Our verdict on ApprovalMax
ApprovalMax is a cloud-based approval and financial-controls platform for businesses, accountants, and bookkeepers managing finance requests. It routes bills, purchase orders, invoices, expenses, and other requests through configurable, multi-level workflows. Conditional rules can route requests by amount, vendor, department, or request type, with sequential or parallel approval steps. Finance teams that need controlled approvals and a traceable record are its clearest fit; teams seeking a broad general-purpose workflow tool may prefer a wider-scope product.
Approval workflows, users, and approval steps are unlimited on Standard, which also includes iOS and Android apps and a full audit trail. Advanced adds bill-to-PO matching, budget checks before approval, journal entry approvals, supplier onboarding, and automatic approval for recurring transactions. Premium adds custom standalone workflows, public API access, priority phone support, and AI capture. A 14-day free trial is available, but there is no free plan. According to the vendor’s pricing information, pricing depends on region and organisation; the tiered usage model in some markets is based on approved-document volume, not automation runs. Buyers should confirm the applicable plan and usage basis before committing.
The controls extend beyond routing: timestamped audit reports can be exported as PDF, and custom reports support filters, selectable columns, CSV export, printing, and scheduling.
