A shared calendar can be missing because it is hidden, attached to the wrong Microsoft 365 account, added through an older Outlook sharing method, or still synchronizing. The fix depends on where the calendar is missing: Outlook for iPhone or Android, classic Outlook for Windows, Outlook for Mac, or every client.

Start with the quick visibility check, then use the repair steps for your Outlook version. Do not delete and re-add a calendar until you know which sharing model and account type are involved.

Start with the quick checks

  1. Confirm that you are signed in to Outlook with the Microsoft 365 account that was granted access. A calendar opened under one account does not automatically belong to another account in the app.
  2. Open Calendar and expand the calendar list. A shared calendar may already be added but unchecked.
  3. Ask the owner to confirm that they shared the calendar with your individual account, rather than only with Default (My organization) or a security group.
  4. Check whether the owner and recipient use Exchange Online. The improved shared-calendar experience does not apply when either relevant calendar is hosted on Exchange on-premises.
  5. Check another client, such as Outlook on the web. If the calendar is missing everywhere, the problem is probably sharing, permissions, or the account—not the mobile app.

Show a shared calendar in Outlook for iPhone or Android

Outlook mobile uses nearly the same path on both platforms. This adds a person’s, room’s, or mailbox calendar directly instead of relying on an invitation that may have been accepted by an older client.

iPhone and iPad

  1. Open Outlook and tap Calendar.
  2. Tap the Menu button in the upper-left.
  3. Tap the + button.
  4. Select Add Shared Calendar.
  5. Search for the person, room, or mailbox.
  6. Tap the + beside the result.

The calendar should appear under the relevant Microsoft 365 account.

Android

  1. Open Outlook and tap Calendar.
  2. Tap Menu in the upper-left.
  3. Tap +.
  4. Select Add a shared calendar.
  5. Search for the person, room, or mailbox.
  6. Tap the + beside it.

Re-enable a calendar that is already added

If the calendar was previously visible, it may simply be switched off.

  1. Open Calendar.
  2. Tap Menu in the upper-left.
  3. Find the shared calendar under the account that owns the connection.
  4. Tap the calendar to enable it.

Outlook mobile enables and disables shared calendars in the same way as other calendars associated with the account. If the calendar is not listed at all, use + → Add Shared Calendar or Add a shared calendar rather than only looking for a visibility checkbox.

If accepting the invitation did not work

Shared-calendar invitations are not handled identically by every Outlook client. Microsoft’s mobile troubleshooting guidance says that only calendars accepted recently from Outlook on the web, Outlook for iOS, Outlook for Android, or Windows 10 Calendar reliably appear in mobile.

Use one of these fixes:

  1. Open the sharing invitation in Outlook on the web, Outlook for iOS, or Outlook for Android and accept it there.
  2. Alternatively, skip the invitation and add the calendar directly with the + button in Outlook mobile.
  3. Make sure the latest version of Outlook is installed before accepting a new invitation.
  4. If the calendar still cannot be opened, ask the owner to remove and re-share it. You do not normally need to remove the existing calendar before accepting the new invitation.

An invitation accepted by an older Outlook client may use the older sharing behavior and may not receive the improvements provided by the current sharing model.

Classic Outlook for Windows: turn on shared-calendar improvements

This section applies to classic Outlook for Windows, not the new Outlook app. The setting is available for Exchange Online accounts.

  1. Select File.
  2. Select Account Settings → Account Settings.
  3. Choose the Microsoft Exchange account and select Change….
  4. Select More Settings.
  5. Open the Advanced tab.
  6. Select Turn on shared calendar improvements.
  7. Close the account dialogs and restart Outlook.

The restart is required. If the option is absent, the account may not be Exchange Online, the organization may manage the setting through policy, or you may be using the new Outlook interface rather than classic Outlook.

Microsoft’s shared-calendar update guidance says that current Microsoft 365 Apps versions have shared-calendar improvements enabled by default across update channels. Semi-Annual Enterprise Channel version 2202, released July 12, 2022, was the final channel/version to enable the feature by default.

Check whether classic Outlook is using REST or MAPI

The improved sharing model uses REST. To check it, you need Editor or Delegate permissions on the shared calendar:

  1. Enable the shared-calendar improvement setting and restart Outlook.
  2. Open the Calendar module.
  3. Right-click the shared calendar and select Properties.
  4. Look for the calendar type.

The newer model is identified as Type: Folder containing Calendar items (REST).

The REST/MAPI annotation is not displayed for every permission level. Microsoft documents it for users with Editor or Delegate permissions, so its absence is not by itself proof that the calendar is broken.

Re-create a legacy shared calendar in classic Outlook

If the calendar was added through the old MAPI route, Microsoft documents a specific delete-and-reopen procedure. Use it only when the owner is hosted in Exchange Online and has granted you explicit calendar permissions.

  1. Open the Calendar module.
  2. Right-click the shared calendar and select Delete Calendar.
  3. Close and restart Outlook.
  4. On the Home ribbon, select Add Calendar → Open Shared Calendar….
  5. Enter the name of the person who shared the calendar.
  6. Select OK.

Do not select “Add from address list” for this repair. Microsoft says that option adds a MAPI shared calendar, which is the older method this procedure is intended to replace.

The calendar may be empty immediately after it is re-added. Initial setup usually takes a few minutes; a very large calendar can take several hours to synchronize. Do not repeat the delete-and-add process just because events are not present immediately.

This method does not upgrade calendars accessed only through Default (My organization) or a Security Group. The recipient must have explicit permissions from the owner.

Check automatic upgrades in Microsoft 365

Microsoft’s shared-calendar update guidance says Microsoft 365 began automatically upgrading eligible shared calendars to the improved sharing platform in late May 2026. No administrator action is required for the automatic process.

The automatic upgrade applies to internally shared primary calendars where the recipient has Editor, Delegate, or Full Mailbox Access permissions. Existing permissions and sharing relationships are preserved. Microsoft says the upgrade is silent: the calendar should not disappear, and it should contain events from the previous year and all future events after the upgrade.

Calendars with a very large number of sharing relationships may not be upgraded at the same time. Also, Full Mailbox Access is not the same as sharing a calendar with a delegate; granting mailbox access alone does not create every calendar-sharing relationship required by Outlook’s improvements.

Understand why the calendar is slow or incomplete

Situation Expected behavior
Internal Exchange Online sharing through a supported Outlook client Instant shared-calendar synchronization is supported by Outlook for Windows, Mac, the web, iOS, Android, REST applications, and Exchange ActiveSync applications.
Exchange Web Services (EWS) EWS does not support instant synchronization. Older Outlook for Mac versions and the macOS Calendar app can show legacy behavior.
Cross-tenant Microsoft 365 sharing Updates typically synchronize within approximately three hours.
Microsoft 365-to-Outlook.com or ICS sharing Outlook.com checks ICS subscriptions approximately every three hours. Third-party services choose their own interval.
Very large calendar re-created in classic Outlook Initial synchronization can take several hours.

Outlook for Mac uses the newer sync experience when the calendar was added by accepting a sharing invitation or through File → Open another user’s folder. A calendar added as a delegate account remains on the older sync experience.

Verify the account type on mobile

Calendars and contacts do not synchronize when an account is configured as IMAP or POP. Outlook requires an Exchange ActiveSync-capable account for calendar synchronization, and the mail app must be allowed to access calendars and contacts.

If the account was added manually as IMAP or POP, remove and add it again using the organization’s Microsoft 365 or Exchange sign-in option. Do not try to repair calendar synchronization by changing only the incoming mail server.

Use PowerShell to verify the sharing model

Microsoft’s shared-calendar guidance provides two commands for administrators or support staff. For the person sharing the calendar, run:

Get-MailboxCalendarFolder -Identity <user1>:\Calendar | FL

For the person opening the shared calendar, run:

Get-MailboxCalendarFolder -Identity <user2>:\Calendar\<name of shared calendar>

Inspect ExtendedFolderFlags in the output:

  • SharedOut should be present for the user sharing the calendar.
  • SharedIn should be present for the user opening the shared calendar.

If the expected flag is absent, the problem is on the Exchange sharing side rather than a display checkbox in Outlook.

When permissions changed but Outlook still shows the old result

Permission changes made through Outlook on the web, Outlook for iOS, Outlook for Android, or Outlook for Mac cause the recipient’s calendar copy to re-synchronize immediately. Changes made through another application may take several hours to propagate.

Permission removal also has different results depending on the relationship:

  • For users in the same organization, if a non-None My Organization permission remains, the shared calendar may stay visible with that default organization permission.
  • If there is no organization-wide sharing, the calendar is removed from the recipient’s mailbox.
  • For users in different organizations, the calendar stops syncing but is not necessarily removed.

Outlook clients generally distinguish between viewing and editing. Intermediate permissions are evaluated by the service. For example, an Author may be able to attempt an edit, but Exchange can reject the change when it reaches the server.

Policy-controlled desktop setting

If the shared-calendar improvement checkbox is greyed out in classic Outlook, an administrator may control it through Group Policy or the registry.

The policy is named REST updates for calendars. Its registry location is HKEY_CURRENT_USER\Software\Policies\Microsoft\Office\16.0\Outlook\Options\Calendar.

The DWORD is RestUpdatesForCalendar.

Value Meaning

0 Disabled

When policy enables the feature, the Outlook checkbox is selected but unavailable. When policy disables it, the checkbox is cleared and unavailable. Do not change the registry on a managed work computer without checking with the Microsoft 365 administrator.

A practical repair order

  1. In Outlook mobile, open Calendar → Menu and tap the calendar to make sure it is enabled.
  2. If it is missing, add it with + → Add Shared Calendar on iOS or Add a shared calendar on Android.
  3. Confirm the same Microsoft 365 account is being used in Outlook mobile and Outlook on the web.
  4. Accept a fresh invitation from a supported, up-to-date Outlook client.
  5. On classic Outlook for Windows, enable Turn on shared calendar improvements and restart the application.
  6. If the calendar is legacy MAPI, delete it and use Add Calendar → Open Shared Calendar…, not Add from address list.
  7. Allow several minutes—or several hours for a large calendar—for initial synchronization.
  8. If it remains missing in every client, have the owner verify explicit permissions, Exchange Online hosting, and the sharing flags in PowerShell.

FAQ

Why is my shared calendar visible in Outlook on the web but not in the mobile app?

In Outlook mobile, open Calendar → Menu and tap the shared calendar to enable it. If it is not listed, use + → Add Shared Calendar on iPhone or + → Add a shared calendar on Android, then search for the owner, room, or mailbox.

Do I need to accept the invitation before adding the calendar in Outlook mobile?

No. Microsoft documents direct addition with the + button as an alternative. If you do accept the invitation, use Outlook on the web, Outlook for iOS, or Outlook for Android with a current app version.

Why is the shared calendar empty after I re-added it?

The initial synchronization can take a few minutes. Very large calendars may take several hours. An empty calendar immediately after re-adding does not necessarily indicate a failed repair.

Does Full Mailbox Access automatically create a delegate shared calendar?

No. Full Mailbox Access and explicit calendar sharing with a delegate are different permission arrangements. Full mailbox access alone does not guarantee that Outlook will use the improved shared-calendar model.

Why is Turn on shared calendar improvements missing in Outlook?

The option is for classic Outlook for Windows with Exchange Online accounts. It may also be hidden or locked by organizational policy. The improvement does not apply when the relevant calendar is hosted on Exchange on-premises.

How long should cross-tenant or ICS calendar updates take?

Microsoft says cross-tenant Microsoft 365 updates typically synchronize within about three hours. Outlook.com ICS subscriptions are also checked approximately every three hours, while third-party calendar services use their own schedules.

The Bottom Line

For Outlook mobile, first enable the calendar from Calendar → Menu, then add it directly with the + button if it is absent. For classic Outlook for Windows, enable shared-calendar improvements, restart Outlook, and use Open Shared Calendar… rather than Add from address list when rebuilding a legacy calendar.

If those steps fail, verify the Microsoft 365 account type, explicit permissions, Exchange Online hosting, and synchronization delay. A calendar shared through an older client, EWS, ICS, cross-tenant access, IMAP, or POP will not behave like a modern internal Exchange Online shared calendar.
