If Microsoft Copilot gives a generic answer or cannot find company information, first check which Copilot experience and account you are using, whether work data is available and selected, and whether you can open the source yourself. Copilot’s access depends on your license, the source type, permissions, and your organization’s settings; the interface and plan names can change, so confirm them in your current account and tenant.
Why is Microsoft Copilot giving inaccurate answers?
Copilot answers from information it can access for the current experience and prompt. Grounding is the connection between a response and real information, such as work content, a file you attach, or public web sources. If it cannot find relevant, accessible sources, Microsoft Support says it may give a more general answer. A confident-sounding response is not proof that it used the right company document.
Microsoft describes grounding and the sources Copilot may use in What information does Copilot use to answer my prompt?. Grounding can provide citations, but citations and answers still need checking, especially before you share information or act on it.
Check which Copilot experience your work account provides
Being signed in with a work or school account does not by itself mean every Copilot Chat experience can search your organization’s data. Microsoft distinguishes Copilot Chat Basic, which does not use organizational data through Microsoft Graph in Copilot Chat, from Microsoft 365 Copilot Premium, which can use organizational data through Microsoft Graph and Work IQ. Availability depends on the account’s current subscription and tenant configuration; verify both rather than relying on an old plan name or a different user’s interface.

For the current distinctions, see Microsoft’s Microsoft 365 Copilot overview. A web-grounded response from a basic experience is not evidence that a work-grounded experience is broken. Depending on what your organization enables, a basic experience may still work with a file you attach, content you have open, or an eligible agent that can access organizational data.
Check the work source controls
In Copilot Chat, look for the Work IQ switch or equivalent work-data control and confirm it is on when you intend to use work information. If the interface offers source controls, select the source you need. Microsoft documents Work IQ and source selection, but labels and placement may change; use the controls visible in your tenant. Why can’t Copilot find my company data?
Work-data access is permission-scoped. Microsoft Support states that “Copilot can only reference internal organizational data that you have access to.” If you cannot open an item directly, Copilot should not be expected to retrieve it for you. The same principle applies even when a source is technically connected: organization settings, data discovery controls, or protection policies can limit what is available.

Open the exact item before troubleshooting Copilot
- Open the specific SharePoint or OneDrive file, Teams message or channel, email, or connected-system record you want Copilot to use.
- Confirm that the item opens with the same work account you use in Copilot, and that you can read the relevant content.
- If access is missing, ask the owner or Microsoft 365 administrator to review permissions. Do not request broader access than you need.
If a connected external system is involved, separate four possible causes: your own access to the item, whether the organization has enabled the connector, whether your query identifies the right system or item, and whether the connector has finished syncing and indexing the content. Ask your administrator to confirm the connector is configured and enabled and that your group is authorized.
Microsoft’s Graph connectors overview describes connector-backed organizational data. There is no universal indexing duration stated in that guidance, so do not assume a fixed wait time; your administrator can check the connector’s status.
How do I get Copilot to use our SharePoint files or Teams information?
Give Copilot a clear, accessible source and a narrow task. Broad prompts such as “What is the status?” can match many documents or none at all. Name the project, system, document, owner, and relevant date range when you know them. Link or attach the authoritative file where the experience allows it, and ask for citations or links so you can inspect the basis for the answer.
Use a source-specific prompt
- Name the source system and exact item, such as the SharePoint project plan or a particular Teams channel.
- State the project, team, document owner, or date range that distinguishes the intended information from older or similarly named material.
- When appropriate, attach or link the authoritative file and say, “Use this file only.” This narrows the task but does not override permissions or guarantee that the experience can read the file.
- Ask Copilot to cite the source and identify the date or version it used.
For example: “Using the current launch plan in the SharePoint ‘Orion’ project site, summarize the open launch risks recorded from September 1 through September 30. Cite the relevant section and its last-updated date.” If the answer cites an older plan, open the citation, locate the current version, and provide that source explicitly.

For external business systems, confirm connector setup and scope
If the information lives outside Microsoft 365, ask your administrator whether its connector is available and enabled for your organization and whether your user group has access. In your prompt, identify the external system and the exact record or project. If access and configuration are correct but recent content is missing, the connector may not have indexed it yet; check its status rather than assuming a particular indexing schedule.

When a user can open the exact source but Copilot still does not use it, ask the Microsoft 365 administrator to review organization-level discovery and governance controls, connector configuration, and the source’s protection settings. These controls can affect whether content is discoverable or usable even when a person can see it in another context.
Review discovery, governance, and connector access
- Confirm the relevant work-data experience and source controls are enabled for the user.
- Check that discovery and data-governance settings do not exclude the content.
- For external data, verify that the connector is configured, enabled, authorized for the user’s group, and reporting its sync or indexing status.
Check sensitivity labels and encryption rights
A sensitivity label or encryption policy may restrict Copilot from processing a file. Microsoft’s architecture documentation says that, for encrypted content, the user needs both EXTRACT and VIEW rights for Copilot to interact with it. An administrator should verify the applicable rights and policy rather than changing protection broadly just to make one prompt work. See Microsoft 365 Copilot architecture.
How do I verify a Copilot answer before relying on it?
- Inspect the inline citations and the Sources list, if shown.
- Open the cited item and compare the claim with the actual passage, date, and version.
- If no relevant citation appears, treat the answer as unverified. Provide a better source, narrow the prompt, or ask your administrator to investigate access and source availability.
- Confirm critical details independently before sharing the answer or making a decision based on it.
Microsoft Support advises reviewing sources and confirming critical details. A citation helps you trace an answer; it does not establish that the response interpreted the source correctly.
