Task management software helps you capture, assign, prioritize, and complete individual tasks. Project management software coordinates tasks as part of a broader plan, with tools such as dependencies, timelines, resource or cost tracking, reporting, and shared project visibility when the work calls for them. The categories overlap: many project tools include task management, so choose according to the coordination your work requires—not the product label.
What is the difference between task management and project management software?
A task is a piece of work someone needs to do. It commonly has an owner, a status or priority, and a due date or next action. Task management software makes it easier to collect those items, decide what matters, assign work, and see what remains.
A project is a coordinated effort to deliver an outcome. Its tasks may have to happen in a particular order, share people or resources, meet milestones, or stay within a budget. Project management software adds ways to plan and monitor those relationships so a team can understand progress beyond the status of any single task.
The distinction is one of scope, not a hard boundary. Atlassian includes task management and task dependencies among the capabilities of project-management tools, so a project tool can also serve as a task manager. Its project guidance describes the value as bringing work together with context about what is being done, why, who is responsible, and how it is going: Atlassian’s explanation of a project.

When is task management software enough?
Use a task-focused app when the main question is “What needs doing next, and who owns it?” It is often enough for personal to-dos, recurring actions, daily priorities, or a small set of team assignments that do not need a detailed shared schedule.
Microsoft’s product guidance illustrates the range: To Do is intended for listing and sorting personal tasks and focusing on daily priorities; Planner helps teams create plans, assign tasks, discuss work, and review progress charts. For a straightforward team effort with a few deliverables and limited dependencies, a lightweight planner may provide the needed visibility without requiring a full project schedule. When do you need project management software?
Consider a project-oriented tool when the outcome depends on coordinating work rather than simply collecting tasks. That is more likely when deliverables depend on one another, work moves through phases, resources are shared, deadlines need to be sequenced, or stakeholders need a reliable view of overall progress.
Microsoft’s guidance says Project works best when dependencies, costs, or complexity increase. Its product descriptions include timeline or Gantt views for task dependencies in Project for the web, and describe Project Online capabilities such as schedules, resource assignments, time reporting, and cross-project portfolio visibility. Atlassian likewise describes project tools with capabilities including resource allocation, roadmaps, dependencies, collaboration, reporting, and analytics. These are examples of vendor-described capabilities, not a promise that every product or subscription includes all of them.

A useful test is whether a change to one task affects other work. If a delayed deliverable changes the schedule for several people, or if you need to see which work is blocked and what the delay affects, dependency-aware planning can be more useful than a standalone task list.

- Mostly individual priorities: Start with a personal task list or task-management app if you mainly need to remember, sort, and finish your own work.
- A small, simple team effort: Consider a lightweight team planner when people need to assign tasks and check progress, but there are few dependencies or planning constraints.
- Interdependent work or multiple phases: Look for project planning with dependency-aware timelines when tasks must be sequenced or milestones affect one another.
- Budget or resource constraints: Check for cost, workload, or resource-planning features if the team must coordinate capacity, assignments, or spending.
- Stakeholder or cross-team visibility: Compare reporting, permissions, integrations, and cross-project views when people outside the immediate team need updates or context.
- Existing team practices: Consider whether the tool fits how the team already discusses work and shares updates; additional planning features are useful only if the team can maintain them.
Atlassian offers an internal heuristic of two or more people working for two or more weeks when deciding whether to create a project, but it notes teams can set a higher or lower threshold. Treat that as a product-team practice, not a universal rule: a short but interdependent effort may need project planning, while a longer stretch of independent tasks may not.

These comparison points follow the capabilities described by Microsoft and Atlassian; they are evaluation criteria, not claims that all products have every feature. Check the vendor’s current plan information for exact feature availability before choosing or purchasing.
How do Microsoft’s task and project tools fit?
Microsoft distinguishes several products by intended use: To Do for personal task lists and priorities, Planner for team plans and assigned tasks, and Project for work that needs more complex planning. The same support article also discusses Project Online and the Tasks app in Teams. Names, packaging, licensing, and feature availability can change, so confirm current Microsoft documentation for the product and plan you are considering.
These examples show why the choice is not simply “task app or project app.” A team can begin with a planner for a simple effort and need more structured scheduling as dependencies or costs become important. Evaluate the actual features and current subscription terms rather than assuming that a product name or broad category tells you what is included.
Do you need a task manager or a project tool?
If you mainly need to capture work, set priorities, and know who is doing each item, task management is likely sufficient. If success depends on coordinating interdependent deliverables, timelines, resources, costs, or stakeholder reporting, evaluate project-management software. Because project tools often include task features, the best fit is the simplest product that gives your team the visibility and coordination the work actually needs.
