First, check what the portal actually rejected: the file upload, the resume data it tried to extract, a required form field, or your application. Those are different problems. A resume that fails to parse does not, by itself, show that the employer rejected you; a rejection notice or status is an employer decision unless the employer says otherwise.
Use the message on screen to identify the problem, then follow the matching steps below. Portal behavior varies, so follow the specific application’s file instructions rather than assuming every applicant tracking system accepts the same format.
1. Identify what the portal says happened
Read the exact error or status message, including any instructions near the upload control. An upload or parse error points to a technical or data-entry issue. A rejection status or rejection email points to an application decision; a formatting change cannot establish why it happened or reverse it.
Parsing is the process of extracting information from a resume file into application fields. Greenhouse explains that an unsuccessful parse can mean the resume is attached but its information was not imported, so details may need to be entered or corrected manually. 2. Check the application and every populated field
- Confirm the target application. Make sure you are applying to the intended role and, if the portal provides a submission record, that the correct resume is attached.
- Review the form from top to bottom. Check your name and contact details, job titles, employers, dates, education, and any other fields filled from the resume. Parsing can leave blanks or put information in the wrong place.
- Correct errors before submitting. Edit fields wherever the form allows, and complete required fields the parser left empty. Greenhouse advises candidates to review information populated from a resume and correct it as needed in its MyGreenhouse candidate FAQ.
3. Fix a visible upload or parsing problem
If the portal identifies a file problem, or extracted fields are badly garbled, use a clean, text-based document and try again if the application permits. Avoid image-only resumes and keep important details in ordinary body text instead of graphics, word art, tables, columns, text boxes, headers, or footers. Use clear section headings and conventional reading order.
These are troubleshooting steps, not a guarantee that every system will parse a resume identically. Greenhouse lists such formatting features among possible causes of unsuccessful parsing and says its parser cannot process files larger than 2.5 MB; that limit applies to Greenhouse’s parser, not all portals. Workday’s resume-parsing documentation also notes that results vary with format and word order and advises against image-based styles.

4. Follow the portal’s file-format and size instructions
There is no universal best file type for every application. For example, Greenhouse recommends PDF for MyGreenhouse Quick Apply and suggests resaving as PDF and reducing file size if an upload fails. Roche’s resume-parsing guidance recommends DOCX for parsing accuracy while noting that PDF preserves layout. These recommendations differ, so use the format specified on the employer’s application page; if it gives no preference, try a text-based PDF or DOCX and check the result in the form.
5. Recheck screening answers against the job requirements
If the application accepted your resume but showed a rejection, or you are reviewing a submitted application, look at your answers to screening questions if they remain visible. Compare them with explicit requirements in the posting, such as a required license or a location condition, and make sure your answers reflect your real circumstances. Do not change an answer to claim a qualification or eligibility you do not have.

Some employers configure automatic rejection rules tied to answers to custom application questions. Greenhouse documents this feature in its auto-reject documentation. That does not mean every employer uses such a rule, or that a particular rejection came from one. It is also distinct from Greenhouse’s Talent Matching feature, which its candidate FAQ describes as assistive rather than an automatic rejection mechanism.

For a decision reason, current status, or correction after submission, contact the employer’s recruiting team or the contact listed in the posting. Greenhouse says its candidate support cannot see an employer’s internal hiring decision or contact the recruiter on a candidate’s behalf; its candidate FAQ directs candidates to the company for application questions.
Keep the message brief and specific. Include the role title or requisition number, application date, email address used, and the issue or correction. Ask whether the employer can update the application or allow a corrected submission; do not assume the portal provider can change a hiring decision.
