OneDrive’s built-in PDF reader can view and print a PDF, but it cannot change the PDF’s text or layout. To make content edits, update the original file and export a new PDF, convert the PDF with desktop Word, or open it in a PDF editor. If you can’t change a shared file or your local changes aren’t appearing online, check permissions or sync separately.
First, identify what you mean by “edit”
OneDrive handles reading, commenting, and changing PDF contents differently. Choose the action that matches what you need:

Microsoft describes the reader as a way to view and print PDFs, not edit their contents: Microsoft’s OneDrive PDF reader guidance. OneDrive also supports comments on PDFs; those comments are not edits to the underlying file: Microsoft’s guidance on comments in OneDrive.
How to change the contents of a PDF
If you have the original document, edit that first
If the PDF was exported from Word, Excel, Publisher, or another Office app and you can access the original, make the changes there and export or save a new PDF. Working in the source document is generally the better route when you need to preserve its structure. Microsoft recommends editing the original Office file and creating the PDF again: Microsoft’s PDF and Word conversion guidance.

If you do not have the source, convert with desktop Word
- Open the PDF in desktop Microsoft Word using the app’s PDF-opening workflow.
- Allow Word to convert the PDF into an editable document, such as a .docx file.
- Make and review your changes in the converted document.
- Save or export the revised document as a PDF, then inspect the result before sharing it.
Microsoft documents this conversion option, but conversion can alter formatting. Check the full output carefully, particularly tables, columns, images, forms, and page breaks. Microsoft also names Adobe Acrobat as a PDF-editing option. Available features and entitlements depend on the app and edition, so check what your installed software includes.
Open the PDF in a desktop app from OneDrive
For OneDrive or SharePoint work or school accounts, Microsoft documents an “Open in app” route that passes the file to a local application. This opens a desktop app; it does not turn the OneDrive browser reader into a PDF editor.

- In OneDrive or SharePoint, select the PDF.
- Choose More > Open > Open in app.
- If prompted, choose the desktop app you want to use for that file type.
This work-or-school flow requires the OneDrive sync client to be installed and Files On-Demand to be enabled. Whether the selected app can edit the PDF depends on that app’s capabilities. See Microsoft’s instructions for opening OneDrive or SharePoint files in an app.
If you cannot change a PDF shared with you
The PDF reader’s limitations and the file owner’s sharing settings are separate issues. A shared link may be view-only; if the owner turned off Allow editing, recipients cannot change the version stored in the owner’s OneDrive. Ask the owner to grant the access you need. Even with editing permission, you still need an app that can edit PDF contents; OneDrive’s browser reader remains view-and-print only.

If you changed a local copy in a desktop app but the cloud copy did not update, that is a sync problem—not a limitation of the browser PDF reader. Microsoft’s cited guidance applies to OneDrive for Business: it notes that a file held open in an app may not sync until the app is closed, and advises checking read/write permissions. Close the app that has the file open, allow sync to run, and verify you have permission to write to the location.
These steps are based on Microsoft’s OneDrive for Business sync troubleshooting guidance; they are not a universal set of personal OneDrive sync instructions.
