Before cancelling a subscription, confirm that you can export the data you need, import it into the replacement, and operate that replacement safely. An export file alone does not prove that records, attachments, history, permissions, integrations, or settings will all make the move. Test the migration and a recovery before you commit to the change.

Can you export the data, and are you allowed to?

Check the service’s export rules first

Find the source service’s product-specific export instructions, the account permissions needed to run an export, and the terms for cancellation or termination. Check for export limits, data-egress charges, and any deadline for retrieving your data after cancellation. Generate an export from the account you actually use, not a demo or sample workspace, early enough to inspect it and resolve access issues.

Inspect what the export contains

Open the export and make an inventory of what is present and what is missing. Check records and files, and look separately for comments, activity or revision history, user identities, permissions, settings, integrations, and custom fields or other custom data. An export can be machine-readable yet still omit important information. Microsoft documents export options including secure APIs, PowerShell, and browser functionality, while noting that some configuration and proprietary data are not exportable. Mattermost also documents omissions involving some integrations, custom data, and security settings. Treat these as examples of why to check your own product’s export documentation, not as a description of every service.

Understand the EU switching rules if they apply

For readers in the EU, the European Commission says the Data Act covers providers of data-processing services and requires SaaS and PaaS providers to make open interfaces available and, at minimum, export data in a commonly used, machine-readable format. The Commission says switching and data-egress charges are scheduled to be entirely removed from 12 January 2027; qualifying charges may still apply during the transition through that date. Coverage depends on the service and circumstances. Review your contract and seek appropriate advice for legal questions rather than assuming the rules apply identically to every service.

Will the replacement accept your export and preserve the features you use?

Check formats, versions, and feature support

Confirm that the destination has an importer for the actual export format and that the versions of the application, database, and any required extensions are compatible. Then compare the features you rely on—not just the headline product categories—including attachments or object storage, authentication, APIs, plugins, integrations, custom code, notifications, email, and URLs. Record unsupported features and decide whether you can replace them, recreate them, or live without them before planning a cutover.

Supabase’s migration guidance illustrates why compatibility needs a test: platform and self-hosted versions can differ, and a database dump may include settings, tables, or columns unsupported by the destination version. Its guidance recommends testing a restore on a test instance. Do not assume that a successful export will restore unchanged into a different product or version.

List components that move separately

Determine whether the database export includes uploaded files and other separately stored data. Supabase identifies storage objects, edge functions, secrets, authentication-provider settings, SMTP configuration, and DNS as items that may need separate transfer or manual configuration. It also notes that authentication secrets differ and OAuth redirect URLs must be updated. The exact list depends on the products involved, so ask both vendors’ documentation what is included in the export, what the destination importer handles, and what must be recreated.

Who will operate the replacement?

Assign ongoing responsibilities

Self-hosting shifts operational work to the person or team running the deployment. Name an owner for security patches and software updates, access control, backups, availability monitoring, and incident response. Decide who is on call when the app is unavailable and who is responsible for restoring service. A deployment does not become secure, compliant, reliable, or private merely because it is self-hosted; those outcomes depend on its configuration and ongoing operation.

Set recovery expectations

Define how much data you can afford to lose and how quickly the service must recover, then make sure the backup and restore plan can meet those needs. Back up the database and uploaded files, keep a separate copy, and perform a restore into a fresh test environment. A database dump without its associated files can leave broken attachments. Verify that the restored app has the records, files, and permissions you expect, rather than treating a completed backup job as proof of recoverability.

An external drive can hold a separate export or backup copy, but it is only one part of a backup plan. Encrypt sensitive data, store the copy safely, and consider whether another location is needed. No particular drive is required or established as a suitable choice for every deployment.

What will the migration and ongoing operation cost?

Compare the subscription with the complete cost of the replacement, not hosting alone. Include storage, bandwidth where applicable, backup storage, monitoring, support, migration work, and the time needed for administration and recovery planning. TechRadar Pro gave an illustrative range of $5–$20 per month for a small VPS in 2026; this is one publication’s estimate, not a universal market price or a capacity recommendation. Actual prices and required capacity vary by workload and provider. Include staff time even if it does not appear as a separate hosting bill.

How should you test and cut over?

Prove the migration on a copy

  1. Prepare a test environment. Set up a destination instance with the application and database versions, extensions, storage, and configuration you expect to use. Keep it separate from production.
  2. Export and import a representative copy. Include varied records, files, users, permissions, and workflows—not only a small set of uncomplicated records. Follow the product-specific export and importer instructions.
  3. Check the result. Compare representative source and destination records, attachments, identities, permissions, and history. Test logins, integrations, notifications, email, and any workflow your team depends on. Note omissions and decide how to handle them.
  4. Test a fresh restore. Use the database and file backups to restore into a clean test environment. Confirm that the restored app works and that its content is intact.

Keep a rollback path during cutover

Keep the subscription active during the test import and initial parallel use. Before the final move, plan how to handle changes made in the source service: you may need a write freeze or a controlled final export and import so new or edited data is not left behind. Compare a representative sample after that final transfer, test the live logins and integrations, and move a small group or workflow before switching everyone over. Document who can roll back, what triggers a rollback, and how users return to the old service. Retain access to it until the replacement has passed real use; Mattermost’s migration guidance likewise recommends keeping the old server while verifying the destination.

Allow for product-specific network dependencies

Some cutovers involve dependencies beyond application data. For example, 3CX’s migration guidance says to check whether a SIP trunk is restricted to the old public IP, notify the trunk provider, and consider temporarily allowing both IP addresses to reduce downtime. It also warns that a backup cannot be restored onto an older 3CX version. These are 3CX-specific checks, not universal migration steps; identify comparable dependencies for your own service.

Which hosting model fits your team?

“Self-hosted” can describe different operating arrangements. Compare the actual division of work and responsibility rather than assuming that all self-hosted options require the same effort.

Approach Who operates patches and backups? Who owns recovery and uptime? What to verify before switching
Managed SaaS The service provider generally operates the service; confirm the specific division of responsibility in the product terms and plan. Confirm provider support, service commitments, and the recovery options available to your account. Export coverage and format, destination compatibility, data location and access controls, support, and how long you can retain access during migration.
Managed self-hosted Responsibility is shared according to the hosting and support arrangement; establish which tasks the provider performs and which remain yours. Confirm who monitors the app, handles incidents, and restores the deployment, and what the support arrangement covers. Export and import compatibility, included maintenance and backup tasks, access controls, support limits, and rollback options.
Self-managed hosting Your team operates the application and is responsible for arranging and verifying patches and backups. Your team plans and tests recovery and monitors availability, unless a separate arrangement assigns some work elsewhere. Whether you have the skills and time for administration, secure storage, monitoring, recovery, and ongoing feature maintenance.

No one model is best for every reader. Choose only after assigning each operational task and confirming that the export, destination, support, and rollback arrangements fit your data and workflows.
