Depending on the product, those items might be a result to check, a question that needs an answer, an approval request, an error, or a customer conversation that needs human attention. The term has no single established meaning: it can also describe a support conversation workspace or a contact-center agent’s queue dashboard.
The clearest way to tell an inbox from a chat interface or queue is to look at the work being organized and what the person is expected to do next.
How an AI agent inbox differs from a chat interface or queue
These terms describe common interaction patterns, not mutually exclusive product categories. A product may combine all three: a chat can start the work, a queue can route it, and an inbox can present the item for review.

For example, AI Agent’s documentation describes an inbox for messages, proposals, approvals, waits, errors, and tickets ready for review. It treats the inbox as a review queue, while the Board is where tracked work lives; an item can be promoted into a ticket and board workflow when it needs ongoing tracking. By contrast, Asks documents a customer-support inbox organized around conversations, with a conversation list, transcript, customer panel, search, and channel or status filters. In this usage, “Needs human” is an assignment state: the AI has escalated the conversation to the team and will not pick it back up. See Asks’ inbox overview.
In contact-center software, “agent inbox” may refer to a human agent’s queue view rather than a general-purpose review surface for autonomous-agent outputs. ServiceNow’s Source-to-Pay Workspace documentation for the Australia release describes assigned queues, active chat counts, average wait time, and interaction records created when a chat is accepted. Why products use “inbox” to mean different things
An inbox usually suggests a place to collect items that deserve attention, but the items and the person’s role vary by product. In agent-work software, an inbox can collect an agent’s proposed actions, approval requests, questions, workflow waits, completed work, and errors. In customer support, it may be a shared workspace for reading and handling customer threads, especially after an AI escalation. In a contact center, it may be the human operator’s view of work waiting in assigned queues.
So an inbox does not have to be separate from a queue. “Inbox” often describes the review surface; “queue” often describes how work waits or is routed. One system can use a queue behind an inbox, or use the word inbox for a queue-oriented dashboard.

What human handoff means in an AI workflow
A human-handoff indicator should represent an actual workflow state, not just a colored badge. Check whether the AI has paused, whether the person must take ownership, and whether the AI can resume after the human responds.
Those rules differ by product. Asks says a conversation marked “Needs human” has been escalated and will not be picked up again by the AI. Chat and queue routing can also be parts of one escalation path. Google Cloud documents virtual-agent sessions that can be placed in a human queue when escalated, and recommends assigning at least one human agent to a queue with a virtual agent as a fallback. When comparing products or deciding whether an inbox fits a workflow, trace one item from creation through resolution. These questions reveal whether the interface is just a notification list, a review surface, a queue, or some combination.

- What creates an item? It might be a finished result, a question, a proposed side effect, an error, a workflow wait, or an incoming customer message.
- Does the agent continue? Determine whether the item is informational, requires review before the agent proceeds, or represents a full handoff.
- What context is attached? Look for the original conversation, execution history, supporting evidence, and proposed action.
- Who owns the work? Is it assigned to a named person, left in a shared queue, or merely flagged for later attention?
- What actions are available? Depending on the workflow, a person may be able to reply, edit, approve, reject, assign, snooze, archive, promote an item to a ticket, or resume the agent.
- What happens after a person acts? Check which state changes and whether the agent or workflow reliably receives the result.
- How quickly do updates appear? Refresh and delivery behavior is implementation-specific. AI Agent’s documentation says an update may take about 30 seconds to appear without manual refresh; that timing is specific to its product, not a general property of inboxes.
A vendor-authored Taskade guide describes an agent inbox as one place for results, questions, drafts, and approvals. That is an example of a vendor’s framing, not independent evidence that inboxes produce particular outcomes. See Taskade’s Agent Inbox guide.
Which interface should you use?
- Choose chat when the primary task is an ongoing dialogue: asking questions, giving instructions, or refining an answer.
- Choose a queue when the primary need is to route and process waiting work, with clear ownership and waiting status.
- Choose an inbox-style review surface when people need to inspect agent-originated work and make a decision or take an action before it is considered handled.
These are selection heuristics, not hard boundaries. A customer conversation may arrive through chat, wait in a queue for a human, and appear in an inbox with the transcript and customer context. The right design makes the transition and next owner clear.
