Microsoft 365 add-ins are not automatically safe or unsafe. Microsoft provides permission boundaries, Marketplace submission requirements, and administrator controls, but an add-in’s risk depends on the access it requests and how its provider handles information. Before installing one, check its publisher, permissions, and privacy policy; for a work account, follow your organization’s approval process.
How Microsoft 365 add-ins work
Office Add-ins combine a manifest—which declares information such as permissions—with a web application that supplies the add-in’s interface and logic. Microsoft says add-ins use web technologies and run as web content in a browser control or iframe, in a runtime separate from the Office client. Depending on its capabilities and declared access, an add-in may read or write information in the active document or mail item. Its hosted web code can change over time, so the manifest alone does not describe every detail of how the service behaves.
That makes an add-in more than a feature installed inside Word, Excel, or Outlook: it may communicate with the provider’s service or other web services. Microsoft’s guidance requires SSL for communication with the host and other web services, but encrypted transport does not tell you what the provider does with data after receiving it. Check the specific add-in’s privacy policy and the services it describes.
What permissions can an add-in access?
Word, Excel, and other document add-ins
An add-in’s manifest declares its Office access. Permission levels determine which Office JavaScript APIs are available, creating a boundary around what the add-in can do. Microsoft recommends least privilege: an add-in should request only the access its features need. For example, Microsoft’s documentation says write-document permission allows writing selected data but does not grant document-reading methods.

Compare the requested permission with the feature you want. If a tool that appears to perform a narrow task requests broader access than seems necessary, pause and check its documentation or ask your organization’s administrator before proceeding.
Outlook add-ins
Outlook permissions can expose information in the current message or more of the mailbox, depending on the scope:

- Restricted access: limited to the current item.
- Read-item access: can include personally identifiable information on the current item, such as sender and recipient names and email addresses.
- Read/write-mailbox access: broader mailbox access; Microsoft says installing an add-in with this permission requires administrator privilege.
Check the permission request shown for the add-in, and consider whether that access fits its purpose. The privacy policy should also explain the provider and its handling of data.
Separate Microsoft Entra consent
An add-in’s Office manifest permissions are not the same as permissions requested by a separate Microsoft Entra application. An app may request access to organizational data, and whether a user or administrator must consent depends on the requested scope and the tenant’s settings. Users cannot consent to permissions that require administrator approval. Treat an Entra consent prompt as a separate decision: follow workplace policy and ask IT if the request is unclear rather than approving it automatically.

What Marketplace listing does—and does not—tell you
Microsoft Marketplace submissions have baseline requirements, including SSL communication, proof of developer identity, a contractual agreement, and a compliant privacy policy. Marketplace users can review an add-in’s requirements and privacy policy; Outlook add-ins that interact with mailboxes surface their requested permissions.
These are useful signals to inspect, not a guarantee that an add-in is suitable for every user, type of data, or workplace policy. Microsoft also advises caution with unknown add-ins. Marketplace availability does not replace reviewing permissions, the publisher, and the privacy disclosure.

How organizations can control add-ins
Administrators can manage Marketplace access and deploy add-ins to selected users, groups, or everyone. Microsoft recommends a phased rollout that begins with a small group of business stakeholders and IT staff before expanding deployment. Entra consent settings can also restrict which applications users are allowed to authorize; Microsoft recommends limiting user consent to applications from verified publishers to reduce the risk of malicious apps.
There is an important difference between an add-in’s hosted code and its manifest. The web code can change without a change to the manifest’s declared permissions. Some manifest changes in an admin-deployed add-in—such as changes to requested permissions, scopes, or events—require administrator consent again before users receive the update. That does not mean every code change produces a new permission prompt.

Checklist before installing an add-in
- Confirm the publisher. Check that the add-in is the one you intended to install. With a work account, verify that your employer approves it.
- Inspect the permission request. Match the requested access to the feature. In Outlook, distinguish access to the current item from broader mailbox access.
- Read the privacy policy. Look for what information the provider’s service handles and any connected services the policy describes.
- Evaluate any Entra prompt separately. It may request organizational-data access beyond the Office add-in manifest. Follow your organization’s policy and ask an administrator when in doubt.
- For workplace deployments, use a controlled rollout. Ask the administrator to assign the add-in to a small group first and manage deployment centrally.
How to compare two add-ins for the same job
There is no universal safety ranking for add-ins. Compare the specific tools against the same criteria:
- The document or mailbox permission requested, including its scope.
- Whether the feature appears to need that level of access.
- How clearly the publisher identifies itself and explains data handling in its privacy policy.
- Whether a separate Entra consent prompt appears, what it requests, and who is authorized to approve it.
- Whether your organization has approved the add-in and controls its deployment.
A listing or permission label is a starting point for review, not a substitute for considering the provider’s service and your data-handling requirements.
