Our verdict on CatalogIt
CatalogIt is cloud collections-management software for museums, galleries, libraries, archives, organizations and private collectors. Its structured object records support classifications, metadata, media, locations and condition information, while dedicated profiles cover accessioning, acquisition, deaccessioning, loans and exhibitions. Rights documentation, conservation records and public collection publishing extend the system beyond basic cataloging. Small museums can use it as an all-in-one workspace, while larger organizations can select higher entry and storage limits.
The freemium pricing structure gives museums a low-commitment starting point. Museum Free costs $0 and includes 50 entries, 5 GB of storage and one user, but excludes HUB web publishing. Museum Small costs $54 per month or $540 per year for 25,000 entries, 100 GB of storage and HUB publishing. Museum Medium is $72 per month or $720 per year with 50,000 entries and 150 GB, while Museum Large is $96 per month or $960 per year with 100,000 entries and 200 GB. The Museum tiers list eight users, making plan selection depend on collection size, storage needs and team access.
CatalogIt supports browser and mobile access across web, Windows, macOS, iOS and Android. Its ecosystem includes CatalogIt HUB, the Public API, a WordPress plugin and iframe embedding, giving museums several routes for publishing collection records. Role-based permissions support collaborative work, and the feature set spans cataloging, loans, exhibitions, rights and conservation rather than focusing on a single workflow. Museums needing affordable breadth and public access should consider it; teams requiring more than eight users or full HUB publishing on the free tier should look at alternatives with fewer plan constraints.
