If an AI provider changes its safety rules, reorganizes its team, or alters access to a service you depend on, first identify who controls your account and which terms apply. Then preserve information you are authorized to keep, get the change and its effective date in writing, and review your organization’s rules before moving data or workflows elsewhere. The right steps differ for personal accounts, organization-managed services, and API use.
First, identify the account and service you use
The same provider may offer different terms and controls for consumer accounts, work or school accounts, team or enterprise workspaces, and APIs. Check the product name, account email, workspace, and contract or plan before deciding what to do.
- Personal account: You generally manage the account yourself, subject to its applicable terms and available export and support options.
- Managed work or school account: An administrator may control access, features, connected data, and settings. OpenAI’s managed-account guidance states, “Your administrator manages this account and the ChatGPT data associated with it.” The organization’s agreement governs managed ChatGPT use, and switching between a managed and personal account does not merge or transfer their data. OpenAI’s managed ChatGPT account guidance explains these distinctions.
- Team or enterprise workspace: Workspace roles can determine who can access or export organization data. Confirm your role and ask the owner or administrator before attempting an export.
- API or other commercial service: Review the specific service agreement, account controls, retention settings, and support terms. These may differ from consumer product terms. OpenAI describes business-specific controls, including Zero Data Retention for eligible API customers; eligibility and exact terms must be confirmed with the provider. OpenAI’s business privacy information describes its business data practices.
Google Workspace administrators can restrict Gemini or its access to Workspace data. Google’s administrator guidance for Gemini covers managed access and controls.
Find out exactly what changed
Save the provider’s notice and record the policy or terms version, publication or effective date, affected plan and region, and any features or use cases named. A safety-policy revision, a product retirement, a retention change, a team reorganization, and a change to support or escalation are different events; they can have different practical effects.

Ask the provider or your organization’s administrator to confirm:
- Which exact policy, terms, or service changed, and when the change takes effect.
- Which product, plan, region, and use cases are affected.
- Whether access, moderation, data retention, training settings, support, or audit controls will change.
- What can be exported, what will be deleted or retained, and whether a migration window or support contact is available.
Some providers publish dated policy updates. For example, Anthropic’s Responsible Scaling Policy page records changes to that safety policy; it should not be read as a promise of notice periods for customer terms or other providers. The sources cited here do not establish universal notice periods or contractual rights. Check the agreement that applies to your account and the law in your jurisdiction.

Preserve data you are allowed to keep
Use the provider’s documented export route while the account is available, but first confirm that you are authorized to make and retain a copy. Work and school content may be subject to confidentiality, retention, privacy, and security rules. Ask your administrator or records team when those rules are unclear.

Anthropic documents organization exports for Team and Enterprise Primary Owners. Members do not have the self-serve organization export option, and content deleted before the export is not included. Check the current instructions and your role in Anthropic’s data export guidance.

Google Gemini Apps exports
Google provides an export route for Gemini Apps data through Google Takeout. Google notes, “Downloading your Gemini Apps activity doesn’t delete it from Google’s servers.” An archive may also miss changes made after the export request but before the archive is created. Follow Google’s Gemini Apps data export instructions and verify what the archive contains.
For managed Google accounts, a user may be unable to share a copy directly with a third party unless an administrator enables that option. Takeout can still provide a user-created copy or support manual movement where permitted. See Google’s guidance on downloading or transferring account data and check your organization’s rules first.

Do not assume an export can be imported elsewhere
An export preserves a copy in the format the provider supplies; it is not necessarily a portable chat history or a ready-to-import migration. Before changing providers, check whether the destination supports the specific data you want to move and whether that transfer is permitted.
For a work account, get approval before copying prompts, files, or chat exports into another service. Compare the destination’s terms, retention and deletion settings, access controls, model-training settings, support arrangements, and geographic availability against your organization’s requirements. Test important workflows with non-sensitive material and keep a fallback process for work that cannot be interrupted. Do not treat a successful export as proof that the destination can import or reproduce it.

Keep the enforcement notice and relevant account identifiers, then use the provider’s official support or appeal route if one is documented. Do not delete messages or records that may be needed to explain the issue. Anthropic’s transparency documentation says, “Banned users may file appeals to request a review of our decision to ban their account.” See Anthropic’s System Trust and Reporting information. That is not a guarantee of reinstatement, a particular outcome, or a response time; appeal procedures vary by provider.
Examples of why account type matters
Provider terms can vary not just by account, but by product category and date. Anthropic’s August 28, 2025 announcement about changes to consumer terms concerned Free, Pro, and Max accounts and said it did not apply to Claude for Work, Government, Education, or API usage. Because that announcement is dated and terms can change, verify the current agreement for the product you use. Read Anthropic’s consumer terms announcement.
Likewise, Google Workspace administrators may govern Gemini access and connected Workspace data, while OpenAI’s managed ChatGPT accounts are governed by organization controls and agreements. A provider’s consumer announcement therefore does not, by itself, establish what applies to a managed account or API customer.
