There is no universal five-year winner. A one-time license usually suits a stable workload on one computer when you do not need bundled cloud services. A subscription can be the better value when you need current features, security fixes, several devices or users, cloud storage, collaboration, support or flexible scaling. The answer depends on local pricing, renewal changes, upgrade timing, device count and the value you place on services included with the plan.

What you are actually buying

The word “software” hides two different products. A perpetual (one-time) license buys a defined version that you can continue using after the transaction. A subscription buys continuing entitlement: while payments are current, you receive the provider’s supported version and whatever services the plan includes.

Microsoft’s wording makes the distinction clear. Microsoft 365 is a subscription service intended to keep productivity apps up to date, while Office 2024 is a single up-front purchase for the apps on one computer. Those are different ownership and support models, not merely two payment schedules.

Subscription: continuity and a bundle of services

  • Monthly or annual billing keeps the entitlement active.
  • Feature releases, security updates and bug fixes arrive during an active subscription.
  • Eligible Microsoft 365 plans can be installed across devices and signed in on five at once; Family, Premium and Pro plans can be shared with up to five additional people.
  • Cloud storage, collaboration features and ongoing support are included where the plan specifies them.
  • Full functionality depends on continued payment and periodic online sign-in.

One-time purchase: a fixed version

  • You pay once for that release, such as Office 2024, for one PC or Mac.
  • Security updates are included, but a later major-version upgrade is not.
  • Subscription services such as cloud storage and ongoing support are not part of the license.
  • The installed version remains usable after purchase, although compatibility and feature currency can decline over time.
  • Internet access is still needed for activation, updates and periodic reactivation.

Cash flow Lower initial outlay, followed by monthly or annual charges Higher up-front payment; no recurring fee for that version
Features and fixes Latest feature releases, security updates and bug fixes while active Security updates, but no included major-version upgrade
Devices and people Can be installed across devices and signed in on five at once; some plans share with up to five additional people One PC or Mac for Office 2024
Cloud and support Cloud storage, collaboration and ongoing support are included according to plan Those subscription services are not included
After cancellation Access and full features depend on continued payment The purchased version remains usable, subject to compatibility and reactivation requirements
Connectivity Works offline after installation, but periodic online sign-in is required to remain fully functional Works offline after installation; internet is required for activation, updates and periodic reactivation

Microsoft’s FAQ also notes that one-time purchases have no upgrade option: moving to the next major release means buying it at full price. That future purchase is the line item many five-year comparisons omit.

How to calculate a five-year total honestly

Do not compare a single purchase price with one month of subscription. Put every cost and material benefit into the same five-year window.

  1. Record the current local price. Use the price for your country and edition on a stated date. Keep taxes, currency and any promotional discount visible.
  2. Sum five years of subscription payments. Multiply the actual monthly or annual charge by the number of billing periods, then model any renewal-price increase separately. A first-year promotion is not a five-year price.
  3. Start the perpetual column with the full license price. Add the cost of any major upgrade you would realistically buy during years one through five. SoftwareAdvice’s 2024 total-cost model describes major perpetual-license upgrades as commonly occurring within a five-to-ten-year window.
  4. Value included services. Estimate what equivalent cloud storage, collaboration tools, support and additional device or user access would cost if purchased separately. If you would not buy those services, assign them zero rather than counting them as savings.
  5. Include switching and exit costs. Account for migration work, data export, replacement storage, unsupported features or reduced functionality after cancellation.
  6. Run more than one scenario. Show a base case, a renewal-increase case and an upgrade case. Label assumptions so a reader can substitute their own numbers.

A simple worksheet is:

Five-year item Subscription calculation One-time calculation
License payments Five years of monthly or annual charges, including modeled renewal changes Initial purchase price
Major upgrade Normally included while active Add any upgrade purchased during the period
Cloud, collaboration and support Included services valued at your replacement cost Add substitutes only if you would actually buy them
Devices or users Account for plan sharing and the number of installations you need Add separate licenses where the edition requires them
Exit or migration Export, replacement and reduced-functionality costs after cancellation Compatibility or reactivation costs for the old version
Five-year total Payments plus any chosen service and exit costs Purchase plus upgrades, maintenance and exit costs

SoftwareAdvice’s 2024 guide illustrates why the horizon matters: total-cost lines in its model tend to converge after roughly seven to ten years. That is a general illustration, not a quote for a particular product. At five years, the lower-cost choice can still be whichever has the lower local price and the upgrade pattern that matches your behavior.

When a one-time license is the better choice

Your feature set is stable

If you need word processing, spreadsheets or presentations as they exist today and do not expect a major workflow change, a fixed version avoids paying for releases you will not use. This is especially sensible for a dedicated computer that may run the same software for several years.

You use one computer and already have services

Office 2024’s one-PC-or-Mac scope can be sufficient when there is no second laptop, tablet or household member to cover. If you already pay for separate storage, backup and collaboration services, a subscription bundle may duplicate spending.

You can tolerate upgrade timing

A perpetual license is not automatically the cheapest forever. It wins when you keep the version for the full period and either skip major releases or buy them less often than the subscription would cost. Decide in advance whether a new release is a requirement or merely a preference.

You need a durable fallback

A purchased version can continue working after you stop paying, subject to activation and compatibility. That makes budgeting predictable, but it shifts responsibility for future compatibility and support onto you.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When a subscription earns its recurring cost

You need current features and supported fixes

Organizations with changing formats, security requirements or collaborative workflows may value continuous feature, security and bug-fix delivery more than a fixed purchase price. The subscription removes the separate decision and payment required for each major release.

You work across devices or share with others

Five-at-once sign-in and eligible Family, Premium and Pro sharing can change the arithmetic for a household. Compare the subscription’s allowed people and devices with the number of perpetual licenses you would otherwise have to buy.

Cloud storage and collaboration replace other tools

Count the services only when they displace something you would otherwise pay for or maintain. For a remote team, shared files and provider support can be operational necessities rather than optional extras.

Your headcount or usage changes

Subscriptions can be easier to scale up, scale down or reassign than buying a new perpetual license for every temporary user. Check the plan’s seat, sharing and cancellation rules before treating that flexibility as a saving.

Connectivity is part of ownership

Neither model is completely independent of the internet. Microsoft 365 can run offline after installation, but it requires periodic online sign-in to remain fully functional. Office 2024 also works offline after setup, yet activation, updates and periodic reactivation require internet access.

  • Keep account credentials and recovery methods available; losing access to the account can be more disruptive than losing an installation file.
  • Document activation status and renewal dates for a business handover.

These requirements are ownership costs because they affect deployment, travel, offline operations and recovery time, even when the license itself was paid for once.

The hybrid model: current software with a fallback version

Some vendors combine subscription access with a perpetual fallback. JetBrains describes a model in which you pay monthly or annually for the full feature set and updates. After 12 consecutive months of uninterrupted subscription, you receive a perpetual license for a specific product version that remains usable if you cancel.

For some on-premises team tools, JetBrains also documents a perpetual license with one year of upgrade coverage: after that coverage expires, the paid version continues to work while newer versions require a renewal. This structure can suit developers and teams that need current tooling during active work but want a durable version for maintenance or a budget-constrained period.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Read the exact eligibility rule before relying on the fallback. The 12-month condition, the version granted and the treatment of upgrades are product-specific; a short or interrupted subscription may not qualify.

A decision process you can reuse

  1. List the workload. Write down the applications, features, file formats, integrations and collaboration tasks that are genuinely required.
  2. Count people and devices. Include home, office, travel and shared machines, not just today’s primary computer.
  3. Separate must-have services. Mark cloud storage, support, sharing and current releases as required, useful or unnecessary.
  4. Choose an upgrade policy. State whether you would buy a major perpetual upgrade within five years and when.
  5. Build three totals. Calculate subscription with current pricing, subscription with a renewal increase, and perpetual with your likely upgrade purchase.
  6. Test the exit. Verify what files, features and services remain available after cancellation or after an old version reaches the edge of compatibility.
  7. Pick the model that survives your worst realistic case. A small paper saving is not worthwhile if losing collaboration, support or compatibility would stop the work.

Common comparison mistakes

  • Using a promotional year as the five-year total. Renewal pricing can be different; show both rates and the date checked.
  • Comparing unlike editions. A one-PC product cannot be matched fairly against a multi-user plan without accounting for the extra licenses or services.
  • Counting unwanted bundle value. Storage or support is not a saving if you would never use it.
  • Ignoring a future upgrade. Microsoft says a one-time purchase has no included upgrade path, so a later major release is a new full-price decision.
  • Assuming “perpetual” means maintenance-free. Activation, updates, reactivation and compatibility still need attention.
  • Ignoring the cancellation state. Establish what happens to editing, storage, shared files and support before choosing a subscription.

What to publish in a current price comparison

Prices, taxes, currency conversions, promotions, renewal increases and marketplace listings change. A credible five-year table should state the target country, edition, billing frequency, price-check date and whether tax is included. Show the first-year promotional price separately from the renewal price, then recalculate the five-year totals under explicit upgrade assumptions. If a value is not available for the target market, mark it as not stated instead of filling the cell with a global or outdated figure.

That discipline matters more than a headline claiming that one model always wins. The same product can favor a solo user on one computer, a six-person household, or a growing team for entirely different reasons.

Bottom line: choose the risk you prefer

Choose a one-time license when your workload is stable, your device and user count are small, you can live without bundled services and you expect to keep the same release. Choose a subscription when continuity, current features, multi-device or multi-person access, cloud services, support or scaling are worth recurring payments. If you need both current tools and an exit path, investigate a hybrid license with a documented perpetual fallback. The defensible five-year answer comes from your dated local price sheet and stated upgrade, renewal and service assumptions—not from the payment label alone.
