If your small team mainly needs to find cloud apps, track who uses them, control subscription costs, and avoid missed renewals, start by evaluating SaaS management. If you need to manage laptops, software entitlements, contracts, and technology across their lifecycle, IT asset management (ITAM) is the broader fit. Teams with both needs should define which system owns shared vendor and contract records.
What SaaS management and ITAM each cover
SaaS management focuses on subscriptions
SaaS management centers on applications delivered as subscriptions: discovering sanctioned and unsanctioned apps, seeing users and active seats, tracking spend and contracts, and governing renewals. Discovery can use finance or expense data, application APIs, single sign-on (SSO), browser extensions, cloud access security broker (CASB) connections, or installed agents. The sources available—and the detail each provides—vary by tool. A single discovery source can miss apps or activity, so compare the supported sources and the access or deployment each requires. ITAM tracks technology through its lifecycle
ITAM is the wider practice of tracking technology assets and related records across procurement, deployment, maintenance, and retirement. It can cover physical equipment, software licenses, financial and contractual data, and configuration relationships. Hardware asset management focuses on physical devices and their lifecycle; software asset management (SAM) focuses on software usage, licenses, and entitlement compliance. Where the tools overlap—and why ownership matters
The categories are useful distinctions, not mutually exclusive systems. A vendor agreement might bundle laptops with cloud subscriptions. The devices belong in lifecycle inventory; app seats, usage, and renewal oversight call for subscription management. If both systems record the vendor and contract, decide which is authoritative for each field. A shared taxonomy and clear record ownership help prevent duplicate spend counts, conflicting dates, or missing renewal owners. - Write down the decisions you cannot make today. Examples include identifying unknown apps, removing unused seats, finding a renewal owner, locating a missing laptop, confirming software entitlements, or preparing for an audit. Separate subscription visibility problems from hardware and license lifecycle problems.
- Map discovery inputs to your current systems. Ask whether the product can use your expense or finance platform, SSO or identity system, HR data, application APIs, browser or network signals, and endpoint inventory. For each connection, establish what is automatic, what needs an agent or browser extension, and what requires API credentials or administrative access. Ask how the tool shows data provenance, coverage gaps, and confidence; one source may not reveal every application or use.
- Check that the data supports action. Confirm which application- and user-level fields are collected, how frequently data refreshes, and whether the tool exposes last use or feature use when available. An expense entry shows that a purchase was recorded; it does not, by itself, establish that a person actively uses the app or that a seat can safely be reclaimed.
- Verify lifecycle and records where needed. If devices or licensing matter, check for serial or asset inventory, assigned ownership, procurement-to-retirement workflows, contract and entitlement records, and integrations with your existing configuration management database (CMDB) or IT service management (ITSM) system. Confirm that the workflow matches your actual process rather than relying on a feature label.
- Test governance and operating effort. Look at renewal reminders and owner assignment, security controls, audit reporting, exports and APIs, and finance and identity integrations. Estimate the ongoing work needed to keep data accurate. For a very small team, a maintained inventory and a regular review cadence may be more useful than a broad suite that no one can administer.
Questions to take into a vendor demo
- Which sources discover applications, and which require an agent, API credential, browser extension, or administrator access?
- Can the product show where each discovery record came from and identify coverage gaps? Can it distinguish a paid subscription from evidence of active use?
- What user-level detail is available, how current is it, and can we export it?
- How are contracts, renewal owners, entitlements, and finance or identity integrations handled? Which system owns shared vendor fields?
- If we need ITAM, can the product support our required hardware and software lifecycle workflows and connect to our existing service or CMDB systems?
- What are the current plans, price minimums, and implementation effort for an organization of our size? Confirm these directly with the vendor; current small-team pricing and minimums are not established here.
What evidence can—and cannot—tell you
Vendor-authored product pages explain their own capabilities, but they are not independent proof of typical savings or performance. A 2019 industry standard is useful background on SaaS subscription management, not a guarantee about what a current product collects. No independent comparative test or verified current small-team pricing survey is available in the cited material, so judge products against your integrations, access requirements, and workflows rather than assumed results. No savings figure is established for either category.
