The practical method depends on which Outlook you use and the scaling controls available from your browser, system, or printer.
In Classic Outlook for Windows, adjust the email’s print style and page setup, then use printer-driver scaling if available. In New Outlook, Outlook on the web, and Outlook.com, use the print dialog’s available paper and scaling controls. Outlook for Mac uses the macOS print dialog or a browser/PDF workflow.
Before you print: check which Outlook you use
These instructions differ because Microsoft has separate Windows desktop versions:

Open the print preview before printing. Your goal is for the preview to show one output page, not merely two pages placed on one sheet.

Method 1: Fit an email to one page in Classic Outlook for Windows
This method applies to the traditional desktop Outlook included with Microsoft 365 and to Outlook 2021 and Outlook 2024. Microsoft’s printing instructions describe the message print workflow.
1. Open the email’s print settings
- Open the email.
- Select File, then Print.
- Select Print Options.
For a normal email, leave Print style set to Memo Style. This is Outlook’s standard email print layout.
2. Match the paper size
Select Page Setup, then check the paper setting. Choose:
- Letter for most printers in the United States and Canada.
- A4 for many international printers.
The paper selected in Outlook should match the paper loaded in the printer. A mismatch can cause unexpected page breaks, cropping, or excessive shrinking.

In the page setup window, reduce the Top, Bottom, Left, and Right margins if the email only slightly spills onto a second page.
Reduce them cautiously. Printers have a minimum printable area, so a margin that is too small may be ignored or produce clipped text. Margins are most useful when the second page contains only a few lines.
4. Reduce the printed font size
Use the font controls in Memo Style > Page Setup to reduce the font used for the printed message, if available. This differs from changing Outlook’s reading zoom: it changes print formatting.

A small reduction can make a short email fit without making it difficult to read. If the message is several pages long, reducing the font alone may not be enough.

5. Use landscape for wide content
If the email contains a wide table, screenshot, order summary, or long unbroken URL, change the orientation to Landscape in Page Setup, if available.
Landscape adds horizontal space and can prevent the right side of the message from being cut off. It does not necessarily reduce the number of vertical pages, so check the preview again.
6. Check for printer-driver scaling
If Outlook still shows two pages, open the printer’s settings from the print window. Depending on the printer, the button may be named Properties, Printer Properties, or Preferences.
Look for an option with a name such as:
- Fit to Page
- Shrink to Fit
- Scale to Fit
- Page Scaling
- Reduce/Enlarge
These controls are printer-specific, not Outlook commands. Some drivers provide a percentage, while others have no scaling control. If you use a custom percentage, reduce it gradually and check the preview.
Important: Outlook does not provide a universal email command called Fit to one page or Shrink to Fit. A fitting option you see may belong to the printer driver or browser.
Method 2: Print one page from New Outlook for Windows
New Outlook does not use Classic Outlook’s Memo Style and Page Setup workflow.

- Open or select the email.
- Select the Print button, or press Ctrl+P.
- Follow the print-dialog prompts and choose a printer.
- Set the paper size and adjust scaling using the controls available in the print dialog or printer settings.
- Check the preview; if the available controls allow it, adjust scaling until it shows one page.
The names and location of print controls depend on the dialog and printer. New Outlook does not generally provide Classic Outlook’s print-style font and page setup controls. Quick Print is currently unavailable in New Outlook for Windows; use the regular Print command. Microsoft documents the New Outlook print workflow.
Method 3: Print an Outlook email to one page from a browser
This method works with Outlook on the web, Outlook.com, and messages opened in a browser from Classic Outlook.

Outlook on the web or Outlook.com
- Open the email.
- Select Print, or press Ctrl+P.
- Wait for the browser print preview to load.
- Set Paper size to Letter or A4.
- Open More settings, if necessary.
- Adjust Scale or Scale to print, if offered.
- Confirm that the preview contains one page, then select Print.
Microsoft Edge settings
In Edge, the relevant options may include:
- Scale to print
- Fit to printable area
- Actual size
- Custom
- Margins
Use Custom when the automatic fitting option still creates two pages. Try a modest reduction first, then lower the percentage until the preview shows one page. Microsoft explains Edge’s print settings.
Do not confuse Pages per sheet with fitting. Pages per sheet puts multiple separately rendered pages on one physical sheet; it does not reflow the email into one page and may make the text unreadably small.
Open a Classic Outlook email in a browser
Browser printing can work better for messages containing wide HTML tables or large inline images.
- Open the message in Classic Outlook.
- On the Message tab, open More Move Actions in the Move group.
- Select View in Browser.
- If Outlook displays a security warning, select OK.
- Use the browser’s Print command.
- Set the paper size and adjust scale in the browser preview, if available.
If you need only part of the message, select that content in the web page—not in the print-preview window—and choose the browser’s Selection print range, if available.
Method 4: Print an Outlook email to one page on a Mac
Outlook for Mac does not have Classic Outlook for Windows’ Memo Style > Page Setup controls.

- Open the message in Outlook.
- Select File > Print, or press Command+P.
- Open Paper Handling in the macOS print dialog, if available.
- Select Scale to Fit Paper Size.
- Choose the destination paper size.
- Check the preview, then select Print.
If Outlook’s print dialog does not provide the required scaling controls, open the message in a browser or save it as a PDF. Open the PDF in Preview, select File > Print, and use Scale to Fit Paper Size. Apple describes paper-handling options in the macOS print dialog.
Turn off attachment printing
In Classic Outlook, attachments can add pages to the print job.
- Select File > Print.
- Select Print Options.
- Clear Print attached files.
If this option was enabled previously, Outlook may continue printing attachments with messages until you clear it.
What to do when the email still prints on two pages
The message is genuinely too long
One physical page has limited space. If fitting the whole email makes the text too small to read, print only the required pages or select the important section.
In Classic Outlook, go to File > Print > Print Options and enter the required page range. For a selected section, use View in Browser and print the browser selection, if available.
A large image is cropped
Outlook may preserve the displayed dimensions of an inline image instead of automatically reducing it to the printable width. Try printing the message through a browser and use its scaling setting. You can also resize the image before printing or use printer-driver scaling.
The right side is cut off
This is usually a width problem rather than a page-count problem. Try these changes:

- Switch to Landscape.
- Use smaller left and right margins.
- Choose a larger paper size if your printer supports it.
- Print from a browser.
- Reduce the width of the image or table.
- Use printer scaling, if available.
The preview is extremely small
Check for multiple scaling layers. Outlook Page Setup, the browser or system print dialog, and the printer driver can each affect the result. If more than one is reducing the page, the settings can compound.
Outlook’s print settings appear corrupted
For a Classic Outlook-only printing problem, close Outlook and open this folder:
%appdata%\Microsoft\Outlook
Find the file named Outlprnt and rename it to Outlprnt.old. Restart Outlook and try printing again. Outlook should create a new print-settings file. This is a community troubleshooting recommendation, not a guaranteed fix; use it only after confirming that the issue is limited to Outlook’s print settings. - Excel’s Fit to 1 page: this applies to worksheets, not Outlook messages.
- Pages per sheet: this places multiple output pages on one sheet but does not turn them into one readable page.
- Memo Style: this changes Outlook’s email print layout; it does not guarantee a one-page result.
- Display zoom: changing how large the email looks on screen does not necessarily change its printed font.
- Old Internet Explorer Shrink to Fit instructions: these are outdated for current Outlook email printing.
The quickest reliable procedure
Classic Outlook for Windows
- Open the email and select File > Print.
- Select Print Options.
- Use Memo Style > Page Setup.
- Match the paper size to the printer.
- Reduce margins or the printed font size.
- Use Landscape for wide content.
- Open printer Properties or Preferences.
- Enable the printer’s fit or scaling option, if available.
- Print only after the preview shows one page.
New Outlook, Outlook on the web, or Outlook.com
- Open the email and select Print or press Ctrl+P.
- Choose Letter or A4, if available.
- Adjust scaling using the controls offered by the browser, system dialog, or printer.
- Reduce the scale gradually if the preview still shows two pages and the controls allow it.
- Check the preview for one output page, then print.
FAQ
Does Outlook have a built-in Fit to one page option?
No. Current Outlook versions do not provide a universal email-print command equivalent to Excel’s Fit to 1 page. Use Classic Outlook’s Page Setup and printer scaling, or use scaling in the browser or system print dialog when available.
Why does my Outlook email print on two pages?
Common causes include excessive margins, a paper-size mismatch, large images, wide tables, headers or footers, attachment printing, and printer-driver limitations. A message may also contain more content than can fit legibly on one page.
What is the best way to print a wide Outlook email?
Try Landscape orientation, smaller side margins, or a browser print workflow. Browser scaling can help when the email contains a fixed-width table or large inline image.
Is Pages per sheet the same as fitting an email to one page?
No. Pages per sheet places multiple already-rendered pages on one physical sheet. It does not reflow the email into one page, and the result may be difficult to read.
