To promote a webinar effectively, define who it is for and what attendees will get, then coordinate a clear registration page with segmented email, relevant social and partner promotion, timely reminders, and a planned follow-up. Start early enough to build awareness, but keep promoting through event day: Livestorm’s 2026 benchmark, based on its 2025 platform data, found that nearly half of registrations came in the final week. Measure qualified registrations and attendance against your event goal—not just the size of the sign-up list.

Start with the audience, the promise, and the goal

A webinar campaign works best when the session is a useful answer to a specific audience need, not simply a date to advertise. Before choosing channels or writing an invitation, make three decisions:

  • Audience: Who should attend? Specify the role, customer group, experience level, or problem that makes the session relevant.
  • Promise: What will an attendee understand, decide, or be able to do after the session? Make the benefit specific enough that a prospective attendee can judge its value.
  • Goal: What business or audience outcome matters? Examples include qualified registrations, product education, customer expansion, brand awareness, live participation, or a post-event action.

Choose a small set of key performance indicators (KPIs) that match the goal. A campaign intended to educate existing customers might track attendance and engagement among that segment; one intended to generate leads might track qualified registrations and subsequent actions. Raw registrations alone can be misleading if many sign-ups are irrelevant or do not attend.

Build a registration page that makes the decision easy

Use a dedicated event page that gives a visitor the information needed to decide and register. State the topic, intended audience, date and time, speaker credentials, and practical attendee benefit. Explain what will happen live, and describe any Q&A, demonstration, or interaction only if it is actually planned.

When should you promote a webinar?

Livestorm recommends starting B2B webinar promotion about four weeks before the event. That gives you time to establish awareness and build a calendar of promotional activity. Its 2026 benchmark, drawing on 2025 platform data, also shows why promotion should continue close to the event: 49.6% of registrations in that dataset occurred in the final seven days, and 15.3% occurred on the event day. By comparison, 16.4% signed up at least three weeks in advance.

Those are findings from Livestorm’s own platform data, not a universal schedule or forecast. Use the early period to reach relevant audiences and the final stretch to capture people who decide later. Leave registration open until the event begins when your event setup allows it.

Timing What to do Purpose
About four weeks before Publish the event page and announce the session to the most relevant customer, subscriber, and partner segments. Establish awareness and give interested people time to plan.
Middle of the promotion period Share useful material about the topic or speaker through appropriate email, social, newsletter, community, partner, and speaker channels. Explain the value in more than one way and extend reach to relevant audiences.
Final seven days Send a focused reminder or a fresh, accurate reason to attend; ask appropriate partners or speakers to amplify the event. Reach people who make decisions close to the date.
Event day Keep late registration available if operationally possible and send a concise access reminder. Make it straightforward for last-minute registrants to join.

This is a starting sequence, not a rule about the exact number or spacing of messages. Adjust it to your audience’s response, mailing preferences, and the event format.

Choose channels by audience fit, not popularity alone

Email is a useful starting point when you have a relevant, permission-based list. Livestorm’s 2026 Webinar Benchmark Report says 86.3% of teams used email for webinar promotion, compared with 43.3% using organic social and 20.4% using paid social. These figures describe channel use, not which channel converts best or produces the highest return. Decide where your intended audience pays attention, track each source, and compare performance with your own results.

Email

Segment invitations so that the subject and benefit fit the recipient. A customer, prospect, newsletter subscriber, or partner may need a different reason to attend; avoid sending every invitation to the entire list by default. Use a subject line that accurately signals the topic, and make the body explain the session’s value and who it is for. Pauline Mura, Livestorm’s Senior Marketing Partnerships Manager, has described email as the best-performing channel when it has a catchy subject line and clear value proposition; treat that as her attributed professional opinion, not an independent channel comparison.

Organic social and community distribution

Use relevant company and speaker channels to introduce the problem the webinar addresses, share a useful point from the topic, or highlight the speaker’s expertise. Community posts should fit the group and its posting rules rather than read like generic advertisements. Track the registration source so you can see whether the activity reached people who actually signed up.

Speakers and partners

Give speakers and partners a concise description, event-page link, date and time, and a suggested message they can adapt for their own audiences. Their networks can extend reach beyond your list, but distribution is most useful when the audience overlap is relevant. Zoom’s webinar guidance also recommends using speaker and partner networks and tracking registration sources.

Paid social

Use paid promotion only when it fits your audience and campaign economics. The Livestorm channel figures report how many teams used paid social; they do not establish its conversion rate or return. Set up source tracking and judge paid activity against the goal you defined, such as qualified registrations rather than clicks alone.

How do you get more people to register?

Make the value of the live session easy to understand and distribute it to people likely to care. The registration page, invitation, and promotional posts should agree on the audience, topic, and attendee benefit. Tailor messages by segment, share topic- or speaker-specific material between announcements, and use partner distribution when it reaches a relevant group. On the page, ask only for information you need and make the time and sign-up steps clear.

Keep registration available close to the event if the webinar platform and your operations permit it. Livestorm’s 2025 dataset, reported in its 2026 benchmark, found that registrations were concentrated late in the campaign; an early announcement alone can miss people who decide near the date. Track registrations by source and, where relevant, qualification so you can distinguish useful reach from volume.

How do you turn registrations into attendance?

Plan for attendance as a separate outcome. A registration records interest, but it does not guarantee that the person will join. Livestorm’s 2026 summary reports an average of 175 registrants and 83 live attendees per webinar, with a 51.3% show-up rate, and an average viewing time of 26 minutes. The figures are reported from Livestorm’s 2025 platform data; they are context for comparison, not targets for every event. Livestorm also reports that 54.2% of practitioners surveyed identified converting registrants into live attendees as their top challenge.

Send practical reminders that make joining easy. Livestorm recommends a reminder the day before, one hour before, and at the start. Include the access information and a concise explanation of what the session covers. If a live Q&A, demonstration, or other interactive element is part of the actual agenda, mention it as a reason to attend live; do not promise an experience you have not planned.

Plan the follow-up before the webinar

Decide in advance what registrants will receive after the event, including people who could not attend. That way, the recording, resources, feedback request, and next step do not depend on an improvised post-event email.

  • Attendees: Send a thank-you and any relevant resources. Invite feedback if you will use it to improve future sessions.
  • No-shows: If a recording is available, send an on-demand link and a clear next step rather than treating registration as proof of attendance.
  • Both groups: Share only materials they are entitled to receive, and make the next action relevant to the event and audience.

Zoom’s operational guidance recommends collecting feedback, reviewing recordings, making them available on demand, emailing recordings and resources, and examining event reports. Recordings can also support future promotion when you have the necessary rights and speaker permissions.

Extend the life of an evergreen recording

A recording can also be repurposed as an ongoing YouTube content asset, separately from the original webinar registration campaign. StreamNeo is a cloud service that keeps a YouTube channel live 24/7 from uploaded videos; it can loop an uploaded webinar recording, but it is not a webinar host, a camera-based live production tool, or a registration system. That approach is relevant only if an ongoing YouTube stream suits the content and you have the rights to use the recording.

Review results against the goal you set

After the event, compare results with the KPIs chosen at the outset. Depending on the goal and available reporting, review registration sources, qualified registrations, attendance, viewing duration, Q&A or poll participation, feedback, and downstream actions. Zoom recommends examining registration and attendance, engagement such as Q&A and polls, and performance reports.

Use the debrief to decide what to keep, change, or stop in the next campaign. Compare channel performance with your own prior events and audience, not just a published benchmark. Livestorm’s data covers its platform users and its survey covers practitioners it surveyed; it cannot establish a universal registration, attendance, or viewing target across industries, formats, and audiences.

Common webinar promotion mistakes to avoid

  • Promoting a topic without a defined audience: State who the session is for and the need it addresses.
  • Optimizing only for sign-ups: Match campaign metrics to the actual goal, and assess attendance or qualification where those outcomes matter.
  • Stopping promotion after the first announcement: Build a varied sequence through event day, with appropriate late-stage promotion.
  • Using one message for every segment: Explain the benefit in terms relevant to the recipient and avoid unnecessary mass invitations.
  • Treating reminders as a substitute for value: Reminders help registrants join; a clear, credible event promise gives them a reason to register and attend.
  • Waiting until after the event to decide what happens next: Prepare the recording, resources, feedback request, and follow-up before going live.
  • Copying a benchmark as a target: Platform averages are reference points, not guarantees for a different audience or event.
