Teams should use individual accounts for each person, then use a managed team workspace when they need centralized membership and access controls. For OpenAI, the policy is explicit: an account is meant for the individual who created it, and other people who need the service should sign up for their own accounts. A team workspace—not a shared password—is the organizational way to collaborate.
Why shared AI accounts create problems
When several employees use one set of credentials, the service sees one account identity rather than distinct people. That makes it harder to attribute activity to the person who performed it and to manage access when someone leaves the team. OpenAI warns that account sharing can expose personal data and payment information and increase the risk of policy violations or misuse. See OpenAI’s Account Sharing Policy.
OpenAI states: “Your OpenAI account is meant for you—the individual who created it.” It advises anyone else who needs its products to create their own account. This is OpenAI’s policy; it should not be treated as proof that every AI provider has identical terms.
How individual accounts and a team workspace work together
Individual identities and organizational administration solve different problems. Each person signs in under their own identity; a managed workspace lets the organization administer who belongs to the team and what role they have. In ChatGPT Business, an administrator can invite members and manage seats and roles. OpenAI says invited members should be intended, ongoing members of the team. - Individual account: identifies one person and keeps their account activity distinct from colleagues’ activity.
- Managed workspace: provides a place for the organization to invite and manage team members, assign roles, and handle access as membership changes.
- Shared credentials: collapse multiple users into one account identity instead of giving the organization distinct identities to administer.
What administrators can and cannot see
Do not assume that joining a workspace automatically makes every member’s conversations visible to administrators. In ChatGPT Business, members have their own chat histories and choose what to share; admins and owners do not see all private member chats by default. OpenAI explains this in Managing data, sharing, and privacy in ChatGPT Business.
Managed accounts can involve broader organizational controls. Depending on configuration and applicable law, an organization administrator may be able to access, export, audit, retain, delete, or control data associated with a managed account. Employees should read the organization’s applicable notice and settings. OpenAI describes these controls in Data access for your managed ChatGPT account. Workspace chat visibility and managed-account data controls are related but not interchangeable: review the specific account arrangement rather than assuming one description covers both.

SSO does not grant workspace access
Single sign-on (SSO) allows a person to authenticate through the organization’s identity provider. It does not, by itself, invite that person to a workspace or grant membership. Configure who is a workspace member separately from the sign-in policy. OpenAI’s documentation covers SSO for ChatGPT Business and identity and access for managed workspaces.

How to choose and set up the right approach
- Give every person a separate account identity. Do not distribute one person’s credentials for team use. For OpenAI, this follows the provider’s Account Sharing Policy.
- Decide whether the team needs a managed workspace. If administrators need to invite members, assign roles, or manage access centrally, review the workspace’s member and seat options. Check current plan terms and eligibility before committing; requirements and features can change.
- Set membership and authentication independently. Invite the intended team members and configure SSO or other sign-in rules separately, if the selected plan and setup support them.
- Explain privacy and administration to employees. Tell members what is private by default, what they may choose to share, and what data administrators may access or manage under the organization’s configuration and applicable law.
- Review the provider’s terms before applying this elsewhere. Check its account-sharing rules, workspace roles, SSO support, privacy commitments, administrator-access notice, and seat requirements. OpenAI’s policy and ChatGPT Business controls should not be assumed to apply to other services.
