Shopify POS is usually the better choice when your retail business depends on one connected online store, physical checkout, inventory system, customer database and fulfillment workflow. Square is usually better for straightforward in-person, mobile or pop-up selling when a $0 software plan, fast setup and an integrated terminal are the priorities. The right choice depends on sales mix, inventory complexity, locations, staff controls, hardware and total payment cost—not just the advertised processing rate.

Square vs Shopify POS: the short answer

Choose Shopify POS if ecommerce is a major part of the business or if stores and online channels must share one catalog, customer history, inventory pool and fulfillment process. Shopify describes its platform as commerce-first: POS, online checkout, store administration, inventory, customer profiles and apps are built around the same system.

Choose Square if most transactions happen at a counter, market stall, event, truck or temporary location and you want to start without a monthly POS software fee. Square combines payments and POS with online, social, pickup and delivery tools, synchronized reporting and inventory, gift cards and loyalty features.

Neither platform is automatically cheaper. Your real cost combines the software plan, optional retail modules, card-present and online rates, any third-party payment fees, hardware, apps and the number of locations. Rates, supported countries, hardware prices and feature availability can change, so confirm the current terms for your country and plan before signing up.

What each system is designed to do

Shopify POS: an ecommerce-centered retail system

Shopify POS extends a Shopify online store into physical selling. Products, variants, prices, customer profiles and orders are managed through Shopify administration, while the POS app handles checkout in a store or on the move. Shopify Help Center documentation says POS synchronizes with the Shopify admin to track orders and inventory across retail locations, the online store and other active sales channels.

That shared foundation is valuable when a customer browses online, visits a store, buys through social commerce and later needs a return or an exchange. It also supports workflows such as selling an item in one location, fulfilling it from another and showing availability across locations. Advanced retail controls are provided by POS Pro, an additional subscription charged per location.

Square: payments-first POS with optional online selling

Square starts with payment acceptance and a point-of-sale application. Its entry software plan has no monthly fee, and the system can be used for fixed counters, mobile checkout and pop-ups. Square also offers online and social selling, synchronized reporting and inventory, gift cards, loyalty, pickup and delivery.

This approach is often easier for a small seller that does not yet need a sophisticated ecommerce catalog. Square can still support an online presence, but the operational center of gravity remains the payment and POS system rather than a large, content-rich online storefront.

Pricing and payment economics

Published rates below are U.S. figures shown on the vendors’ 2026 comparison pages. They exclude subscription costs and can change. A card rate that is lower by a few hundredths of a percentage point may be outweighed by a monthly location fee, hardware purchase, app subscription or online-store cost.

Platform and plan In-person card-present rate Online rate Manually entered rate Monthly location fee
Shopify Basic, U.S. 2.6% + $0.10 2.9% + $0.30 Not stated on the cited comparison page Basic plan subscription applies; amount not stated in the supplied figures
Square Free, U.S. 2.6% + $0.15 3.3% + $0.30 3.5% + $0.15 $0
Square Plus, U.S. 2.5% + $0.15 Not stated Not stated $49 per location
Square Premium, U.S. 2.4% + $0.15 Not stated Not stated $149 per location

Shopify’s comparison page lists 2.6% plus $0.10 for in-person payments and 2.9% plus $0.30 online on its U.S. Basic plan. Square lists 2.6% plus $0.15 for tap, dip or swipe payments on Square Free, with the lower in-person rates above on Square Plus and Premium. The fixed fee matters most for low-value tickets: a $0.15 fee is a larger percentage of a $5 sale than of a $100 sale.

How to compare your own monthly cost

  1. Add the recurring software subscription for the Shopify plan or Square location plan.
  2. Add POS Pro fees for every Shopify location that needs its advanced retail features, or Square Plus or Premium fees for each applicable location.
  3. Estimate card-present volume, online volume and manually keyed volume separately. Apply the rate and fixed fee to the average ticket in each category.
  4. Include any third-party transaction charges required by your payment configuration, along with gateway or app costs where applicable.
  5. Add hardware amortized over the period you expect to use it, replacement devices, receipt paper and accessories.
  6. Include paid apps for accounting, loyalty, delivery, employee management, advanced inventory or other required functions.

Do not compare a free Square software plan with Shopify’s entry plan while ignoring the online store or POS capabilities you actually need. Conversely, do not buy a higher Square tier only for a lower processing rate unless the savings exceed its per-location fee.

Inventory and omnichannel operations

When Shopify has the stronger workflow

Shopify is the more natural fit when inventory is shared by a web store and one or more physical locations. Its POS and Shopify admin use the same product and order records, so online and store sales can be managed together. POS Pro is the relevant tier to examine when you need advanced inventory management, location-level availability, professional retail reports, returns and exchanges at any location, or ship-from-store style omnichannel workflows.

Complex catalogs also favor Shopify. Examples include products with many variants, seasonal pricing, channel-specific availability, purchase-order processes, stock transfers and a requirement to expose accurate location inventory online. Confirm that your intended workflow is supported in your country and plan; not every feature is included with casual in-person selling.

Where Square is sufficient

Square’s synchronized inventory and reporting can be enough for a single shop, service counter, market seller or small chain with a relatively simple catalog. Gift cards, loyalty, pickup and delivery are available within its broader selling ecosystem. The practical question is whether your stock rules are simple enough that Square’s plan and integrations cover them without manual reconciliation.

Before choosing Square for a growing retailer, map variants, purchase orders, transfers between stores, reserved stock, returns across locations and online fulfillment. If several of those are essential, compare the exact Square tools and integrations against Shopify POS Pro rather than assuming the entry plan will scale.

Staff, locations and customer records

Shopify POS Pro adds unlimited staff accounts, staff roles and permissions, richer customer profiles, returns and exchanges at any location, inventory management, professional retail reports and omnichannel selling. Those controls matter when employees need different permissions for discounts, refunds, reporting or inventory adjustments.

Square supports team-based operation, but the controls and reporting depend on the selected Square plan. Verify the number of locations, staff logins, permission levels, return rules and cross-location reporting before deployment. A system that works for one owner-operated counter may require a paid upgrade once several employees or stores are involved.

Customer data should be evaluated in the same exercise. Decide whether online and in-store purchases must appear in one customer profile, whether loyalty must work in both channels, and which system will be the source of truth for consent and marketing preferences.

Hardware: what you actually need

Square hardware path

Square Terminal is a countertop payment terminal listed by Square at $299 in 2026. It provides a compact fixed-checkout path when you want an integrated payment device rather than a separate tablet and reader. Square also supports mobile and other hardware configurations; confirm current compatibility and regional availability before ordering.

For a basic counter, list the terminal or reader, power and network requirements, receipt method, cash drawer, barcode scanner and any customer-facing display you need. A pop-up seller may need only a mobile device and reader, while a permanent shop may need a complete counter setup.

Shopify hardware path

Shopify documents a setup built around a smartphone or tablet plus a Shopify card reader. Optional accessory categories include barcode scanners, cash drawers, receipt printers and tablet stands. Exact models, prices, operating-system requirements and country availability vary, so confirm each item in the current Shopify hardware documentation or marketplace before purchase.

Shopify’s modular approach lets you begin with an existing compatible device and add counter equipment as volume grows. The trade-off is that you must assemble and support more components than with an integrated terminal.

Setup: a reliable Shopify POS rollout

  1. Confirm country and payment eligibility. Check that Shopify Payments or your chosen payment method, POS app and intended card reader are supported where you operate.
  2. Build the catalog in Shopify admin. Create products, variants, prices, taxes, barcodes and stock locations before taking live orders.
  3. Define locations and fulfillment. Add each store, warehouse and online location, then set which locations can fulfill online orders and how available stock is calculated.
  4. Choose the plan level. Use casual in-person selling only for simple needs; evaluate POS Pro per location when you require advanced permissions, retail reports, cross-location returns or deeper inventory workflows.
  5. Connect hardware. Install the POS app on a compatible phone or tablet, pair the card reader and test scanners, printer, cash drawer and network.
  6. Create staff roles. Limit refunds, discounts, inventory adjustments and reports according to job responsibilities.
  7. Test end to end. Run a tap, dip and swipe transaction, an online order, a pickup or ship-from-store order, a return and an exchange. Check inventory and customer records after each test.
  8. Train and launch gradually. Start with one location or a controlled shift, reconcile payments and stock, then expand after fixing exceptions.

Setup: a reliable Square rollout

  1. Choose the Square plan. Start with Square Free if its capabilities fit; compare the $49 Plus and $149 Premium per-location fees against the value of their lower listed in-person rates and added tools.
  2. Create the item catalog. Enter names, prices, variants, modifiers, tax rules and stock counts. Use consistent item names across in-person and online listings.
  3. Configure locations and channels. Add each store or mobile location and connect online, social, pickup or delivery channels that you will actually operate.
  4. Order compatible hardware. Select Square Terminal for a fixed checkout or a mobile reader setup for events and roaming sales. Add scanners, printers and a cash drawer if required.
  5. Set employee permissions. Create team access and restrict refunds, discounts, item edits and reports where necessary.
  6. Test payment modes. Run tap, dip, swipe, online and manually entered scenarios that match your business. Confirm receipts, taxes, tips and inventory deductions.
  7. Test offline contingencies. Square emphasizes offline mode; understand which transactions can be accepted offline, how they are stored and when they must reconnect before you rely on the feature.
  8. Reconcile before launch. Compare a test day’s sales, fees, deposits and inventory movements with your accounting records.

Can you use Square in a store and Shopify online?

You can operate the two systems separately, but that does not automatically create a single synchronized inventory and customer database. If Square handles in-person sales while Shopify handles ecommerce, decide which system owns products, stock, customers, refunds and reporting. Without a dependable connector and clear rules, staff may need to reconcile duplicate orders, mismatched quantities and separate customer histories.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

This hybrid arrangement can make sense when an existing Square counter is working well and the business needs Shopify’s online-store capabilities. It is less attractive when the objective is one real-time omnichannel operation. In that case, using Shopify POS with the Shopify store generally reduces the number of synchronization points.

Which platform fits common retail situations?

Situation Likely fit Reason
Weekend markets, fairs or occasional pop-ups Square No monthly Square Free software fee and a mobile-oriented setup reduce commitment.
One small shop with a simple catalog and little ecommerce Square Fast setup, integrated payment hardware and straightforward counter selling are priorities.
Brand with a substantial online store and one showroom Shopify Online checkout, customer profiles, inventory and POS use one commerce administration system.

Retailer needing advanced loyalty, delivery or accounting integrations Either, after an integration audit Both offer app ecosystems; the required connector, data ownership and recurring cost determine the result.
Business selecting mainly by processing rate Neither by rate alone Monthly plans, fixed fees, online volume, hardware and apps can reverse a rate-only comparison.

Common pitfalls and how to avoid them

Comparing unlike plans

Square Free and Shopify POS Pro are not equivalent products. Compare the capabilities required at each location, then compare the total recurring and transaction cost for those matched capabilities.

Ignoring fixed fees on small tickets

Per-transaction cents have a greater effect on low-value purchases. Model your actual average ticket and transaction count instead of using only the percentage.

Assuming all inventory is real time

Synchronization depends on correct catalogs, locations, integrations and stable connectivity. Test overselling, returns, transfers and offline transactions before promising customers that every channel shows exact availability.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Buying hardware before checking compatibility

Readers, printers, scanners and stands may be limited by country, operating system or POS version. Confirm compatibility and support terms first.

Underestimating staff permissions

Owner-operated selling hides control problems. Test employee logins for refunds, discounts, price changes, inventory edits and reports before opening multiple locations.

Overlooking offline risk

Offline acceptance can keep a sale moving during an outage, but queued transactions may have limits and still need reconnection. Establish a written outage procedure and reconciliation check.

A practical decision checklist

  • At least half of our strategic growth is online, or online and store orders must share one fulfillment process.
  • We need one catalog and customer history across web, store and social channels.
  • We require stock transfers, location-level availability, advanced variants or ship-from-store workflows.
  • We need role-based permissions, unlimited staff accounts or professional retail reporting.
  • We are comfortable paying a per-location retail upgrade for those controls.

If most of those statements are true, start with Shopify POS and evaluate POS Pro for the locations that need advanced features.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Most sales happen in person, at events or from a mobile counter.
  • We want $0 monthly POS software at the entry level.
  • Our catalog and inventory rules are relatively simple.
  • A single integrated terminal is more important than a modular tablet setup.
  • We can accept a lighter ecommerce and multi-location workflow.

If this second list describes the business, Square is the more practical starting point. Revisit the decision when online sales, locations, staff or inventory complexity grow.

What switching data does—and does not—show

Shopify reports that, among customers who switched from Square to Shopify POS, 88% agreed that Shopify better integrates in-store and online sales channels, 80% said they were satisfied and 78% said it saves time on inventory management. These are Shopify-reported 2026 survey results, not independent market benchmarks. They indicate why some merchants prefer a commerce-first system, but they do not predict your costs or implementation outcome.

Final recommendation

For a retailer building one connected online-and-store operation, Shopify POS is generally the stronger fit, especially when POS Pro’s location, staff, inventory and omnichannel controls are needed. For simple in-person or mobile selling, Square’s $0 software entry plan, quick setup and $299 Square Terminal make it compelling. Build a volume-based cost model, test your exact inventory and return workflows, verify country support and hardware compatibility, and choose the platform that matches the operation you will run—not the feature list you may never use.
