletion certification.
  • API scopes, human-approval requirements, audit logs and independent revocation.
  • Incident notice timing, cooperation, audit evidence and recovery commitments.
  • Export, migration, rights-request propagation and post-termination deletion.

Vendor disclosure What it says Questions still to verify
CventIQ Processes ordinary event-content fields; prohibits sensitive personal information; says customer prompts and outputs are not used to train third-party models; cites 30-day question-and-answer log retention for quality assurance; supports disabling AI and human review where reasonable. Does the prohibition cover every provider and plan? What are retention periods for prompts, outputs, backups and support records?
Sessionboard Sends structured session and speaker content to enterprise APIs, primarily hosted in the United States; describes closed, stateless provider processing, no provider training on customer data, and storage of output and relevant metadata for quality control, auditability and historical context. Which providers and regions apply to your account? What metadata is stored, for how long, and can it be deleted?
Eventtia Its September 1, 2026 policy says the MCP server inherits API-token scopes; higher-risk fields are returned only when explicitly requested for a workflow; selected AI providers receive data when invoked; hosting may be EU or US depending on location; token revocation and privacy-rights mechanisms are described. What scopes does your token have? Which provider, region and subprocessor apply at invocation, and how quickly does revocation take effect?

  1. Define the task. Write the intended output, users, decision impact and success criteria.
  2. Create the minimum schema. Remove names, direct contacts, free text, payment and sensitive fields unless each is necessary and authorized.
  3. Use synthetic records. Populate realistic but fictional attendees, sessions and companies to test prompts, permissions, logs and deletion.
  4. Review the contract. Match the data-flow diagram to the DPA, privacy notice, subprocessor list, transfer terms and AI-use restrictions.
  5. Configure least privilege. Use a dedicated, read-only or narrowly scoped token, set an expiry and document the revocation owner.
  6. Test rights and exit. Submit a test deletion, export and access request; disable the feature; revoke the token; and request evidence of downstream deletion.
  7. Approve production use. Involve privacy or legal specialists when data is sensitive, transfers cross borders, or outputs influence consequential decisions.

The correct answer is “not yet” when the vendor cannot identify the flow, lawful basis, downstream providers, retention, deletion or exit process. Keep live attendee records out of the integration until those gaps are resolved and the remaining risk is documented.

Frequently Asked Questions

Can I paste an attendee list into an event-planning AI?

Only after confirming the purpose, lawful basis, recipient roles and minimum required fields. Replace direct identifiers with pseudonyms or synthetic records where possible, and obtain approval for any sensitive or high-risk information.

Is a vendor’s “no training” promise enough?

No. It does not answer whether prompts, outputs, logs, metadata, support tickets or backups are retained or viewed by people and subprocessors. Request contractual limits on every secondary use and a deletion path for each data class.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How can I prove that attendee data was deleted?

Ask for a system-by-system deletion record or certificate that covers the vendor, model providers, subprocessors, backups and connected event systems. Run a deletion test before production and check whether legal holds or support cases create exceptions.

Does GDPR- or CCPA-compliant wording make an event AI safe to use?

No single label resolves controller roles, lawful basis, transfers, retention or automated-decision obligations. Your privacy or legal team must assess the actual attendees, locations, fields, contracts and configuration.

What if the AI provider changes its model or subprocessor?

The contract should require advance notice, identify an objection or termination route, and preserve equivalent security, purpose, transfer and deletion controls. Reassess the data flow before allowing the new provider to receive live records.
