Our verdict on TMS Collections

Museums, archives and special collections can use TMS Collections to organize object records and the work around them. Gallery Systems describes it as a relational collections-management system that connects cataloging with media, constituents, exhibitions, loans, locations and reporting. Its scope makes it a fit for mid-size and large institutions with complex collections and varied internal processes, rather than organizations looking only for a basic catalog. The application is browser-based and supports web, Windows, macOS and iOS; deployment can be cloud-managed or institution-hosted.

Its breadth is the central strength. Staff can track incoming and outgoing loans, plan exhibitions, coordinate shipping and insurance, and link digital assets to collection records. Configurable fields, workflows, permissions and forms let institutions shape the system around their processes, while advanced search, filtering and batch updates support collection work at scale. Constituent records cover people and organizations, and multilingual Unicode support is relevant to institutions managing data in multiple languages. For online access, publishing is through eMuseum integration; TMS Media Studio and TMS Conservation Studio are also listed integrations. This makes the system more suitable for institutions seeking connected collections operations than for teams that need only public-facing browsing.

Pricing calls for a sales conversation. According to Gallery Systems’ published product information, new licensing and implementation pricing is not publicly listed, and there is no free plan for new customers. Customers with a TMS annual maintenance package are described as eligible for a free upgrade. Support channels include email and phone, and the listed compliance feature is two-factor authentication. Institutions should weigh the configuration and platform coverage against the sales-led purchase and implementation process. TMS Collections is a sensible candidate for museums needing connected cataloging, loans and exhibitions across cloud or hosted deployment; a smaller organization seeking a free, narrowly focused catalog may prefer a simpler option.
