SysTools Gmail Backup is a Windows and macOS desktop application for saving personal Gmail data to local storage. It exports messages and attachments to PST, MBOX, EML, MSG, or PDF, while also covering Google contacts, calendar events, and selected Google Drive documents. Folder and date filtering, folder-hierarchy preservation, incremental or delta backup, and recovery from interrupted operations make it suited to one-time exports and repeat local backups. The software uses Google OAuth 2.0 authentication and can generate summary and detailed CSV reports.
Pricing is centered on one-time licenses rather than a recurring subscription. The Standard License for a single user costs $29 one time and includes Gmail backup, multiple email export formats, contacts, calendar, and Google Drive document backup. A Standard License for more than 10 users costs $5 per user account and focuses on bulk Gmail account licensing. Bundle offers extend coverage beyond Gmail: Gmail, Hotmail, and Yahoo backup costs $69 one time, while the six-product bundle covering Gmail, Hotmail, Yahoo, Outlook.com, AOL, and Zoho costs $99 one time. Bulk bundle pricing is $9 or $19 per user account, depending on the bundle.
Its main strength is focus: users who need local copies of Gmail and related Google data get filtering, incremental backup, and several practical export formats in a desktop utility. Windows and macOS coverage also suits users working from either platform. The narrower scope is important, however. This is not a hosted cloud-backup service, and the product is intended for free Gmail accounts; Google Workspace accounts require a separate product. Choose it for a defined Gmail export or local archival task, but consider an alternative when the requirement is broader cloud protection or direct Google Workspace coverage.
