Maybe—but a successful scan from a screen does not prove the printed code will work. Print size, sharpness, contrast, the clear margin around the code, the material, and the scanner all affect whether it can be read. To check reliably, print a proof at its final size on the intended material and test it in the conditions where people will scan it.
Why a QR code can scan on screen but fail on paper
A screen displays a backlit image made of pixels. A printed QR code is a physical grid of modules formed by a printer on a particular material. Scaling, ink spread, print registration, surface reflections, and limited resolution can change that grid. A different viewing distance, lighting condition, phone, or scanner can also change the result. GS1 identifies encoded data, print quality, resolution, and scanning environment as factors in code size and performance (GS1 retail implementation guidance; GS1 Ireland sizing guidance).
If the proof fails, inspect the printed artwork and the conditions before changing the destination or generating a new code. Common factors include:
- Size and density: More encoded data can produce a denser matrix. If the overall code width stays the same, its individual modules become smaller.
- Quiet zone: Text, a border, artwork, a fold, or a cut edge may intrude on the clear margin.
- Contrast and colour: Muted contrast or multiple colours can make the light and dark modules harder to distinguish. GS1 warns that red modules can be problematic with red-light barcode scanning and verification.
- Grid distortion: Stretching, warping, or changing module shapes can disrupt the expected pattern.
- Surface and finish: Glossy reflections, transparency, or a transparent wrapper can interfere with reading.
- Logo or image overlay: An overlay blocks encoded data and relies on error correction; a large image or one that covers important features can make the code fail.
- Scan conditions: Distance, lighting, and reader capability may differ from the screen test.
These are possible causes, not a diagnosis of every failed print. Check the actual proof before deciding what to change.

How large should you print a QR code?
There is no single print width that guarantees every QR code will scan. Choose a size for the specific payload, print process, material, available space, scan distance, and intended reader. A longer URL or extra encoded attributes may require a larger code to keep the modules printable and readable, according to GS1 Ireland.
The small squares in a QR matrix are called modules. For QR codes powered by GS1 and scanned at retail point of sale, GS1 Ireland gives an X-dimension range of 0.396 mm to 0.990 mm. These are scoped retail figures, not universal minimum and maximum sizes for consumer prints; the applicable standard and scanning setting govern packaging and retail use.

For a basic calculation, add the number of modules across the code to eight modules for the two four-module side margins, then multiply by the chosen module width. GS1 Ireland illustrates this with a 29-module matrix: 29 + 8 = 37 modules total. At the stated retail X-dimension bounds, that example works out to 14.652 mm at 0.396 mm per module and 36.63 mm at 0.990 mm per module. It is an illustration, not a general consumer-print recommendation.
Leave the required quiet zone
A standard QR Code needs a clear area four module widths wide on every side, according to GS1’s retail implementation guideline and its solution-provider guidance. Keep text, frames, nearby artwork, folds, and cut lines outside that margin. In production, allowing slightly more than the minimum can help preserve clear space if ink spreads or plates register imperfectly; GS1 Australia discusses this in its barcode printing guidance.

Keep contrast, colour, and print surface in mind
Use dark modules on a plain, light background where possible. GS1 calls for strong contrast between light and dark modules and warns that poor contrast or more than two colours may impair scanner performance. For retail scanning and verification contexts, it also notes that red modules can be a problem with red-light barcode scanners.
The print material matters too. GS1 Australia says substrate affects barcode quality and scanning, and recommends avoiding high-gloss reflective and transparent or semi-transparent surfaces. A transparent wrapper over the code can also cause problems. Check the code on the actual stock and with the intended finish or wrapper, not just on ordinary paper.

What error correction can—and cannot—do
QR error correction uses Reed–Solomon coding. GS1 lists four levels—L, M, Q, and H—with example correction levels of 7%, 15%, 25%, and 30%, respectively. Those figures are not guarantees that the same percentage of a printed image can be covered: a damaged or obscured code can still fail depending on what is affected.
More correction adds redundancy but can increase the symbol’s size or reduce how much data fits at a constrained size. As GS1 puts it, “Higher error correction levels add redundancy but increase the size of the barcode, therefore the impacts on the printing, scanning and packaging need to be considered.” Raising the correction level does not automatically fix a code that is too dense or too small in print.

Logos and other images are not part of the QR symbology specification GS1 references. They block encoded content and depend on error correction to recover it. Keep any logo modest, avoid covering locating features, and test the finished code rather than assuming a selected correction level will compensate.
Proof the code you intend to use
- Generate the code with the intended destination and payload. Avoid unnecessary encoded text that makes the matrix denser.
- Place it in the actual layout at the final physical size. Preserve the four-module quiet zone and keep nearby text, artwork, borders, folds, and cut lines outside it.
- Keep the modules square, evenly arranged, and unaltered. Use strong contrast; avoid red modules for the retail or verification contexts described by GS1.
- Export and print with enough resolution for the intended process. No single file format or printer-resolution figure is established as universally sufficient.
- Print a proof on the intended stock, with the intended finish or wrapper. Inspect it for reflection, ink spread, registration problems, and clear margins.
- Scan the proof at the expected distance and lighting with the types of phones or scanners people will use. A successful phone scan is useful, but it does not establish retail barcode quality.
- For retail packaging or modified symbols, arrange verification against ISO/IEC 15415 and the relevant symbology requirements. GS1 says each unique modified barcode should be verified.
- Confirm that the decoded code leads to the intended, live destination.
Choose a proofing workflow that fits the job
| Workflow | When it fits | What to check |
|---|---|---|
| Home or office proof | Small quantities and frequent revisions | Test a final-size proof with the intended readers; results depend on the printer and stock available. |
| Print or label service | When quantity or finish exceeds in-house needs | Ask for a proof on the actual production material and inspect its finish. |
| Retail packaging run | Repeatable production subject to application requirements | Use the applicable GS1 specifications and formal verification. |
These are workflow distinctions, not performance rankings of particular printers or vendors. GS1 Australia describes both pre-printed labels and on-site printing with specialized equipment as application methods; the right approach depends on the substrate and scanning setting.
