The best AI note-taking app depends on what you need to remember. Use Otter.ai for live meeting transcription, Fathom for frequent free video-meeting capture, Fireflies.ai for team conversation intelligence, NotebookLM for source-grounded research, and RemNote for turning study material into flashcards.

Notion AI and Mem are better for broader knowledge management, while Granola and Tactiq offer different bot-free meeting workflows. This guide separates those use cases instead of declaring one app universally best.

The best AI note-taking app depends on what you need to remember. For live meeting transcription, choose Otter.ai; for frequent video meetings on a free plan, choose Fathom; for searchable team conversation history, choose Fireflies.ai; and for bot-free browser capture, choose Tactiq. Students and researchers should look first at NotebookLM, while students focused on exam retention may get more value from RemNote. Notion AI and Mem are better when notes need to become part of a broader workspace or personal knowledge base. Granola is the most distinctive choice for people who want an AI notepad without a visible meeting bot.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

These tools are not interchangeable. A meeting notetaker generally captures conversation audio and produces a transcript, summary, action items, or searchable meeting record. NotebookLM works primarily from sources you provide, such as PDFs, websites, lecture recordings, and Google documents. Mem and Notion are longer-term knowledge-management systems, while RemNote turns study material into reviewable flashcards. The right choice is determined by the workflow—not by a universal “best” ranking.

Quick comparison: the nine best AI note-taking apps

App Best for What it does best Main limitation to consider
Otter.ai Live meeting transcription Real-time transcripts, speaker identification, searchable meeting history The Basic plan has 300 transcription minutes per month; Pro has meaningful meeting and recording limits
Fathom Frequent video meetings for free Unlimited recording, storage, and transcription on the free plan Advanced AI summaries and related features are limited after the first five calls each month on free
Fireflies.ai Team search and conversation intelligence Meeting search, integrations, analytics, action items, and multilingual transcription Advanced AI workflows use plan-dependent AI credits
Granola Bot-free personal meeting notes Combines your rough notes with transcript context to create structured notes Its positioning is personal note improvement, not proven enterprise conversation analytics
Notion AI Teams already using Notion Moves meeting notes into pages, databases, tasks, and team knowledge Full AI access is packaged with Business and Enterprise plans
NotebookLM Research, PDFs, lectures, and source-grounded study Answers questions using supplied sources and provides inline citations It can still generate inaccurate answers or flawed audio and other artifacts
Tactiq Browser-based, bot-free meeting capture Captures transcripts through a browser extension for major meeting platforms The free plan includes 10 transcripts and five AI credits per month
Mem Self-organizing personal knowledge Retrieves related notes without requiring a rigid folder or database system The free tier is small, and meeting briefs are still described as beta
RemNote Study notes and active recall Generates flashcards from notes, PDFs, and study materials It is a study system, not a general-purpose meeting notetaker

Plan limits, supported platforms, quotas, and feature names can change. Check each provider’s current pricing and documentation before subscribing.

1. Otter.ai: best for transcription-first meeting notes

Choose Otter.ai if your main problem is keeping a reliable, searchable record of what people said in meetings. Its workflow centers on live transcription, speaker identification, meeting summaries, and searching across past conversations. Otter supports Zoom, Microsoft Teams, and Google Meet, and also provides mobile apps for capturing notes away from a desk.

The current Basic plan includes AI chat within and across meetings, live transcription, speaker identification, and 300 transcription minutes per month. That makes the free tier useful for testing the workflow, but 300 minutes can disappear quickly if you attend several hour-long meetings each week.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Otter’s Pro plan raises the allowance to 1,200 in-app recording minutes and adds longer meeting limits, advanced search, export and playback tools, vocabulary and speaker features, and integrations such as Salesforce, HubSpot, and Zapier. However, the documented 90-minute meeting limit on Pro is still relevant for longer classes, workshops, and conference sessions. Business adds unlimited meetings and in-app recordings, longer meeting limits, custom AI workflows, and broader administration.

Best fit: individuals and teams who care more about the transcript and searchable meeting record than about turning every conversation into a larger knowledge-management system.

Watch out for: “free” does not mean unlimited transcription, and a transcript should still be checked for names, technical terms, numbers, and decisions before it becomes an official record.

2. Fathom: best free option for frequent video meetings

Fathom is the strongest starting point for someone who records many Zoom, Google Meet, or Microsoft Teams meetings and does not want an immediate subscription. Its free plan advertises unlimited recordings, storage, and transcription, which is unusually generous for frequent video meetings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The important qualification is that the free plan does not make every AI feature unlimited. Advanced AI summaries are limited after the first five calls each month, while paid plans add unlimited advanced summaries, AI action items, follow-up emails, custom summaries, and Ask Fathom. In other words, Fathom’s free offer is especially attractive for capture and transcription; heavy users who rely on richer automated follow-up may reach the premium boundary sooner.

Fathom says recordings are private by default and that its AI is not trained on customer data. Those are vendor statements, not a substitute for reviewing your organization’s data policy, retention settings, or meeting-consent requirements.

Best fit: a solo professional, freelancer, or small team with frequent video calls that wants generous recording and transcription before paying.

Watch out for: the difference between unlimited recordings and limited advanced summaries. Confirm which AI actions are included in the plan you are considering.

3. Fireflies.ai: best for searchable team conversation intelligence

Fireflies.ai is a good choice when meeting notes need to support sales, customer success, operations, or team-wide reporting. In addition to Zoom, Google Meet, and Microsoft Teams, it supports uploaded recordings, mobile capture, and a Chrome extension. Its feature set includes real-time notes, live transcription, meeting search, action items, task management, integrations, conversation intelligence, and team analytics.

Oxford Spiral Notebook 6 Pack, 1 Subject, College Ruled Paper, 8 x 10-1/2 Inch, Color Assortment Design May Vary (65007)
  • A classroom classic: this 6-pack of 1-subject spiral notebooks helps you identify your subjects at a glance with color-coding efficiency; color assortment may vary
  • The right ruling: these 8" x 10-1/2", college-ruled notebooks fit more writing per page than wide-ruled sheets; each notebook provides 70 double-sided sheets with red margin lines
  • Perect perforation: Dependable micro-perforated sheets retain your must-have notes but still detach cleanly when you’re ready to revise
  • Glide from page to page: Your favorite gel or ballpoint pens will move effortlessly across these smooth pages for A+ notes with minimal ink bleeding or show-through
  • 3-Hold punched: Every notebook comes 3-hole punched to fit a standard binder; take along one notebook or several to save extra trips to the locker

Fireflies’ pricing materials describe transcription in more than 100 languages and unlimited transcription across its plans. That does not mean every related capability is unlimited. Paid tiers add features such as downloads, video recording, CRM and workflow integrations, analytics, and stronger administrative controls. Fireflies also documents AI credits for advanced functions including AI Skills, meeting preparation, and task-related workflows.

This makes Fireflies more operations-oriented than a simple personal transcript app. A team can use a shared conversation history to look for topics, follow-up obligations, or customer signals instead of treating each summary as an isolated document.

Best fit: teams that want searchable conversations, CRM or automation connections, analytics, and shared administrative controls.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Watch out for: unlimited transcription is not the same as unlimited AI processing. Check credit consumption for the features your team expects to use repeatedly.

4. Granola: best for bot-free personal meeting notes

Granola takes a different approach from a traditional meeting bot. It presents itself as an AI notepad for professionals in back-to-back meetings: you write rough notes during the conversation, Granola adds meeting transcript context, and the AI improves the structure and usefulness of the final notes.

Granola’s published comparison describes bot-free capture using device audio. It says the audio is transcribed in real time and then deleted. That positioning can appeal to people who want to remain actively involved in note-taking and do not want a visible automated participant appearing in the meeting.

Granola should not automatically be treated as equivalent to a team conversation-intelligence platform. The product’s distinctive value is the combination of human notes and AI organization, rather than documented CRM analytics or broad meeting administration. The vendor also notes that plan details can change, so verify current pricing and platform availability before publication or purchase.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Best fit: professionals who want better personal notes while continuing to write, think, and decide what matters during a meeting.

Watch out for: bot-free does not mean privacy-free. Device audio, transcription, workplace policies, and participant expectations still matter.

5. Notion AI: best for teams already living in Notion

Notion AI makes the most sense when your notes already belong in Notion. Rather than sending transcripts to a separate inbox, Notion can place meeting information alongside pages, databases, tasks, project documentation, and team knowledge.

Notion lists AI Meeting Notes, Notion Agent, Enterprise Search, research tools, writing assistance, database autofill, and connected-app search. AI Meeting Notes are described as capturing meetings, transcribing conversations, summarizing key points, and surfacing insights. This is useful when the desired outcome is not merely “find the transcript,” but “turn the conversation into an assigned task, project update, or durable team record.”

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Plan structure is the main caveat. Notion states that full AI access is included with Business and Enterprise plans, while Free and Plus users receive limited trial usage. That packaging may be attractive to an established Notion team, but less attractive to someone who wants inexpensive personal transcription and has no use for pages, databases, or workspace administration. Student and teacher eligibility for free or discounted plans should be checked directly when applying.

  • LASTS ALL YEAR. GUARANTEED!*

Best fit: teams that want meeting notes connected to existing Notion documents, tasks, databases, and search.

Watch out for: paying for a workspace-oriented AI plan when all you actually need is a lightweight meeting transcript.

6. NotebookLM: best for research, PDFs, lectures, and source-grounded study

NotebookLM is the best recommendation in this list when “note-taking” really means understanding a defined collection of sources. It is not primarily a meeting bot. You supply the material, then ask questions, create summaries, or transform the collection into study and research artifacts.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Google describes support for PDFs, websites, YouTube videos, audio files, Google Docs, Google Slides, images, Word documents, Markdown, CSV, PowerPoint, and other supported sources. NotebookLM’s chat answers are grounded in the notebook’s sources and include inline citations, allowing you to inspect where an answer came from.

Its generated outputs include study guides, briefings, reports, audio overviews, mind maps, flashcards, quizzes, infographics, and slide decks. That makes it particularly useful for a course folder, a research packet, a set of papers, a lecture recording, or a collection of policy documents. Instead of asking a general chatbot to answer from an uncertain memory, you can constrain the conversation to the materials you are actually studying.

Source-grounding reduces unsupported answers, but it does not guarantee correctness. Google’s mobile documentation warns that generated responses and artifacts may contain inaccuracies, including glitches in audio overviews. Check citations, compare important claims with the original source, and do not treat a polished summary as proof that the underlying interpretation is right.

Best fit: students, researchers, and professionals who need to question and reorganize a known set of documents, recordings, or web sources.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Watch out for: NotebookLM is not a replacement for a general meeting-history system. It works best when you deliberately collect and manage the sources that belong in each notebook.

7. Tactiq: best browser extension for bot-free meeting transcription

Tactiq captures meeting transcripts through a Chrome extension for Google Meet, Zoom, and Microsoft Teams. It is a lightweight alternative for users who do not want a visible bot joining the call and who prefer browser-based controls over a separate meeting participant.

The free plan includes 10 transcripts and five AI credits per month. Paid plans add unlimited transcripts, more AI credits, transcript controls, sharing and export, in-meeting AI, cross-meeting search, and team administration. Tactiq also advertises education pricing for verified students and teachers, which may make it worth checking for classroom or study use.

The distinction between “no bot” and “no recording or privacy implications” is important. The extension still processes meeting content, and participants may need notice or consent depending on the meeting context, location, employer or school policy, and applicable recording rules. This is a compliance question, not a reason to declare any particular app legally safe.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Best fit: people who want simple browser-based transcripts for supported video platforms without adding a bot participant.

  • Made with SFI certified paper. Notebook is recyclable – just remove the reinforcement tape on the pocket and recycle the rest! Available in Pacific Blue.

Watch out for: the free transcript and AI-credit quotas, as well as browser compatibility and policies governing recording or transcription.

8. Mem: best for self-organizing personal knowledge

Mem is designed less as a meeting archive and more as a personal notes system that helps you retrieve related information without spending much time designing folders, tags, or databases. It is a fit for people who capture ideas, snippets, decisions, and reference material throughout the day and want AI-assisted retrieval later.

Mem’s Pro plan describes AI model selection, unlimited notes, unlimited chat messages, deep searches, collections, templates, connected emails, API keys, and PDF understanding. The pricing page also lists meeting briefs as a beta feature. That beta label matters: Mem can complement meeting notes, but it should not be presented as a mature substitute for a dedicated meeting-notetaker with conferencing integrations and team administration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The free tier is limited to 25 notes, 25 chat messages, and 25 PDF pages understood in search or chat per month. Those limits make it suitable for trying the personal-knowledge workflow, not necessarily for importing a large archive or using AI against many documents every week.

Best fit: individuals who want a flexible, low-maintenance knowledge base and fast retrieval of connected ideas.

Watch out for: the small free allowance and the beta status of meeting briefs if meetings are your primary requirement.

9. RemNote: best for students who want notes to become study material

RemNote is the most study-focused choice here. Its AI can generate flashcards directly from notes, PDFs, and other study materials, with the generated content grounded in the material being studied. The central outcome is not simply a shorter document; it is a set of reviewable learning objects that can support active recall.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That makes RemNote different from NotebookLM. NotebookLM is oriented toward asking questions of a source collection and transforming it into research or briefing formats. RemNote is oriented toward building a study loop in which notes become flashcards and are revisited over time.

Choose RemNote if you are preparing for exams, learning technical material, or trying to retain information long term. Choose a meeting app if your immediate problem is missed decisions, unclear ownership, or an absent transcript. RemNote should not be ranked as a general meeting transcription service without separately verified support for the conferencing workflow you need.

Best fit: students who want their notes and course materials to produce flashcards and structured review.

Watch out for: confusing study automation with meeting capture. It solves a different problem from Otter, Fathom, Fireflies, and Tactiq.

If you prefer a dedicated capture device

A physical recorder can be useful for in-person conversations, lectures, phone calls, or situations where opening a meeting app is inconvenient. The PLAUD Note AI Voice Recorder is a companion option rather than a tenth app: PLAUD describes dual-mode recording for phone calls and in-person conversations, AI transcription in 112 languages, speaker labels, structured summaries, a 300-minute monthly starter transcription quota, and desktop support for online meetings.

That hardware can solve the capture step, after which its software turns the recording into a transcript or summary. It is not necessary for any of the nine recommendations above, and you should verify the current device capabilities, subscription terms, price, and availability before buying. For sensitive meetings or classes, obtain any required permission before recording.

How to choose the right AI note-taking app

Choose according to the source of the information

  • Conversation audio: start with Otter, Fathom, Fireflies, Granola, or Tactiq.
  • Your own notes plus conversation context: consider Granola.
  • Documents, websites, lecture recordings, and research packets: start with NotebookLM.
  • Notes that must connect to tasks and team documents: consider Notion AI.
  • Ideas and reference material you need to retrieve later: consider Mem.
  • Course material that must become flashcards: consider RemNote.

Check the capture method

A meeting bot may appear as a participant, while a browser extension or desktop app may capture audio locally or through the meeting interface. “Bot-free” describes the participant experience; it does not automatically answer questions about consent, storage, retention, or access. Confirm how the specific product works on your platform and follow your organization’s rules.

Compare the limit that affects your workflow

Do not compare free plans using the word “free” alone. Otter’s Basic plan is measured in monthly transcription minutes. Fathom offers unlimited recording, storage, and transcription but limits advanced AI after five calls per month. Fireflies offers unlimited transcription while applying limits or AI credits to advanced workflows. Tactiq limits transcripts and AI credits. Mem limits notes, chats, and PDF understanding. Notion limits AI access by plan. The relevant question is whether the allowance covers your actual week—not whether the product has a free tier.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Decide where the final note should live

  • Use a dedicated meeting app if you need searchable transcripts and automatic action items.
  • Use Notion if the note must become part of a shared project workspace.
  • Use Mem if you want a personal knowledge base with less manual organization.
  • Use NotebookLM if the note is really an analysis of a defined source collection.
  • Use RemNote if the final output should be a review schedule or flashcard set.

Accuracy, privacy, and consent: what every app user should check

AI transcripts are drafts, not unquestionable records

None of the reviewed product information establishes a universal transcription-accuracy guarantee, and the available vendor pages do not provide a controlled head-to-head test for these nine apps. Accents, overlapping speakers, background noise, poor microphones, specialist vocabulary, and unstable connections can all affect results. Review names, figures, dates, decisions, and action-item ownership before sharing a transcript or relying on it professionally.

Recording rules depend on the situation

Meeting recording and transcription may require notice or consent depending on participant location, local law, employer policy, school policy, and the platform’s settings. Tell participants when required, use the organization’s approved tools, and avoid assuming that a bot-free workflow is automatically permitted. This article does not provide legal advice.

Check retention and data handling before uploading sensitive material

Read the product’s current privacy and administration documentation before using it for confidential customer information, unreleased business plans, health information, student records, or restricted research. Fathom states that recordings are private by default and that its AI is not trained on customer data, but that statement should be evaluated alongside your own organization’s requirements.

A practical test before you commit

  1. Use your real material. Test with the kind of meeting, accent, terminology, lecture file, or PDF you actually handle.
  2. Measure the result you need. For meetings, check speaker labels, decisions, action items, and search. For research, inspect citations. For study, review whether generated flashcards are accurate and useful.
  3. Check the capture experience. Confirm whether the tool requires a bot, browser extension, desktop app, mobile app, uploaded file, or supported source format.
  4. Test the free allowance honestly. Run enough meetings or documents through the product to see whether minutes, transcripts, AI credits, or PDF limits are likely to interrupt your routine.
  5. Review the final note manually. Look for errors before sending it to colleagues, classmates, customers, or instructors.
  6. Check privacy and consent. Confirm that the workflow is permitted for the people and information involved.

Bottom line

Choose Otter.ai when live transcription and speaker-aware meeting history matter most. Choose Fathom for frequent video meetings and a generous free capture tier, or Fireflies.ai when conversations must feed team search, CRM, analytics, and workflows. Choose Granola or Tactiq when you want bot-free capture, with different emphases on personal notes and browser transcripts.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose NotebookLM for source-grounded research and lectures, Notion AI for an integrated team workspace, Mem for personal knowledge retrieval, and RemNote when exam preparation and long-term recall are the real goal. A short trial with your own audio, documents, terminology, privacy constraints, and desired output will tell you more than any single overall ranking.

Frequently Asked Questions

Is NotebookLM a meeting note-taking app?

Not necessarily. NotebookLM is designed to analyze sources you provide, such as PDFs, websites, lecture audio, and Google documents. It can produce citations and study materials, but it is not primarily a live meeting bot or universal transcript archive.

Are bot-free AI meeting notetakers private or legally safe?

A bot-free tool does not automatically eliminate privacy or compliance concerns. Browser extensions and device-based capture still process meeting content, and notice or consent may be required by local rules, workplace policy, school policy, or participant expectations.

Which AI note-taking app has the best free plan?

Free plans differ substantially. Fathom advertises unlimited recording, storage, and transcription but limits advanced AI features after five calls per month. Otter, Tactiq, and Mem impose different minute, transcript, credit, note, chat, or PDF limits, while Notion limits AI access by plan.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can AI note-taking apps produce perfect transcripts and summaries?

Usually, no. AI-generated transcripts, summaries, flashcards, and research answers can contain errors. Review names, numbers, decisions, citations, and study material before relying on the output.

The Bottom Line

The best choice is workflow-specific: meeting capture calls for Otter, Fathom, Fireflies, Granola, or Tactiq; source-based research favors NotebookLM; connected knowledge work favors Notion AI or Mem; and active-recall study favors RemNote.
