Pexip Infinity is the clearest Webex alternative when your organization must keep conferencing infrastructure in its own datacenter or combine on-premises, private-cloud and public-cloud resources. It supports SIP and H.323 room systems and can bridge them into Microsoft Teams meetings. Microsoft Teams Rooms, RingCentral Rooms and Cisco’s Webex Video Integration for Microsoft Teams are better fits when the priority is a managed room experience or access to meetings on several services rather than hosting the entire conferencing core yourself.
The important distinction is between hosting the conferencing service and joining external meetings from a room. Only the first option satisfies a strict customer-controlled deployment requirement. The others provide interoperability, room management or a migration path while the main service remains vendor-hosted.
Which alternative fits an on-premises or hybrid requirement?
Start by deciding what “on-premises” means for your organization. If policy requires the signaling, media and management plane to run under your control, you need a platform that explicitly supports deployment in your datacenter or private cloud. If the requirement is instead to keep existing conference-room equipment while users join meetings hosted by several providers, a managed room platform may be sufficient.

|---|---|---|---|---|
| Pexip Infinity | Own datacenter, private cloud, public cloud or any hybrid combination | SIP and H.323 systems, including Cisco and Polycom environments | Cloud Video Interoperability (CVI) for Microsoft Teams and bridges between meeting ecosystems | Strict on-premises, hybrid or legacy-endpoint requirements |
| Microsoft Teams Rooms | Room appliance and management choice; the retrieved Microsoft material does not establish a customer-hosted replacement for the Teams service | Third-party meeting join and SIP video calling when enabled | Join providers such as Cisco Webex and Google Meet from a Teams Room | Organizations already standardized on Microsoft 365 |
| RingCentral Rooms | Managed room service | Room hardware supported by the service; confirm models and geography | One-tap joining for Teams, Webex, Google and other providers | Consistent multi-provider room workflow without self-hosting |
| Cisco Webex Video Integration for Microsoft Teams | Works with Cisco and other SIP-capable devices registered to Webex or on-premises infrastructure | Cisco and other SIP video devices | Lets those devices join Microsoft Teams meetings | Keeping Cisco hardware and Webex administration while adding Teams access |
For a hard requirement to place the conferencing service in a customer-controlled environment, Pexip Infinity is the only candidate in this comparison with an explicit own-datacenter deployment statement. The other options address room access and interoperability, not a fully self-hosted replacement.

Pexip Infinity: the strongest fit for customer-controlled deployment
Pexip states that Infinity can run in an organization’s own datacenter, in a private or public cloud such as Microsoft Azure, Amazon Web Services, Google Cloud Platform or Oracle Cloud Infrastructure, or in any hybrid combination. That flexibility lets an organization keep sensitive workloads on premises while placing selected capacity in a cloud region or extending service during a migration.
How its Teams interoperability works
Pexip Cloud Video Interoperability (CVI) allows professional SIP and H.323 systems to join Microsoft Teams conferences as if they were native Microsoft clients. In practice, that can include legacy Cisco or Polycom rooms, standards-based codecs and other systems that cannot run a modern Teams client locally.
CVI is valuable when the room estate is too large or expensive to replace. A room can continue using its existing camera, microphone, display and control interface while Pexip handles the translation between the room protocol and the Teams meeting. The exact capabilities available inside a Teams meeting still depend on the endpoint, Pexip configuration and the meeting features exposed through the interoperability path.
Windows Errors? Fix Them Before They Spread

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteWhen Pexip should be your first evaluation
- Your security architecture requires conferencing infrastructure in a controlled datacenter or private cloud.
- You need a deliberate mix of on-premises and public-cloud capacity rather than a single hosting location.
- You must preserve SIP or H.323 rooms during a phased hardware refresh.
- Users meet with several organizations that use different meeting platforms.
- Your network and operations teams can run another service, including upgrades, certificates, monitoring and capacity planning.
Pexip evaluation checklist
- Map the deployment boundary. Decide which components must remain in your datacenter, which may run in a private cloud and whether public-cloud capacity is acceptable for overflow or remote sites.
- Inventory every endpoint. Record vendor, model, software version, registration method, supported codecs, camera and microphone configuration, dual-screen capability and content-sharing method.
- Test the meeting paths. Pilot one-to-one calls, scheduled Teams meetings, ad-hoc calls, content sharing, far-end camera control if required, lobby behavior and disconnect/reconnect recovery.
- Measure operational work. Include certificate renewal, DNS, firewall changes, upgrades, backups, monitoring, incident response and staffing in the total-cost calculation.
- Confirm commercial scope. Validate Pexip licensing, supported software versions, regional support and which interoperability features require additional entitlements.
Pexip is not automatically the least expensive option. A self-managed deployment shifts responsibility for infrastructure, resilience and operations to your organization. It is strongest when that control is a requirement rather than an optional preference.
Microsoft Teams Rooms: a practical choice for Microsoft 365 estates
Teams Rooms is a room and collaboration-platform choice for organizations already using Microsoft 365. Microsoft documents third-party meeting join for providers such as Cisco Webex and Google Meet, and supports SIP video calling when enabled. A room can therefore remain a consistent Teams-managed space while users join meetings hosted elsewhere.
What Teams Rooms does well
- Provides a familiar calendar-driven room experience for Microsoft 365 users.
- Allows third-party meeting links to be presented for room joining, subject to provider and configuration requirements.
- Supports SIP video calling when the required settings and services are enabled.
- Reduces the need to replace every room simply because meetings are hosted on another platform.
What it does not establish
The Microsoft material used for this comparison documents interoperability, not a customer-hosted replacement for the Teams service itself. If a regulator or internal policy says that the conferencing core must run in your own facilities, treat Teams Rooms as a room endpoint and management decision, not as evidence that the entire Teams service can be self-hosted.

- Supports your favorite video conferencing apps: Compatible with Skype, Microsoft Teams, Google Meet, Cisco, Zoom, BlueJeans, Amazon Chime, GoToMeeting, Slack
Deployment steps
- Choose the room configuration. Select a supported room appliance or computer-based room system, then verify camera, microphone, display and touch-console compatibility.
- Prepare identity and calendars. Create the room resource, assign the required Teams Rooms licensing and connect the calendar used for one-touch joining.
- Enable external meeting providers. Configure the third-party meeting providers your organization permits and test how their invitations are parsed on the room console.
- Enable SIP calling if required. Confirm the tenant, calling service and network prerequisites before expecting a standards-based device to dial or receive SIP calls.
- Test feature boundaries. Check participant admission, content sharing, layouts, captions, recording indicators and in-meeting controls for each external provider. Interoperability does not guarantee identical controls.
Teams Rooms is usually the shortest path for a Microsoft 365 organization that wants room consistency and occasional access to outside meetings. It is less suitable when the primary requirement is independent, customer-hosted conferencing infrastructure.
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →RingCentral Rooms: managed one-tap access across providers
RingCentral positions Rooms for hybrid and virtual meetings and states that users can join Teams, Webex, Google and other third-party meetings from a room with one tap. That makes it a strong managed-room option for organizations that want a consistent calendar and controller workflow across several services.
Where it fits
- Rooms are used by different departments or customers that do not share one meeting platform.
- The organization wants a uniform join process without building and operating an interoperability core.
- Facilities teams prefer a managed service and standardized room controls.
- External meeting links must be easy for occasional visitors to use.
Questions to settle before adoption
- Which room hardware models are supported in the target country and for the room size you operate?
- Where are meeting metadata, logs and recordings processed, and does that satisfy data-residency rules?
- How are identity, administrator roles, retention and audit requirements integrated with your existing controls?
- What happens when a provider changes its invitation format or authentication flow?
- Which functions are available when joining an external meeting rather than a native RingCentral meeting?
RingCentral Rooms solves the room-workflow problem, not the requirement to host the conferencing core in your own datacenter. If self-hosting is mandatory, evaluate it only as an endpoint and meeting-access layer alongside a platform such as Pexip Infinity.
Cisco Webex Video Integration for Microsoft Teams
Cisco’s Webex Video Integration for Microsoft Teams is an integration path for organizations that still rely on Cisco room hardware or Webex administration but need those rooms to join Teams meetings. Cisco documents support for Cisco devices and other SIP-capable video devices, including devices registered to on-premises infrastructure.
Why organizations retain this path
- The existing Cisco room estate is operationally sound and replacement would be disruptive.
- Webex device management, directory integration or support skills remain strategic.
- Teams access is required for selected partners or business units, but a complete platform migration is not justified.
This is not an independent, self-hosted conferencing platform. It extends the usefulness of Cisco and Webex-managed endpoints into Teams meetings. Compare its licensing, supported device versions and feature limits with a Pexip-based architecture before selecting it for a broad migration.

Can existing Cisco, Polycom or other SIP/H.323 rooms join external meetings?
Usually, yes, but the route matters. A standards-based room cannot simply be assumed to have the same capabilities as a native client. The room may need a CVI service, a SIP dial string, a gateway registration, a supported software version or a calendar integration.

| Requirement | What to verify |
|---|---|
| Protocol support | Whether the endpoint uses SIP, H.323 or both, and which codecs and transport modes it supports |
| Meeting address | How the service converts an invitation into a dialable address and whether the room can parse it automatically |
| Authentication | Whether guests can join without a personal account and how lobby or waiting-room policies apply |
| Content sharing | Whether HDMI, wireless presentation or dual-stream content is available in the external meeting |
| Audio behavior | Echo cancellation, mute synchronization, far-end volume control and recovery after a network interruption |
| Video layouts | Gallery, speaker, content-plus-people and dual-screen behavior on the specific endpoint |
| Operations | Who owns certificates, software updates, logs, alerts and troubleshooting when the room cannot connect |
Pexip documents the broadest standards-based bridge in this set because its CVI service is designed to make SIP and H.323 systems appear as participants in Teams conferences. Teams Rooms and RingCentral Rooms focus more on a managed room experience, while Cisco’s integration preserves a Cisco/Webex device estate.
Security, compliance and data-residency decisions
“Hybrid” does not automatically mean compliant. A design can keep a gateway in your datacenter while meeting metadata, participant identities or recordings are processed by a hosted service. Treat each data flow separately.
Build a control matrix
- Media location: Identify where audio, video and shared content travel and whether media can remain in approved regions.
- Signaling and metadata: Determine where meeting identifiers, participant names, device addresses and diagnostic logs are stored.
- Identity: Confirm single sign-on, multifactor authentication, guest access, administrator roles and service-account ownership.
- Retention: Establish how long logs, recordings and transcripts remain available and how deletion requests are handled.
- Network separation: Place room systems, gateways and management interfaces in appropriate network segments with narrowly scoped firewall rules.
- Change control: Define who approves firmware, gateway and integration updates and how compatibility is tested before rollout.
Ask each supplier for current compliance documentation and regional processing details. The capabilities of a room endpoint, a gateway and the meeting provider are separate; do not infer one from another.
Network and infrastructure planning
A self-managed or hybrid design adds infrastructure decisions that a fully hosted room service hides. Plan for the following before purchasing licenses or appliances.
- Capacity: Size concurrent calls, peak all-hands events, recording traffic and remote-site growth separately. A gateway sized for average use may fail during predictable peaks.
- Resilience: Decide whether you need redundant nodes, independent power, diverse network paths and tested failover between sites or cloud regions.
- Firewall policy: Document signaling and media flows for every meeting provider and avoid broad outbound rules that cannot be audited.
- Quality of service: Prioritize real-time media on managed networks and monitor packet loss, jitter and latency from each room location.
- Addressing and certificates: Reserve stable DNS names, certificate ownership and renewal responsibilities before the pilot.
- Monitoring: Collect room health, registration status, call failures and media-quality metrics in the same operations workflow used for other collaboration services.
For a hybrid rollout, decide which calls stay local and which are routed through public-cloud capacity. Document the rule, test failover, and make sure privacy policies match the actual route rather than the intended design.
Licensing and total cost of ownership
Public list prices are not established in the material used here, and licensing varies by deployment, room, device, concurrency and interoperability feature. Compare the full cost rather than a per-room headline number.

Self-hosting can reduce dependency on a single cloud control plane but increases the amount of infrastructure and expertise you must own. Managed rooms can reduce operational burden while providing less control over where the service runs. Make that trade-off explicit in the business case.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteA migration plan that avoids a room-by-room surprise
- Classify the requirement. Mark each site as strict on-premises, hybrid-approved or managed-cloud acceptable. Do not use one architecture for all sites without documenting the exception.
- Inventory rooms and meetings. Capture endpoint models, software versions, calendar systems, room size, accessibility needs, meeting providers used by partners and required content-sharing methods.
- Select a pilot cohort. Include a small room, a large room, a room with dual displays, a legacy SIP/H.323 endpoint and users who regularly meet external organizations.
- Configure interoperability. Set up Pexip CVI, Teams Rooms provider settings, RingCentral one-tap joining or Cisco’s Teams integration according to the chosen design.
- Run scripted tests. Test scheduled and ad-hoc meetings, guest access, lobby controls, content, captions, recording indicators, mute behavior, network interruption and device reboot.
- Measure operations. Record help-desk incidents, time to resolve failed joins, administrator effort, call quality and any feature gaps reported by users.
- Roll out by risk. Migrate rooms with stable hardware first, then sites with complex calendars or regulated workloads after the control matrix is approved.
- Keep a rollback path. Preserve the previous room configuration and calendar instructions until the new workflow has passed an agreed stability period.
Common failure modes and fixes
The room sees the invitation but cannot join
Check whether the provider is enabled for that room, whether the invitation contains a supported meeting address and whether the endpoint software version is compatible. If automatic parsing is unreliable, provide a tested manual dial workflow while correcting the calendar integration.
Video connects but content does not
Verify that the endpoint supports the content stream exposed by the interoperability service and that the room’s HDMI or wireless-presentation path is active. Test content with both a native meeting and an external meeting; the difference identifies whether the issue is local hardware or interoperability.
Participants report poor quality only in certain rooms
Compare packet loss, jitter, latency, camera USB bandwidth and microphone placement at the affected sites. Do not assume the meeting provider is at fault when the pattern follows one switch, wireless segment or room computer.
One provider works while another has missing controls
Interoperability paths do not guarantee feature parity. Record which controls are essential—lobby admission, captions, recording, breakout rooms, layouts or content—and verify them per provider before promising an identical experience.
A hybrid design becomes difficult to operate
Assign ownership for certificates, upgrades, monitoring, capacity and vendor escalation. If no team can own those tasks, reconsider self-hosting and use a managed room option for sites where operational control is not mandatory.

Decision guide
Choose Pexip Infinity when control is non-negotiable
Select Pexip when customer-controlled deployment, hybrid architecture or preservation of SIP/H.323 hardware is the primary requirement. Confirm feature parity, licensing, supported versions and regional support during the pilot.
Choose Microsoft Teams Rooms when Microsoft 365 is already standard
Use Teams Rooms when the organization wants a native Microsoft room workflow and third-party meeting join is sufficient. Treat it as a room and collaboration choice, not proof of a self-hosted Teams service.
Choose RingCentral Rooms when simplicity across providers matters most
Use RingCentral Rooms when one-tap access to Teams, Webex, Google and other meetings is more valuable than hosting the conferencing core. Validate data residency, identity integration, compliance controls and hardware support first.

Keep Cisco’s integration when the Cisco estate remains strategic
Use Webex Video Integration for Microsoft Teams when Cisco devices and Webex administration should remain in place while users gain access to Teams meetings. Compare its licensing and limitations with a broader interoperability platform before expanding it.
For organizations replacing Webex without moving every meeting to a public-cloud service, the practical architecture is often mixed: a customer-controlled interoperability layer for sensitive or legacy-room workloads, plus managed room clients where convenience and broad provider access matter more than hosting location.
