You can share business metrics without asking everyone to open a dashboard: send scheduled reports, notify people when a threshold is crossed, track goals in a KPI scorecard, distribute files, or embed analytics in an app your audience already uses. Choose based on whether people need a recurring summary, an exception alert, progress against goals, detailed data, or an interactive view.
Choose the format around the decision
First decide what recipients need to do with the information. A routine update, an urgent exception, progress against a target, and an in-depth investigation are different communication jobs; they do not necessarily belong in the same report.
- Routine cadence: send a scheduled report when people need the same update at regular intervals.
- Exception-based need: use an alert when a defined condition matters more than a calendar schedule.
- Progress against goals: use a scorecard to keep a small number of measures tied to objectives.
- Detail or reuse: provide a file or spreadsheet when recipients need to archive, print, attach, or analyze the data.
- Existing application: embed metrics when the audience should see them inside a CRM, product, or internal tool.
Then check whether the information must be interactive, how fresh it needs to be, who is allowed to see it, and what setup and maintenance the workflow requires.
Scheduled reports for recurring updates
A scheduled report delivers a snapshot or data extract on a chosen cadence, putting metrics into email or a collaboration workflow rather than requiring readers to visit a dashboard. It suits routine updates where recipients benefit from receiving the same view at predictable intervals.

Delivery destinations and configuration vary by product. Apache Superset documents reports sent by email or Slack; its alerts and reports are disabled by default and require configuration, including a suitable headless browser. Looker documents instant or recurring deliveries to email, webhooks, Amazon S3, SFTP, and some integrated services. HubSpot describes sharing reports by email, Slack, or Google Chat, as well as recurring email schedules.
A snapshot is not the same as an interactive dashboard: recipients may not be able to explore underlying detail from the message itself. Consider whether the report shows when its data was refreshed, whether the cadence matches the decision, and whether recipients can access any linked content.
Threshold alerts for important exceptions
An alert is for a condition, not a routine digest. Use one when a recipient should be notified because a measure has crossed a defined boundary or a query has returned a result that meets a condition.

Superset describes alerts triggered when a SQL condition is reached, while Looker documents alerts that trigger when query results reach or exceed a specified threshold. An alert therefore needs both a clear condition and a route to its recipient. A threshold that is too sensitive can create noise; one that is too broad may fail to flag the event that matters. Confirm the product supports the intended trigger and destination in your edition and configuration.

KPI scorecards for tracking goals
A scorecard is useful when the central question is whether a team or organization is progressing toward goals—not when readers need a full exploration of every underlying measure. Microsoft Learn defines a KPI as “a measurable value that shows how effectively you’re meeting your goals” and describes KPIs as a company scorecard for assessing delivery against objectives. Keep the scorecard focused on measures connected to objectives, with enough context for readers to interpret progress. A report can provide supporting detail, while the scorecard foregrounds goal status. Avoid presenting a metric without its target, time period, or definition if those details are needed to understand what progress means.

Exports and printable reports for files and analysis
Distribute a file when recipients need a record to archive, a document for a meeting, or data to work with in a spreadsheet. These are distinct uses: a PDF or image preserves a visual snapshot, while CSV or XLSX is more suitable for working with chart-level data.
Microsoft Business Central describes reports that can be used in Excel, printed, or saved as files. Apache Superset documents PDF and PNG deliveries for dashboards or charts and CSV or XLSX exports for chart-level data. Grafana documents PDF, CSV, and embedded-image report attachments; its reporting feature has a default 10 MB attachment limit, which can be changed in configuration.

A rendered report may be easy to read but hard to reuse as data; a spreadsheet extract may be useful for analysis but lack the visual context of a report.

Embedded metrics for audiences inside an application
Embedding places reports or metrics in a CRM, product, or internal application people already use. This can suit staff workflows or customer-facing experiences where users need relevant information alongside the work they are doing. Microsoft describes embedded BI as placing content within existing applications and notes that APIs and integrations connect and manage those components. Microsoft’s Power BI embedded analytics documentation covers this approach.
Embedding requires more than putting a chart on a page. Plan for engineering effort, authentication, data permissions, security, and ongoing integration maintenance. Decide whether the audience is internal staff or external customers, and make sure each user can see only the data they are authorized to access.

Check availability and access before rollout
Feature availability can differ by vendor, edition, deployment, and configuration. Confirm the intended destination, file type, alert behavior, and recipient access in the specific product setup before building a workflow. For example, Superset requires configuration for alerts and reports, and Grafana’s documented default reporting attachment limit is 10 MB.
Also decide how recipients will access the information. Email and chat delivery may still link to content that requires a login; exports can be forwarded beyond their intended audience; and embedded analytics need permissions that match the underlying data. Include only the data recipients should see, and choose a delivery route that fits your organization’s access controls.
