An AI coworker with authorized email access can search messages, read their text and metadata, summarize conversations, draft replies, find contacts, and extract action items. Depending on the mailbox provider, administrator policies, and permissions you approve, it may also mark messages read or unread, move them between folders, change contacts, or send plain-text email. Connecting an assistant does not give it rights that your account does not already have.
The important distinction is between read access and write access. Reading a thread and drafting a response are usually lower-risk than sending a message or reorganizing a mailbox. Treat every action as a separate permission decision, especially for shared or delegated mailboxes.
What “access to your email” actually means
An AI coworker operates through the account connection and application scopes you authorize. It can use only the messages, folders, contacts, and actions exposed by that connection. Your existing mailbox rights remain the boundary: if you cannot open a delegated folder, the assistant should not be able to open it for you; if an administrator blocks an application or scope, the assistant cannot work around that block.

Access can expose more than the message body. Search results may include sender and recipient names, addresses, timestamps, subject lines, folder locations, labels, and other metadata. A request to “summarize the customer thread” can therefore bring related messages and their surrounding context into the assistant’s working session.

What an AI coworker can do
Search and retrieve messages
The assistant can turn a natural-language request into mailbox search. For example, you can ask it to find this week’s messages from a particular person, locate a subject line, or retrieve messages within a date range. The Outlook Email app documented by OpenAI supports structured filters such as from:, subject:, and date ranges, along with full-message retrieval. Search results can be narrowed by folder or other provider-supported criteria.
Search is not the same as a complete legal or archival discovery process. Results depend on the connected account, indexing, provider limits, and the scope of the query. For important work, open the original messages in the mailbox and confirm that the assistant found the complete thread.
Summarize threads and explain context
After retrieving messages, the assistant can produce a chronological summary, identify decisions, separate open questions from resolved ones, and explain who said what. It can condense a long exchange for a manager or prepare a handoff for a colleague without requiring each person to read every message.

Summaries are generated from the messages retrieved in that session. If a relevant message is outside the connected mailbox, hidden by a folder restriction, or missed by the search, the summary will be incomplete. Ask for the message list or date range when the distinction matters.

Draft replies and other email text
An AI coworker can draft a reply in a requested tone, turn notes into a concise response, or propose several versions for different audiences. Drafting does not necessarily send anything. In a safer workflow, the assistant produces text and you review recipients, quoted material, links, attachments, and commitments before placing it in the mailbox.
Extract action items and deadlines
It can scan a thread for tasks, owners, due dates, approvals, and unanswered questions. A useful prompt specifies the output you want, such as a table with the task, responsible person, stated deadline, and supporting message. Treat inferred ownership or dates as suggestions unless the email states them explicitly.
Look up people and contacts
Supported Outlook connections can search people and contacts. Contact-folder actions may be available when the account and workspace have enabled them. Contact data can include names, addresses, job information, and notes, so it should receive the same privacy care as message content.

Some connections can mark messages read or unread, move them between folders, and send mail. These operations are conditional, not automatic capabilities of every AI coworker. The provider must expose the operation, your account must have the relevant right, and an administrator or workspace setting may need to enable the action.

Read access and write access are separate decisions

Google Workspace administrators can specifically restrict high-risk Gmail scopes, including sending mail. That allows an organization to permit useful search and summarization while withholding the ability to send. Similar separation exists in Microsoft environments through application permissions, administrator consent, mailbox rights, and workspace action controls.
How Outlook connections work
OpenAI’s documented Outlook Email app supports mailbox search and retrieval, structured filters, full message text, people lookup, and practical tasks such as summarizing updates, drafting replies, finding messages, and extracting action items.
For supported shared or delegated Outlook mailboxes, the documented actions include reading messages, browsing folders, marking messages read or unread, moving messages, and sending plain-text mail from or on behalf of the mailbox. Those actions require the appropriate Microsoft permissions and workspace settings. Attachments in shared or delegated mailboxes have current limitations, so a request that depends on an attachment may need you to open it directly in Outlook.
OpenAI states that “ChatGPT does not grant Microsoft sharing or delegation permissions.” In practice, an assistant connection cannot create a delegation relationship or expand your mailbox rights. Microsoft’s support guidance similarly says that Copilot Chat respects existing Outlook permissions. A shared mailbox therefore remains governed by the permissions already assigned to your user and by organizational controls.

How Gmail and Gemini connections are governed
In Google Workspace, administrators can disable Gemini or block its access to Workspace data, including Gmail messages. Content-owner permissions also constrain what can be accessed. An employee may therefore see different behavior from a personal account, a managed work account, and a mailbox where another user owns or restricts the content.
Google’s OAuth administration controls let an organization restrict third-party applications and high-risk Gmail scopes such as sending mail. An administrator can allow an assistant to read or search while refusing a send scope, or block the application entirely. The exact controls and labels depend on the Workspace edition and current administrator console.
Google states that Workspace data used with Gemini remains under the organization’s control and is not used to train or improve the underlying generative AI and large language models that power systems outside Workspace without permission. That statement describes Google’s Workspace handling policy; it does not mean every third-party email application has the same policy. Check the provider and employer terms for the particular connection you are enabling.

- Classify the account. Identify whether it is a personal mailbox, an individual work mailbox, or a shared/delegated mailbox. Note which folders and contacts you can already access.
- Read the integration’s permission request. Separate read mail, contacts, draft, send, move, mark-read, and other scopes. Do not approve a write scope merely because search is useful.
- Check administrator controls. In a managed workspace, confirm that the app is allowed, that required OAuth scopes have administrator consent, and that sensitivity-label or data-access exclusions do not apply.
- Start with a read-only test. Ask for one narrowly defined message, such as a recent thread from a known sender. Compare the result with the mailbox and verify that the assistant is seeing the expected account.
- Test drafting before sending. Have it create a response without sending. Review recipients, quoted text, tone, confidential information, links, and attachments in the provider’s own compose window.
- Enable mailbox actions only when needed. If your organization allows moving or marking messages, test one reversible action in a low-risk folder. For sending, establish who must approve the message and whether the assistant sends as you or on behalf of a shared mailbox.
- Verify every consequential action. Refresh the mailbox, inspect the Sent and destination folders, and confirm the final state before repeating a command. A timeout or ambiguous response is not proof that an action failed.
- Revoke access when circumstances change. Remove the app connection or OAuth grant when an employee changes role, a project ends, or the integration is no longer required. Administrators should also review active grants and action settings.
Controls administrators can use
- OAuth-scope restrictions: block high-risk Gmail scopes, including sending, while retaining lower-risk read capabilities.
- Application allowlists and blocks: prevent unapproved third-party apps from reaching Workspace data.
- Mailbox and folder permissions: keep shared, delegated, and content-owner boundaries intact.
- Sensitivity-label exclusions: in supported Outlook environments, exclude labeled content from assistant access where policy requires it.
- Action toggles: disable sending, moving, marking, or contact changes even when message search remains available.
- Review and audit procedures: require users to verify sent messages and mailbox changes, particularly for shared addresses and external recipients.
Common limitations and how to handle them

Choosing an appropriate level of access
For personal email
Read and draft access may be sufficient for triage, travel planning, receipts, and follow-up lists. Keep sending disabled unless you have a clear review habit, because a mistaken recipient or unsupported commitment can become an external communication immediately.

For an individual work mailbox
Start with search, summarization, and drafting. Coordinate with the administrator before enabling contacts, message movement, or sending. Work policies may impose sensitivity-label exclusions or prohibit unapproved applications even when the technical connection is available.
For a shared or delegated mailbox
Use the narrowest role that matches the job. Confirm whether the assistant can read the shared folders, whether attachments are supported, and whether sending occurs from the shared address or on behalf of it. Have a human verify every outbound message and bulk mailbox change.
Questions to ask before approving access
- Which mailbox, folders, contacts, and labels can the connection read?
- Can it create drafts, send, move, mark, or delete messages, and which of those actions are disabled by policy?
- Does the permission apply to shared and delegated mailboxes or only the primary mailbox?
- How are attachments, sensitive labels, and content owned by another person handled?
- Who can revoke the connection, and how will sent messages or mailbox changes be reviewed?
An AI coworker is most useful when it turns authorized email into searchable context and prepares work for a human decision-maker. Keep read and write permissions separate, apply organizational controls, and verify the mailbox after any consequential action.
