The right speech-to-text app depends first on whether you need to dictate directly into a document or turn an existing voice message into text. For Microsoft Word, use Word Dictation for live typing and Word Transcribe for recorded audio; for Google Docs, use Voice Typing for live dictation; on a Mac, Dictation can enter text into the app you are using. If you need to retain and search conversations or meetings, consider Otter. None of the cited product documentation establishes a universal accuracy winner.

Do you need to dictate live or transcribe a recording?

Live dictation sends your speech into an open document as you speak. Recording transcription starts with audio that already exists—or captures audio for later review—and turns it into a transcript. Those are different workflows, so choose based on the source of your words.

Microsoft Word: Dictation for new speech, Transcribe for recorded audio

In Word, choose Home > Dictate to speak directly into a document. Microsoft describes Dictation as a way to draft content, outlines, and notes; you can speak punctuation, navigation, and special-character commands. It requires a microphone and reliable internet. For a message that has already been recorded, use Home > Dictate > Transcribe. Upload a WAV, MP4, M4A, or MP3 file, or record directly in Word. Word creates a transcript with speaker separation and timestamps; you can play audio alongside the text, edit the transcript, and insert the full transcript or selected snippets into the document. Google Docs: Voice Typing for live speech

Open a document and choose Tools > Voice typing, then select the microphone and speak. Google’s instructions cover voice typing and voice editing in Docs, as well as dictating speaker notes and captions in Slides. A working computer microphone is required, and the documented workflow is live voice input rather than uploading an existing audio memo for transcription. See Google’s voice typing guide.

Mac: Dictation at the insertion point

On a Mac, place the cursor where the text should go, then start Dictation with the microphone key, a keyboard shortcut, or the Edit menu. You can select languages in Keyboard settings and switch among them while dictating where supported. This is useful when you want speech entered into the app already open—rather than moving the writing workflow into Word or Google Docs. Apple notes that language and region availability varies. Otter: conversations and meetings

Otter is a cloud service to consider when you need to retain, search, or share meeting and conversation transcripts, rather than simply dictate into a document. Its pricing page describes meeting and imported-file transcription, with limits depending on plan. You may need to copy or otherwise move the resulting text into your work document; the cited page does not establish direct insertion into Word or Google Docs. Where is the audio stored, and who can access it?

Audio handling is feature-specific, so check the applicable vendor statement against your workplace’s rules before transcribing confidential material.

  • Word Dictation: Microsoft says, “This service does not store your audio data or transcribed text.” It also says utterances are sent to Microsoft to return text results. This statement applies to Dictation, not Word Transcribe. Microsoft explains the Dictation data handling.
  • Word Transcribe: Uploaded or recorded audio is saved in the OneDrive Transcribed Files folder; Microsoft says you can delete it there. This differs from the no-audio-storage statement for Word Dictation. Microsoft’s Transcribe instructions.
  • Google Docs Voice Typing: Google says, “When you turn on voice typing or captions, your web browser controls the speech-to-text service.” Its help page says the browser sends the text to Docs or Slides. Google describes this processing arrangement.
  • Mac Dictation: Apple says general text Dictation may be processed on device and not sent to Siri servers, depending on the setting. Check System Settings > Keyboard > Dictation to see whether internet is required and how that mode is processed; do not assume every Dictation mode or query field is handled the same way. Apple’s guide explains the setting.
  • Otter: Otter says users control sharing of recordings and transcripts. Its privacy page says staff access for troubleshooting and manual human review require explicit customer consent. These are Otter’s own statements, not an independent privacy audit. Read Otter’s privacy policy.

Will it work in my browser and language?

Check support for the exact device, browser, language, and feature you intend to use; availability for one mode does not guarantee availability for another.

How many minutes are included?

Limits matter most when you transcribe recordings regularly. The published figures below are vendor-stated allowances checked October 4, 2026, and may change; verify the license or plan shown in your account before relying on them.

How should you choose—and check the transcript?

  1. Start with the source: for speech you are about to say, use a live dictation feature. For an existing voice memo, choose a tool that explicitly accepts recordings, such as Word Transcribe or an appropriate Otter plan.
  2. Start with the destination: choose Word Transcribe when the transcript belongs in Word, Docs Voice Typing when you are speaking into Google Docs, and Mac Dictation when you want text at the cursor in a Mac app.
  3. Check operational fit: confirm microphone and internet requirements, supported language and region, monthly minutes, audio storage, and your organization’s policies for recordings and transcripts.
  4. Run a small, representative trial: dictate the same paragraph or transcribe the same short recording in the tools you are considering. Review names, technical vocabulary, punctuation, how much correction is needed, and the effort of getting clean text into the destination document. This lets you compare your own workflow without treating an unverified accuracy ranking as fact.

Recognition quality can vary with audio quality, background noise, speaking pace, vocabulary, and language. If words are missing or wrong, Microsoft recommends using a reliable connection, reducing background noise, speaking deliberately, and checking the microphone; upgrading a microphone may help if it is the problem.
