Use access control first, then handle search visibility. A discussion that requires a member login is generally not crawled by Googlebot, while a public page with noindex can stay open to visitors but be excluded from supporting search engines. A robots.txt block, hidden navigation item or invite-only URL is not a substitute for permission checks.

For layered memberships, Circle is the strongest fit because it separates community, space and visibility settings. Heartbeat is useful when you need an explicit indexing switch for public pages. Bettermode suits branded customer communities, Hivebrite suits segmented association networks, and Slack is the practical choice for an existing team that needs private, chat-first channels. None of these documented controls proves secrecy against copying, screenshots, exports or every crawler.

How do I keep a community off Google?

Make discussion pages require authentication, and verify every public surface separately. Google Search Central states that when a page is private because it requires a login, Googlebot will not crawl it. That is an access rule: a visitor without an account cannot read the page, and Googlebot cannot fetch its contents.

  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Search exclusion is a different problem. A public landing page, event page or resource can remain accessible to anyone while carrying a noindex directive. Search engines that support the directive should remove that page from their index after crawling it. The crawler must be able to fetch the page to see the directive, so blocking the same URL in robots.txt can prevent Google from detecting noindex. A robots.txt rule alone can also leave a blocked URL appearing as a result without its content.

Use this order:

  1. Protect the discussion. Require an account and an approved membership before showing posts, replies, files or recordings.
  2. Set space or channel permissions. A private community can still contain an open space, and a private community can expose a public event or resource.
  3. Decide what should be public. Keep marketing pages public only when you want visitors to read them.
  4. Control public-page indexing. For pages that should be reachable but not searchable, use the platform’s supported indexing control or a correctly delivered noindex directive.
  5. Check the result as a visitor. Use a signed-out browser and a direct discussion URL, not just the homepage or navigation.

Can private discussions still be indexed?

A properly login-gated discussion should not be readable by Googlebot, but a community label alone is not proof that every URL is gated. Homepages, member profiles, file downloads, event pages, previews and embedded content can have different rules.

Review at least one URL from each surface:

  • The community root and any directory or search page.
  • A direct link to a discussion thread and its attached files.
  • Profile pages and member directories.
  • Public events, resources, help pages and registration forms.
  • Email, RSS, API or integration endpoints that may expose excerpts.

This surface-by-surface review is a practical precaution. Google’s guidance describes Googlebot behavior, not every crawler or every human recipient, and it does not guarantee that a platform’s integrations, exports or notification previews obey the same boundary.

Is a hidden space actually private?

No. Hiding a space from navigation changes discoverability, not necessarily permission. Circle explicitly distinguishes a hidden secret space from an access restriction: secret spaces are hidden from nonmembers’ sidebars, while the actual access setting determines whether a person who follows a direct URL can view the content.

Circle documents three useful space patterns:

Open spaces

Open spaces can be available to visitors in a public community. They work for announcements, samples and public discussion, but they should not contain material that members expect to stay behind a login.

Private spaces

Private spaces restrict entry to members who have been granted access. Circle may show a lock screen to people without permission. This is the setting to use for member discussions, cohort work and paid resources.

Secret spaces

Secret spaces are hidden from the sidebar for people who are not members of that space. Treat the hidden navigation as an extra layer of discretion, not as a lock: direct URLs still depend on the space’s permission setting.

When configuring Circle, set the community-wide access rule first, then inspect every space. An otherwise open space can undercut a carefully restricted community, and hiding an open space does not change its underlying access.

Which private community platform is best for paid members versus an internal team?

There is no universal winner because the products model discussion differently. Choose based on the audience, the number of access tiers and whether conversation is organized into durable spaces or fast-moving channels.

Circle: best for layered memberships and cohorts

Circle is the most flexible choice when one membership program needs several audiences. Its documented model separates the community setting from individual spaces, so an operator can combine a public welcome area with private cohorts, paid rooms or secret project spaces.

  • Use it when: different plans, courses or cohorts need different rooms.
  • Configure carefully: review the community setting and each space’s open, private or secret status.
  • Watch for: hidden navigation being mistaken for access control; a direct URL still reaches the permission check.
  • Indexing note: do not assume that a private community setting automatically covers public landing pages, events or resources.

Circle’s strength is granularity, not a guarantee that members cannot copy what they can read. Set expectations in membership terms and control downloads separately where the product allows it.

Heartbeat: best for a community with intentionally public pages

Heartbeat’s documentation describes an Allow search engine indexing setting for public Pages, Resources and Events. The setting is off by default according to that documentation. Heartbeat also states that enabling it for public material does not open members-only content to search engines.

  • Use it when: you want public marketing or event pages but a deliberate choice about whether those pages enter search indexes.
  • Keep in mind: the setting concerns public page types; it is not a replacement for membership permissions.
  • Evidence boundary: the vendor-documented setting is useful guidance, but it is not an independent crawl test or a statement about every possible page, integration or crawler.

Heartbeat is a good fit for operators who want an obvious indexing decision in the administrative workflow rather than relying only on site-wide conventions.

Bettermode: best for a branded customer hub

Bettermode documents public and private communities, invited members, SSO login options and discussion-oriented spaces. That combination fits product communities where customers need a branded destination, while support conversations and member resources stay behind an account.

  • Use it when: the community is part of a customer or product experience and branding matters.
  • Membership model: invitations and SSO can support controlled onboarding; decide separately whether self-registration is allowed.
  • Price: the Starter plan displayed at $149 per month with annual billing ($1,788 annually) or $199 per month month to month ($2,388 annually) on October 30, 2026.
  • Verify before purchase: pricing and feature tiers are volatile, and no particular Bettermode public page should be assumed to be noindex without checking its current configuration.

Bettermode is a practical middle ground between a completely open forum and an internal chat tool, provided the administrator audits public pages and member-only spaces independently.

Hivebrite: best for associations and segmented networks

Hivebrite documents public, private and invisible groups. Group membership can be open, request-approved or controlled by an administrator, which suits alumni, professional and member organizations with several chapters or interest groups.

  • Use it when: one network needs many governed subgroups and formal membership workflows.
  • Visibility choices: public groups can be discoverable, private groups can restrict participation, and invisible groups can stay out of the platform’s group discovery.
  • Important distinction: Hivebrite’s searchable group index describes discovery inside its platform. It is not proof that group content appears in Google, nor proof that hiding a group controls external indexing.
  • Price: the Focus plan starts at $8,000 per year, billed annually, on the pricing page checked October 30, 2026.

Hivebrite’s cost and administrative model make it a more substantial organizational purchase than a lightweight discussion room. Confirm which group types, approval flows and public pages are included in the quote.

Slack: best for an existing team that wants private chat

Slack is the narrowest recommendation here: it is strongest when the audience already works in a team chat environment and discussions are time-sensitive rather than organized as a public-facing knowledge base.

  • Private channels: Slack says people must be added to a private channel.
  • Internal search: only channel members see that channel’s messages and files in Slack search.
  • Use it when: the goal is internal conversation, incident coordination or project chat.
  • Do not overread the rule: the documented search behavior does not guarantee protection for exports, integrations, screenshots, copied text or external web indexing.

Slack’s channel permissions can be appropriate for internal work, but a paid community that needs evergreen lessons, public acquisition pages and structured cohorts may need a platform built around spaces and memberships instead.

What should I compare before choosing a platform?

Compare the permission model and the publishing model together. A product can be excellent at private channels yet awkward for public marketing, or excellent at public pages yet too coarse for paid cohorts.

Question Why it matters What to verify
Who can view the community before login? A public shell can expose names, descriptions or previews. Open the root URL while signed out and inspect its source and visible text.
Who can view each space or channel? Community-wide privacy does not automatically lock every room. Check open, private, secret, public, invisible and member-only settings.
Can nonmembers discover a name or direct URL? Discovery and content access are separate decisions. Review sidebars, directories, search results and shared links.
Which pages are intentionally public? Marketing, events and resources may follow different rules. List each public page type and its indexing control.
Is the discussion threaded or real time? Long-lived answers need a different structure from rapid team chat. Look for durable spaces, search, threading and moderation workflows.
How are members admitted and removed? An invite, payment or approval can grant different scopes. Map invitations, self-sign-up, SSO, requests, approvals and revocation.
What does it cost at your scale? Vendor pricing may differ by billing term and organization size. Confirm current checkout, annual totals, seats and included features.

Do I need noindex if members must log in?

Usually not for the discussion itself. A page that truly requires login is an access-controlled page; Google’s statement about Googlebot not crawling private pages addresses that case. noindex is useful for a different class of page: one that anyone may open but that you do not want in search results.

  • Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft

Keep the two controls separate:

  • Login requirement: controls who can read the content.
  • Space or channel permission: controls which members can read it.
  • noindex: asks supporting search engines not to index a crawlable page.
  • robots.txt: controls crawler fetching and can stop Google from seeing noindex.

Do not combine a robots.txt block with a noindex strategy when the goal is removal from Google; if the crawler cannot fetch the page, it cannot reliably see the directive. Also remember that these controls address indexing, not copying by an authenticated member.

  1. Classify every content type. Mark discussions, files, profiles, events, resources and landing pages as member-only, invited-member, or public.
  2. Require authentication for member content. Do not rely on an unlisted URL or an invitation link as the protection.
  3. Set each space or channel. Apply the platform’s private, secret, invisible or member-only setting to every discussion area that should be restricted.
  4. Separate public acquisition pages. Put pricing, registration and explanatory copy in intentionally public pages, and keep member discussions elsewhere.
  5. Choose indexing behavior for public pages. If a public page should not appear in search, use the platform’s documented indexing switch or a correctly delivered noindex.
  6. Check signed-out access. In a private browser window, visit the homepage, a direct discussion URL, a profile URL and a file URL. Record what is visible without an account.
  7. Check a nonmember account. A logged-in person who lacks a space permission is a different test from a completely signed-out visitor.
  8. Review invitations and approvals. Confirm that removing a member or rejecting a request removes access to every relevant space.
  9. Audit integrations. Check notification previews, search connectors, embeds, API feeds and exports before promising that content stays inside the platform.
  10. Repeat after redesigns. Navigation, templates and public-page settings can change independently of the community-level privacy setting.

Which platform fits common privacy scenarios?

Use the scenario, not the brand name, as the starting point for a decision.

  • Several paid tiers or cohorts: choose Circle when you need different spaces with distinct access rules.
  • Public acquisition pages with an indexing switch: consider Heartbeat, while verifying which page types the setting covers.
  • Customer support and product feedback under a brand: Bettermode’s private communities, invitations and SSO options fit this model.
  • Alumni, professional or chapter-based membership: Hivebrite’s group visibility and approval modes support segmented networks.
  • Internal project or incident chat: Slack’s private channels and member-restricted search are a focused solution.

These are use-case inferences from documented capabilities, not vendor certifications. If your requirement is regulated confidentiality, commission an appropriate security and privacy review rather than treating a platform setting as a complete control framework.

What are the main failure modes?

Most exposure mistakes come from confusing a label with an effective permission boundary.

  • “Private community” but open spaces: a public or open room can reveal posts even when the overall community is restricted.
  • Hidden navigation mistaken for privacy: a secret or hidden space may still be addressed directly; its access setting must deny unauthorized viewers.
  • Robots.txt used as a lock: it does not stop a person with the URL and can prevent Google from reading a noindex directive.
  • Public previews: titles, excerpts, event details or profile fields may be visible before login even when the full thread is not.
  • Internal search confused with web indexing: Slack’s private-channel search rule applies to Slack members, while a platform’s group directory is not evidence about Google.
  • Invitation treated as permanent permission: access can outlive a subscription or role unless removal and space membership are reviewed.
  • Copying assumed impossible: authenticated readers can still copy text, take screenshots or share files unless separate controls and policies address those actions.

How should I evaluate price and availability?

Use the displayed figures as a budgeting starting point, not a permanent quote. Bettermode’s Starter price was shown as $149 per month with annual billing or $199 month to month on October 30, 2026. Hivebrite’s Focus plan was shown as starting at $8,000 per year billed annually on the same date. The supplied documentation did not establish comparable prices for Circle, Heartbeat or Slack, so those cells remain unstated rather than guessed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Before committing, confirm the billing term, member or seat limits, SSO availability, moderation tools, storage, public-page controls and data-export terms. Ask the vendor to identify which page types can be public, which can be indexed, and whether a setting applies to files and profiles as well as discussion pages.

Frequently asked questions

Should I audit member profiles and files separately from discussions?

Yes. A platform can protect thread text while exposing a profile directory, attachment URL, event description or preview page under a different rule. Include one representative URL from each surface in your signed-out and nonmember checks.

Can an invitation link bypass a private space?

An invitation should identify or admit an account, but it should not be treated as a universal bypass. The recipient still needs the community and space permissions that the administrator configured; verify this after changing roles, subscriptions or group membership.

Can I run a public landing page and a private discussion in the same community?

Yes, and that is a common pattern. Keep the landing, registration and explanatory pages intentionally public, then place discussion text and member files in spaces that require authentication; configure indexing only for the public pages.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should I check after a platform redesign?

Recheck the root URL, a direct thread link, a profile, an attachment, a public event and a member-only page while signed out and while logged in as a nonmember. Also review notification previews, embeds and integrations, because a navigation or template change can alter what is exposed without changing the headline community setting.

Frequently Asked Questions

Can a page that asks for a login still be crawled by Google?

Google Search Central says Googlebot will not crawl a page made private by requiring a login. That statement is specific to Googlebot; it is not a universal promise about other crawlers, logged-in integrations or people who already have an account.

Is a platform’s internal group directory the same as Google indexing?

No. A searchable directory inside a community product describes discovery for that product’s users. It does not establish that discussion content is available in Google or another public search engine.

Does hiding a space remove the need to set membership permissions?

No. Hidden navigation reduces casual discovery, but a direct URL still reaches the platform’s permission check. Set the space or channel to a restricted mode and verify access with a nonmember account.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Are vendor prices in this comparison guaranteed?

No. The Bettermode and Hivebrite figures are displayed prices checked October 30, 2026, and vendors can change plans, limits or billing terms. Confirm the current checkout and feature tier before signing a contract.
