Stop the consignment from moving under the expired e-way bill and have the transporter currently carrying it request an extension immediately. The National Informatics Centre (NIC) says goods are not supposed to be moved after the bill expires. Its portal guidance provides an extension facility around expiry, but this is a limited request window—not permission to continue travelling while the bill is expired. [NIC e-Way Bill System FAQ]
What to do first
- Check the bill’s displayed expiry. Confirm the e-way bill (EWB) number and the validity end time shown in the system. Use that specific expiry rather than relying on a general distance example.
- If it has expired, stop further movement. The NIC FAQ says goods are not supposed to be moved once the validity expires. Do not assume that submitting an extension request allows travel to resume; wait for the system to confirm the extension.
- Ask the current transporter to request an extension promptly. Portal guidance says the transporter carrying the consignment at expiry can use the extension facility. The facility is described as available from eight hours before expiry to eight hours after expiry. Treat those limits as the request window, not a grace period for movement. - Provide accurate shipment details. The transporter should enter the exceptional reason in detail, the consignment’s current location, approximate distance remaining, and the required Part B transport particulars. - Resume only after confirmation. Check the bill’s updated validity in the portal before allowing the goods to move again. If the option is unavailable or eligibility is unclear, consult the current portal guidance or a qualified GST professional rather than generating a duplicate bill as a workaround.
What can justify an extension?
The portal describes extension for exceptional circumstances and asks the transporter to explain the delay in detail. Its examples include a natural calamity, law-and-order problems, delay during trans-shipment, and an accident or vehicle breakdown. State what actually happened; do not select a convenient reason that does not match the shipment.
If the vehicle breaks down
Use the extension process and report the consignment’s actual movement status and present location. The bill’s displayed expiry still matters: do not treat a breakdown as automatic authorization to keep moving after validity ends. [NIC FAQ]
If the goods are at a warehouse or in transit
Report the goods’ real location and status in the request. Technical guidance for the extension interface includes movement or warehouse status, along with the current location and remaining distance. It also says the remaining distance must not exceed the distance in the original EWB. [NIC extension API documentation]

Who can request the extension, and what can be changed?
The portal identifies the transporter carrying the consignment at the time of expiry as the party that can extend validity. The transporter should have the EWB number, a detailed exceptional-delay explanation, the current location, approximate distance left, and transport particulars for Part B ready before starting. The facility does not permit changes to Part A. [NIC FAQ]
Do not try to solve an expired bill by cancelling it if it has already been verified in transit: Rule 138 says a bill verified by an officer during transit cannot be cancelled. The extension process is also not a way to revise Part A. [CBIC CGST Rules, Rule 138]

How much time is available to request an extension?
The NIC FAQ describes the portal facility as available eight hours before or eight hours after expiry. Rule 138’s proviso in the CBIC consolidated rules says validity may be extended within eight hours from expiry. Because the portal wording and the rule wording do not describe the window identically, act as soon as possible and follow the live portal’s displayed eligibility and current rule text. Ordinary validity is tied to distance and conveyance category, but the official materials cited here differ on the regular-road distance increment. The NIC FAQ says one day for every 100 km or part of 100 km; the consolidated CBIC rules set one day up to 200 km and an additional day for each further 200 km or part, while retaining separate provisions for over-dimensional cargo and multimodal transport. Because of that conflict, do not calculate the current expiry from the FAQ’s 100 km figure alone. Check the specific EWB’s displayed validity and the current applicable rule. If the extension option is unavailable
- Verify the EWB number, expiry time, transporter identity, current location, remaining distance, and Part B details.
- Check the current portal guidance and the applicable Rule 138 text; the NIC FAQ and consolidated rules describe the timing window differently.
- Do not continue movement under the expired bill, assume an unconfirmed request has been granted, or create a duplicate bill without authoritative guidance.
- For a case the portal does not resolve, seek advice from a qualified GST professional.
