Short answer: Choose security awareness software by the behavior, risk reduction, and evidence your organization needs—not by the longest course catalog or the most elaborate demo. Define measurable outcomes, document workforce and integration requirements, score comparable capabilities, test realistic workflows, and run a limited pilot before signing.
What security awareness training software should accomplish
Security awareness training software organizes learning, phishing or other social-engineering simulations, assignments, reminders, assessments, reporting, and audit evidence in one operational program. The product matters only insofar as it helps people make safer decisions and helps your security, compliance, and HR teams demonstrate what happened.
Start with the result you need to change or prove. Common objectives include:
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- Documented completion of onboarding or recurring education.
- Faster and more accurate reporting of suspicious messages.
- Safer practices for remote access, mobile devices, browsing, data handling, or physical security.
- Role-specific instruction for administrators, finance staff, executives, developers, help-desk personnel, contractors, and other higher-risk groups.
- Evidence that a security and privacy learning program is being evaluated and improved.
- Better preparedness for reporting and responding to suspected incidents.
NIST SP 800-50 Rev. 1, finalized September 12, 2024, treats learning as an organizational program that evolves with changing needs. It states: “The program should encourage behavior change as part of risk management and lead to developing a privacy and security culture in the organization.” That principle is more useful than a generic promise to provide “engaging training”: your buying decision should show how the platform supports a measurable change in your environment.

Define success before looking at features
Turn broad goals into observable outcomes
Write a short outcome statement for each priority. For example, “new employees complete baseline training within their first 30 days” is an evidence objective; “employees report suspicious messages through the approved channel” is an operational objective. A useful statement identifies the audience, behavior, time frame, and evidence you will review. Do not assume that a vendor’s default annual schedule, score, or control mapping is universally required; cadence and thresholds should follow your own policy and risk assessment.
Separate compliance evidence from risk signals
Completion records can answer who was assigned a module, who finished it, when it was completed, and what score was recorded. They cannot by themselves show that people recognize a difficult social-engineering attempt or report a real message. Define separate measures for participation, knowledge, behavior, and operational response so a high completion rate does not conceal weak reporting or unsafe practices.
Identify the decisions the platform must support
Decide in advance who will use reports and what they need to do next. A security operations team may need user-submitted reports routed into an incident queue. HR may need an export of completion status for a defined employee group. An auditor may need immutable dates, assignment history, assessment results, and evidence of exceptions. If a report has no action attached to it, it may be a dashboard ornament rather than a useful requirement.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Write a requirements inventory
Complete this inventory before vendor demonstrations. It prevents a polished feature tour from deciding requirements by accident.
Workforce and delivery
- Number of employees, contractors, temporary workers, and privileged users.
- Countries, time zones, languages, and locations.
- Desktop, mobile, tablet, virtual-desktop, and low-bandwidth use.
- Accessibility needs, including keyboard navigation, captions, transcripts, screen-reader compatibility, color contrast, and adjustable playback.
- Groups requiring different content, due dates, approval flows, or exemptions.
- Administrators available to build campaigns, answer learner questions, and review results.
Risk and content
- Threats that matter in your environment: email, browsing, remote access, mobile devices, social media, malware, physical security, data protection, or incident reporting.
- Role-specific scenarios for people who handle payments, sensitive data, production systems, customer support, or executive communications.
- Required languages, subtitles, transcripts, downloadable materials, and plain-language options.
- Assessment types, pass rules, remediation, policy acknowledgement, and knowledge retesting.
- How quickly content must be updated when a threat or policy changes.
Technology and operations
- Identity provider, directory groups, single sign-on, automated provisioning, and deprovisioning.
- Email platform, learning-management system, security information and event management system, security orchestration tools, help desk, and incident-management workflow.
- Who can launch simulations, approve templates, view individual results, and export data.
- Whether user reports need to create tickets, send messages to a monitored mailbox, or enter an existing triage queue.
- Network, browser, mobile, allow-listing, and mail-authentication prerequisites for simulations.
Data, privacy, and procurement
- Data categories collected about learners and simulated actions.
- Retention, deletion, export, residency, subprocessors, breach notification, and access-control requirements.
- Internal rules for recording individual performance and sharing results with managers.
- Contract term, renewal, user-count definition, implementation services, support response, service-level commitments, and price-change provisions.
- Audit evidence fields that must remain available after a user leaves.
These are procurement prompts, not a universal legal checklist. Have legal, privacy, security, HR, and procurement teams determine which obligations apply to your organization and location.
Build a weighted scorecard
Create the scorecard before demonstrations and use the same scenarios with every supplier. Weight each category according to the requirements inventory. The example below is a starting structure, not a prescribed industry standard.
| Category | Questions to score | Evidence to request |
|---|---|---|
| Program outcomes | Can the product support your defined behavior, reporting, and evidence objectives? | Sample success plan, metric definitions, and an example review cycle. |
| Content coverage | Are required topics, roles, languages, formats, and update processes covered? | Course list, sample lessons, accessibility statement, release notes, and update policy. |
| Learner experience | Can users complete training on supported devices without unnecessary friction? | Live learner walkthrough on your browser and mobile devices. |
| Personalization | Can assignments vary by role, location, risk, language, and prior results? | Demonstration of group rules, prerequisites, exemptions, and remediation. |
| Simulation quality | Can scenarios reflect your channels and threat model while supporting safe reporting? | Template controls, difficulty information, reporting workflow, and approval gates. |
| Measurement | Do reports distinguish completion, knowledge, behavior, and response? | Exports, dashboards, field definitions, filters, retention, and audit history. |
| Integrations | Can identity, email, learning, and security workflows connect with documented effort? | Supported versions, prerequisites, API or connector limits, and implementation steps. |
| Administration | Can a small team schedule, review, and improve campaigns efficiently? | Role-based permissions, bulk actions, alerts, and administrator time estimates. |
| Trust and support | Are privacy terms, service commitments, support, and escalation clear? | Data-processing terms, security documentation, support matrix, and references. |
Score only what is demonstrated or documented. Mark roadmap items separately from available functionality, and record assumptions beside each score so a later commercial discussion cannot silently change the evaluation.
Evaluate content and accessibility beyond library size
A large catalog is not automatically useful. Ask whether lessons fit your workforce, use understandable language, and can be assigned in a sequence that supports the behavior you want. Look for short modules as well as deeper role-based instruction, realistic examples, knowledge checks, policy acknowledgement, and remediation paths.

Check accessibility in the actual player
Request a live demonstration using the devices and assistive technologies your employees use. Verify keyboard-only operation, focus order, captions, transcripts, audio controls, readable contrast, non-color cues, and whether completion works when a learner changes device. A PDF statement that a product is accessible is not a substitute for testing the learner path.
Check language and mobile support
Confirm which languages are fully translated, which are subtitles only, and how quickly updates reach each language. Test a complete lesson on a phone, including sign-in, playback, assessment, and completion recording. If many employees work in the field or have intermittent connectivity, ask how interrupted sessions resume and what data is cached.
Check update governance
Ask how the provider identifies obsolete examples, approves new material, records revisions, and notifies administrators when a policy or threat changes. A current-looking catalog can still contain stale screenshots, terminology, or advice that conflicts with your controls.
Assess simulations without reducing the program to click rates
Simulations can provide useful behavioral signals, but a raw click percentage is not a complete measure of proficiency. NIST TN 2276, finalized November 15, 2023, describes the Phish Scale, a method for rating how difficult a simulated email is for a person to detect. Use that concept when asking how campaign results are interpreted.
Questions about scenario design
- Which channels are supported: email, messaging, voice, collaboration tools, or other channels relevant to your threat model?
- Can scenarios use your approved reporting address, branding rules, and internal escalation language without creating confusion?
- Can administrators control targeting, timing, approval, exclusions, and frequency?
- How are difficulty and realism described, and can results be compared only across reasonably similar scenarios?
- What learner experience follows a mistaken action: immediate education, a later lesson, a manager notification, or another policy-approved response?
Questions about reporting and response
Have the vendor show a user reporting a suspicious message from the supported mail client or device. Then watch where that report goes, which metadata is retained, how duplicate reports are handled, and whether the security team can triage it in its existing workflow. A simulation that teaches people to report but drops reports into an unmonitored inbox does not meet the operational objective.
Use results carefully
Review difficulty, exposure, reporting, repeat behavior, knowledge checks, and administrator follow-up together. Avoid ranking employees from one event or treating a single campaign as proof that incidents will decline. NIST’s learning-program guidance calls for metrics and evaluation to improve the program; the Phish Scale provides context for judging simulation difficulty rather than a universal pass mark.
Verify reporting, dashboards, and audit evidence
Ask to see the raw fields behind every executive chart. Useful fields may include assignment date, due date, completion date, attempt history, score, language, role, campaign identifier, scenario difficulty, user report time, disposition, and exception reason. Confirm whether exports preserve timestamps, time zones, unique identifiers, and historical records when a user changes department or leaves.
Separate audiences and permissions
Managers may need group-level status, while security administrators may need individual simulation details. HR may need completion evidence but not message content. Verify role-based access, delegated administration, approval controls, and logging of report views and exports.

Test trend interpretation
Request a report that compares like-for-like campaigns and identifies changes in audience, channel, difficulty, and assignment. Ask whether the platform can show overdue work, repeat misses, report rates, remediation completion, and knowledge results without combining incompatible populations. If a metric cannot be defined plainly, do not use it as a decision criterion.
Confirm integrations and implementation effort
“Integrates with” can mean a maintained connector, an API requiring custom development, or a manual file exchange. Ask which one applies to each system you named in the requirements inventory.
Identity and lifecycle
Demonstrate single sign-on, group synchronization, joiner-mover-leaver handling, duplicate identities, contractors, and temporary exemptions. Confirm who owns attribute mapping and what happens when synchronization fails.
Email and security workflow
Show the complete path from simulation delivery or learner report to the security queue. Document mail-authentication requirements, allow-listing, domain configuration, rate limits, and safeguards that prevent a test message from being mistaken for a real incident.
Data exchange and APIs
Request API documentation, authentication method, rate limits, pagination, event availability, error handling, and version-support policy. Ask whether exports are scheduled, whether webhooks are supported, and who pays for integration work. Include these answers in the implementation plan rather than relying on a sales slide.
Run a consistent vendor demonstration
Give every vendor the same scripted scenarios and require live execution in a test tenant or controlled pilot environment.
- Assign onboarding: Create a new-employee group, apply a role-specific learning path, set a due date, and show the learner notification.
- Run a targeted simulation: Select a defined audience, choose a scenario, set approval and scheduling controls, and explain how difficulty is recorded.
- Complete the learner journey: Open the lesson on a supported phone or browser, use accessibility features, take the assessment, and verify completion.
- Report a suspicious message: Use the approved reporting mechanism and follow the event into the security workflow.
- Review results: Produce an administrator view, a manager-level view, and an audit export while preserving permissions and timestamps.
- Handle an exception: Remove a departed user, add a contractor, change a role, and show how records and assignments update.
Ask the vendor to label each step as generally available, configuration-dependent, custom work, or roadmap. Obtain pricing assumptions, deployment scope, integration prerequisites, data terms, support coverage, and renewal conditions in writing. The available comparison material does not establish comparable current prices or independently verified contract terms, so do not infer them from a product page or verbal estimate.

Define stop conditions for privacy, delivery, or workflow failures. Agree who can see individual results, how pilot data will be retained or deleted, and how participants will be informed. A pilot can reveal usability and implementation fit; it cannot by itself prove a reduction in real incidents.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Understand the vendor landscape without treating a list as a ranking
An independent guide updated October 8, 2026, says it reviewed 11 platforms across content engagement, simulation realism, behavioral-change metrics, deployment, reporting, phishing capabilities, and support. Its descriptions are a dated secondary-source snapshot, so confirm current capabilities in your own demonstration or pilot.
| Guide’s stated positioning | Example platforms named in that guide | How to use the claim |
|---|---|---|
| Automation and low maintenance | Phished | Test whether automation reduces administrator work without removing approval and governance controls. |
| Advanced threat simulation | Adaptive Security | Test scenario realism, difficulty context, and safe reporting workflows. |
| Gamified engagement | ESET Cybersecurity Awareness Training | Test whether game elements improve completion and knowledge for your workforce. |
| Email security combined with training | IRONSCALES | Verify the boundary between email protection, simulation, and learning records. |
| Adaptive enterprise training | Hoxhunt | Test personalization logic, escalation, and data controls at your scale. |
| Managed offerings | Huntress; Arctic Wolf | Clarify what the provider operates, what your staff must approve, and support responsibilities. |
| Threat-intelligence-driven simulation | Cofense PhishMe | Ask how intelligence informs scenarios and how difficulty is documented. |
| Broad content depth | KnowBe4 | Check relevance, accessibility, update governance, and assignment administration rather than counting courses. |
| Ecosystem alignment | Proofpoint ZenGuide | Verify which integrations are included and which require separate products or services. |
| MSP automation | CyberSentriq | Test tenant separation, delegated administration, reporting, and support for managed-service use. |
These descriptions are positioning statements from that guide, not a universal ranking or independently verified feature matrix. A platform that fits a managed-service model may be a poor fit for an internal team, and a deep content library may not solve a reporting or integration problem.

Choosing by catalog size
Why it fails: Learners receive irrelevant or inaccessible material while administrators struggle to assign the right sequence.
Recovery: Require a role-based sample path, accessibility test, language check, and update demonstration before awarding points for library breadth.
Using one click rate as the verdict
Why it fails: Scenario difficulty, audience, exposure, and reporting behavior change the meaning of the number.
Recovery: Record difficulty, compare similar campaigns, review reporting and remediation, and use a broader metric set.
Ignoring the report-to-response path
Why it fails: Employees may learn to report but security staff receive no actionable event.

Underestimating administration
Why it fails: Campaigns, exceptions, language changes, and exports consume more staff time than planned.
Recovery: Run a pilot with the people who will administer the program and record time for ordinary and exceptional tasks.
Leaving privacy decisions until contracting
Why it fails: Individual performance data, retention, residency, or manager access may conflict with internal policy.
Recovery: Involve privacy, legal, HR, and security reviewers during requirements definition and test permissions in the pilot tenant.

A defensible selection decision
Select the platform that best satisfies your documented outcomes and constraints with the least operational friction—not necessarily the one with the most features. Keep the completed scorecard, demonstration notes, pilot findings, assumptions, exceptions, and written vendor commitments together. Record why a lower-scoring option was rejected and which risks remain accepted.
Before signature, confirm the final user-count definition, implementation responsibilities, integration prerequisites, data-processing terms, retention and deletion process, support escalation, renewal mechanics, and what evidence remains available for audits. After launch, schedule periodic evaluation so content, simulations, reporting, and role assignments change when your threat model or workforce changes. That ongoing review is what turns purchased software into a security learning program.
