Before entering sensitive information into a chatbot, turn off model training or improvement, disable memory and personalization where possible, review chat retention, and remove unnecessary connected apps or uploads. For work or school information, use an approved managed workspace rather than a personal account. These settings can reduce reuse and persistence, but they do not make information safe to disclose if your law, employer, or organization’s policy forbids sharing it.
Which privacy controls matter most?
Think about chatbot privacy in four separate areas: whether conversations may be used to improve models, whether details can be saved for personalization, how long chats remain available, and who can administer or audit the account. A change in one area does not necessarily change the others. For example, turning off model training can leave chat history intact, and deleting a conversation does not necessarily remove a saved memory.
Use this order before asking a sensitive question:
- Check your account type. Identify whether you are signed in to a personal account or an organization-managed work or school account. Do not assume that a work-related question in a personal account receives workplace protections.
- Turn off training or model improvement. Look for the product’s control governing use of your conversations to improve models.
- Disable memory and personalization, or use a temporary mode. These controls address persistence and tailoring, not the same thing as model training.
- Review history and retention. Delete conversations you no longer need, and check whether your account or administrator sets a retention period.
- Minimize what you disclose. Remove names, account numbers, exact addresses, medical record numbers, and proprietary identifiers when they are not essential to the question.
- Check connected services and files. Review permissions before connecting an app, and do not upload a document simply because it is convenient.
If the product’s current controls or terms are unclear, treat that uncertainty as a reason not to enter the sensitive material. A privacy toggle is a reduction in a particular type of data use, not a general promise of confidentiality.

On a personal ChatGPT account, open Settings → Data controls and switch off “Improve the model for everyone.” OpenAI says new conversations are then not used to train its models, but they may still remain in chat history, according to its Help Center article Data controls in ChatGPT.

This setting is forward-looking: it applies to new conversations after the control is off. It is not a command to delete conversation history, and it does not establish that a model already trained on earlier data is changed or retrained. If you want old conversations removed from your account, handle that separately through the product’s history controls.
For business use, the account context matters. OpenAI says Business and Enterprise content is not used for training by default. That default is different from an individual user changing a personal-account setting. Check that you are actually using the organization’s managed workspace and follow its rules for approved data before relying on the business default.
What should I change in Microsoft Copilot?
For a signed-in consumer Copilot account, review the controls for training, personalization, memory, and usage data separately. Microsoft’s Copilot privacy documentation describes “Training on conversation activity” and “Training on voice conversations” controls, as well as controls to disable personalization and memory and to manage Microsoft usage data used for personalization.
Do not infer that turning off one control turns off the others. Microsoft says training opt-out and personalization can be changed independently. If you use voice, check its training control as well as the one for conversation activity rather than assuming a text setting covers both.
Microsoft’s privacy FAQ also cautions users not to provide confidential or sensitive personal data they would not want Microsoft to use for purposes explained in that FAQ and its Privacy Statement. That is a practical boundary: if a detail is too sensitive to be handled under the service’s stated terms, a toggle should not be treated as permission to submit it.

Does Temporary Chat really delete a conversation?
Temporary Chat is a separate privacy control intended for a one-off interaction; it should not be confused with deleting a saved conversation or clearing memory. OpenAI’s Privacy Center identifies Temporary Chat as its own control and notes that deleting a chat does not automatically delete a memory.
That distinction matters when a chatbot has personalization features. A conversation and a saved memory are different forms of stored information, so removing one may not remove the other. Before sharing a detail you do not want retained for future personalization, check the memory controls and the product’s current explanation of what temporary mode does.
Temporary chat can reduce persistence for a particular exchange, but it does not override law, employer rules, or confidentiality obligations. It also does not make an unsafe disclosure safe simply because the conversation is not intended to appear in ordinary history. Use the minimum information needed, and do not submit information that your organization prohibits sending to an external service.
How long are conversations kept, and should I delete old chats?
Retention is separate from training. A chat may remain in history even when it is excluded from model training, so review and delete conversations that you no longer need. Deletion is useful for reducing what remains accessible in the account, but it should not be mistaken for deleting saved memories or controlling every copy an organization may retain under its own policies.
Microsoft says consumer Copilot conversation activity is retained for 18 months by default in its current privacy FAQ and control documentation. The figure is specific to consumer Copilot documentation; do not generalize it to other products, account types, or managed workspaces.

For ChatGPT Business and Enterprise, administrators control retention settings. OpenAI’s Enterprise privacy page, dated January 8, 2026, says business customers control retention. OpenAI Academy guidance published in 2025 and updated in 2026 says Enterprise owners can set a custom ChatGPT retention policy with a minimum of 90 days. A shorter retention period can reduce how long information remains available, but it can also reduce searchability, continuity, and personalization.

For a managed account, ask the administrator what retention policy applies before entering regulated, confidential, or customer data. A user-facing delete button may not tell you the organization’s full retention or audit policy.
Is a work or school account safer than a personal account?
An approved managed workspace can provide stronger organizational controls and a no-training default, but it can also give authorized administrators visibility into interactions. A work account is not automatically private from the employer; it is a different governance context with both protections and oversight.
Microsoft Copilot Chat for work or school
Microsoft says Copilot Chat used with a work or school account provides enterprise data protection. Prompts—including work content added to them—and Copilot responses are not used to train foundation models. Microsoft also says chat data is encrypted during the session, while prompts, Bing searches, and responses are logged for administrator audit. IT administrators can view those logged interactions.
That combination may suit approved work tasks: organizational data protections and training exclusion coexist with administrator audit. Do not use a managed account to bypass data-handling rules; the organization’s permitted use and retention policy still apply.

OpenAI Business and Enterprise
OpenAI says Business and Enterprise content is not used to train models by default. It also says administrators control retention, authentication, and connected internal sources. Those features can support organizational governance, but they do not establish that every employee can submit every kind of sensitive information. Follow the organization’s approved-use rules and confirm the workspace’s settings with its administrator.
Questions to settle with your administrator
- Which chatbot account or workspace is approved for the information you need to use?
- What retention period and deletion process apply to prompts, responses, files, and logs?
- Which administrators or other authorized roles can review interactions?
- Are connected internal sources enabled, and which information can they expose to a prompt?
- Are there categories of personal, regulated, client, or proprietary information that must not be entered?
What should I remove before pasting text or uploading a file?
Give the chatbot only the smallest excerpt needed to solve the task. If the question is about wording, a short redacted passage may be enough; the model usually does not need the person’s identity or the full underlying record to help with phrasing.
- Replace a person’s name with a neutral label such as “Customer A.”
- Remove account numbers, medical record numbers, exact home or work addresses, and other identifiers that do not affect the answer.
- Replace proprietary project, product, or customer names with generic descriptions.
- Remove unrelated rows, pages, attachments, and metadata from a file before uploading it.
- Review the result of redaction: a unique combination of details can still identify a person or reveal confidential work.
Also inspect connected apps and their permissions. OpenAI’s Privacy Center treats connected apps as a distinct data-use area. Connecting a service or attaching a file can expose more information than the text you intended to ask about, so grant access only when the connection is necessary and you understand its scope.
Privacy obligations can apply both to personal information entered into an AI system and to generated output that contains personal information. The Office of the Australian Information Commissioner’s guidance, published October 21, 2024 and updated January 17, 2025, recommends due diligence, human oversight, risk assessment, access review, and transparent policies. Those are organizational safeguards as well as individual habits; do not assume that a chatbot’s settings transfer your legal or policy responsibilities to the provider.

A settings checklist reduces particular risks, but it cannot guarantee that sensitive information will remain confidential in every context. In particular:

- Training opt-out is not history deletion. Excluding new conversations from training does not by itself remove them from chat history.
- Temporary mode is not a policy exception. It does not make prohibited or legally restricted disclosures permissible.
- Memory is not the same as chat history. Deleting a conversation may leave a separately saved memory in place.
- Managed accounts are auditable. Enterprise protections can coexist with administrator logs and access.
- Redaction can be incomplete. Context, file contents, or distinctive combinations of facts may still reveal identities or trade secrets.
When the consequences of exposure are high, ask whether the task can be completed with synthetic, public, or properly anonymized information—or handled through an approved internal system instead. If the answer depends on a contract, regulation, or company policy, obtain guidance from the responsible privacy, security, legal, or compliance contact rather than guessing from a product toggle.
What is a practical pre-chat checklist?
Before sending a prompt that touches sensitive work or personal information, verify the following:
- You are in the correct personal or managed account for the task.
- Training or model-improvement controls are set as intended for that account.
- Memory and personalization are off, or you are using the appropriate temporary mode, if persistence is not wanted.
- You understand the applicable history, retention, deletion, and administrator-audit rules.
- Connected apps and uploaded files expose no unnecessary information.
- Names, identifiers, and proprietary details have been removed unless they are essential and permitted.
- The information is allowed by the relevant law, contract, and organizational policy.
If any item is unclear, pause and ask the account owner or privacy/security contact. The safest prompt is often a narrower prompt that gives the chatbot enough context to answer without disclosing the underlying sensitive record.
Frequently Asked Questions
Can I use a chatbot to analyze medical or customer records if I remove the names?
Removing names is not always enough: a record can still identify someone through its details or context, and privacy obligations can apply to both input and generated output. Use only a system and workflow approved for that data, and consult your organization’s privacy or compliance contact when the rules are unclear.
Can an Enterprise owner set ChatGPT retention below 90 days?
OpenAI Academy guidance published in 2025 and updated in 2026 says Enterprise owners can set a custom retention policy with a minimum of 90 days. That statement concerns ChatGPT Enterprise; it should not be assumed to describe consumer accounts or other products.
Does turning off voice training in Copilot also turn off text training?
Microsoft documents separate controls for training on conversation activity and training on voice conversations. Review the setting for each activity you use instead of assuming one opt-out covers both.
Can my employer read prompts sent through a work chatbot?
It depends on the product and organization’s configuration, so ask the administrator what is logged and who can review it. For Microsoft Copilot Chat with a work or school account, Microsoft says prompts, Bing searches, and responses are logged for administrator audit and can be viewed by IT administrators.
