Choose the right screenshot software
Your best choice depends on what happens after the pixels are captured. A one-off image needs a fast shortcut. A support team may need annotations and redaction. A research workflow may require OCR, scrolling pages, repeated hotkeys or an upload destination.

How to capture screenshots on Windows
Microsoft Snipping Tool
- Open Snipping Tool from the Start menu, or press Windows-Shift-S to start a snip.
- Choose Freeform, Rectangle, Window or Full screen. Drag over a region, select a window, or let the tool capture the display.
- For a clip, switch to Video, select New, choose the area and start recording.
- Select the notification thumbnail to edit. Use the pen, highlighter, crop and markup controls, then save, copy or share the result.
Snipping Tool’s Text actions feature performs OCR on captured text. Review recognized text before using it in a ticket or document, particularly when the image contains small type, unusual fonts or sensitive information.
Keyboard shortcuts for quick captures
- Windows-Shift-S: opens the snipping overlay for a region, window or full screen.
- Print Screen: behavior depends on your Windows settings; it may open the snipping overlay or copy the display.
- Alt-Print Screen: commonly copies the active window; paste into an editor to save it.
- Windows-Print Screen: saves a full-screen image automatically in Pictures/Screenshots on supported Windows configurations.
Shortcut behavior can be changed by Windows updates and keyboard settings. If a key does nothing, open Settings and search for Print Screen, then verify the configured action.

How to capture screenshots on Mac
Apple Screenshot controls
- Press Shift-Command-5.
- Choose capture entire screen, capture a window, capture a selected portion, record the entire screen or record a selected portion.
- Open Options to choose a timer, save location, microphone, pointer visibility and whether a floating thumbnail appears.
- Capture the image or stop the recording. Open the thumbnail to crop or use Markup, or leave it untouched to save at the selected location.
For immediate stills, Shift-Command-3 captures the entire screen and Shift-Command-4 lets you select a portion. Add Control to copy the result to the clipboard instead of saving a file. macOS supports capturing a window from the Shift-Command-4 crosshair by pressing the space bar before clicking.
When ShareX is the better free screenshot tool
ShareX is free, open-source Windows software aimed at repeatable workflows rather than occasional grabs. Its documented feature set includes still capture, screen recording, annotations, redaction, OCR, scrolling screenshots, hotkeys and upload destinations.
Use ShareX for long or repeated captures
- Scrolling screenshots: capture a long document or web page that does not fit in one viewport.
- OCR: extract text from an image instead of retyping it.
- Hotkeys and tasks: assign a capture key to a sequence such as capture, annotate, save and upload.
- Redaction: obscure account numbers, names or other private regions before sharing.
- Upload destinations: send files to a configured service, or keep the workflow local by choosing a local destination.
Uploads are optional. Before enabling one, inspect the destination, retention policy and your organization’s rules. A screenshot can contain passwords, customer data, internal URLs or personal information even when the surrounding application looks harmless.

Troubleshooting screenshot captures
The image is black or shows the wrong window
Confirm that the intended display or window is active, and retry with an explicit Window or Rectangle mode. Protected video and DRM surfaces may intentionally block capture; use an approved export or recording method instead.
The screenshot is too large to share
Crop unnecessary margins, resize the image, or save as JPEG/WebP when transparency and pixel-perfect text are not required. Keep PNG for interface text and diagrams that need lossless edges.

OCR text is inaccurate
Capture at a larger scale, include the whole line, improve contrast and proofread names, punctuation and numbers. OCR should be treated as an aid, not an unquestioned transcription.
A scrolling capture stops early
Some applications do not expose scrollable content in a way capture tools can stitch. Try a smaller scroll region, disable animated content, or export the document directly. For a web page, an API capture with a selector or full-page option may be more reliable.

Stop the upload task, remove the destination, rotate any accidentally exposed credentials and follow your organization’s incident process. Configure redaction before upload and prefer local saving for confidential material.

Screenshot quality and privacy checklist
- Close password managers, private messages and unrelated tabs before capturing.
- Use a descriptive filename with the page, issue and date, but do not put secrets in filenames.
- Capture at the display scale needed by the reader; avoid enlarging a blurry source.
- Redact tokens, email addresses, customer identifiers and internal hostnames.
- Check the saved image by reopening it before attaching or publishing.
- For recordings, verify microphone and pointer settings so you do not disclose unintended audio or clicks.
