Then combine a manageable folder or collection structure with tags and search, and choose storage or a video-management platform according to how your team needs to find, prepare, protect, share, and retain videos.
What video content management includes
Video content management is a lifecycle, not just a folder tree. It can include uploading files, preparing them for playback, describing and indexing them, controlling access, distributing them, and archiving or removing them when they are no longer needed. A folder can hold a video without providing those video-specific capabilities. Vimeo’s overview of video content management describes this broader set of functions.
Start with the work your library must support. A small team sharing a few internal recordings may need only consistent names, folders, and access rules. A larger library used across departments may need searchable metadata, approval workflows, playback preparation, and managed delivery. A digital asset management (DAM) system can manage video alongside other digital assets; a media asset management (MAM) system is oriented toward media workflows. The boundaries and capabilities vary by vendor, so evaluate products against actual requirements rather than labels alone. Audit the library and set governance first
Before moving files or configuring a platform, inventory the material you already have. Identify active, obsolete, duplicate, restricted, and archival videos. For each library area, decide who is responsible for the content, who can view or change it, and how rights and review or expiration dates will be tracked. Governance policies should cover permissions, rights, and access before implementation, as Microsoft’s DAM guidance recommends.

- Ownership: Assign a person or team to maintain each collection and resolve questions about its contents.
- Access: Define who can upload, edit metadata, review, publish, view, or archive. Give people only the access their tasks require.
- Rights and review: Record usage restrictions and any relevant expiration or review date so that a video is not reused after permission ends.
- Duplicates and versions: Decide how to identify the current approved version and what to do with superseded copies.
- Retention: Establish when material should be kept, archived, or deleted, consistent with your organization’s needs and obligations.
Involve the people who create, approve, and use the videos. A system that reflects only one team’s habits is likely to make the library harder for everyone else to use. Microsoft also emphasizes training and periodic review of policies and workflows.
Choose metadata people can maintain
Metadata makes videos easier to find and manage. Begin with a small, controlled set of fields that users can apply consistently instead of allowing an unrestricted assortment of tags. Adobe’s Experience Manager as a Cloud Service documentation identifies fields such as asset name, type, location, modified date, and tags, and recommends planning metadata across workflow stages, including ingestion. Adobe’s metadata management guidance explains its approach.
Consider adding fields such as owner, audience, project, approval state, language, or review date only if they answer a real search or governance need. These are useful possibilities, not fields every library must require. Each extra field creates work at upload and ongoing maintenance.

Make metadata part of uploading
Ask contributors to enter required information when they upload or submit a video for review. Define acceptable terms for fields that need consistency, such as department names or approval states. If a field is optional, be clear about when it matters. Applying metadata at ingestion is easier to sustain than trying to reconstruct it later across a large archive.

Choose a naming convention that helps people distinguish related files, versions, or events. Keep names readable and avoid relying on a contributor’s personal shorthand. Names complement structured fields; they should not be the only way users can identify ownership, status, or rights.
Combine folders with tags and search
Use folders or collections for broad context, such as a team, program, or project. Use tags and structured fields to find videos across those boundaries. There is no universal folder structure: organizational goals differ, and a video relevant to multiple topics should not necessarily be copied into multiple folders. A useful test is whether someone can find a known video using the words they would naturally search, without knowing which folder its uploader chose. If not, improve the metadata, terms, or training rather than adding more layers to the folder tree.
Choose the right kind of system
General file storage may be enough when the main need is keeping files in a shared location. A dedicated video CMS may add video ingestion, playback preparation, metadata search, access controls, and delivery to viewers. A DAM can be a better fit when teams manage video alongside images, documents, and other creative assets; a MAM may suit broader media workflows. These category descriptions are not guarantees of particular features, and products differ. Verify capabilities in current vendor documentation.

Map access to real jobs rather than giving every user broad editing rights. Typical tasks include uploading, editing metadata, reviewing, publishing, viewing, and archiving. Decide how approvals work, who can replace or supersede an asset, and how restricted videos are handled. Microsoft identifies permissions, version control, governance, and workflow as DAM concerns; Vimeo’s video-management overview also describes access controls and approval structures.
Document the rules users need to apply: how to identify an approved version, where to send a video for review, what happens when rights expire, and when material should be archived or deleted. Review the rules periodically as teams and workflows change.

Test whether people can find the right video
Before rolling out a structure broadly, ask representative users to locate a known asset using ordinary search terms. Watch for missing metadata, inconsistent tags, confusing names, inaccessible content, and duplicate files. Use those findings to adjust the schema, permissions, and training. Microsoft recommends training and continuous improvement, including periodic review of policies and workflows.
