A useful post-event survey asks only questions whose answers could change a future decision. Start with the five questions below, then add a short topic-specific section only if you know what you will do with the answers.

A concise post-event survey to start with

These five questions are a practical synthesis of university and vendor question banks, not a universally validated survey instrument. Adapt them to your event, and skip anything you can answer from registration or attendance records.

Question Useful response format Decision it can inform
Overall, how satisfied were you with the event? A balanced rating scale, such as Very dissatisfied to Very satisfied, plus an optional comment. Whether the overall experience needs attention and whether it changes over time.
Did the event meet your expectations or the goal you had for attending? Yes, partly, or no, followed by an optional “What were you hoping for?” prompt. Whether the event’s description, audience, and program matched attendee needs.
Which part of the event was most valuable to you? A list of major event components, with “Other” and an optional explanation. Which sessions, activities, or services deserve more emphasis.
What is one thing we could improve for next time? Optional open-text response. Specific changes that may not appear in rating questions.
How likely are you to attend a future event like this? A consistent likelihood scale, such as Very unlikely to Very likely. Whether the format or subject is worth offering again.

Recommendation is a separate question from return intent: “How likely are you to recommend this event to a colleague?” Ask it instead of the last question if advocacy is the decision you need to inform. Ask both only when you have a clear use for both answers.

Choose optional questions by the decision you need to make

Add only the module that addresses a real choice within the organizers’ control. A broad questionnaire that asks about every detail can burden attendees without making the results more useful.

Content and speakers

  • Was the content relevant and useful to you?
  • Which session or speaker was most valuable?
  • What topic would you like covered at a future event?

Use these answers to adjust the program, speaker mix, or future topics. If the event had many sessions, ask about the attendee’s selected or attended sessions rather than presenting a long list of everything on the agenda.

Venue and logistics

  • How satisfied were you with the venue?
  • How well did the date and time work for you?
  • How satisfied were you with the arrival or check-in process?
  • How would you rate the food, if food was part of the event?
  • Was the event length appropriate?

Keep each question focused on one aspect. If you ask “How satisfied were you with the venue, food, and schedule?” an attendee cannot give a clear answer when one part worked and another did not.

Networking and activities

  • Which networking opportunity or activity was most useful?
  • What would make it easier for you to connect with other attendees?

Use responses to decide whether to change the format, timing, facilitation, or mix of activities—not simply to collect general impressions.

Accessibility and participation

  • Were you able to access and participate in the event?
  • Did anything make it difficult for you to take part or stay engaged?

Post-event feedback can help identify barriers to address at future events. It does not replace planning for access or asking about accommodation needs during planning or registration when that is appropriate.

Choose formats and length that make answers usable

Use ratings for comparisons and open responses for explanations

Ratings and multiple-choice questions are quicker to answer and easier to compare. Open-text prompts let attendees explain what mattered or raise an issue you did not anticipate. A mix is usually more useful than making every question open-ended, but each format should serve a purpose.

  • Use one clear topic per question and plain language.
  • Keep answer choices balanced, with positive and negative options where relevant.
  • Use the same scale when you intend to compare the same measure across events.
  • Include “Other” when your listed choices may not cover every answer.
  • Make open-ended responses optional when your form allows it.

Keep the questionnaire short

SurveyMonkey recommends 10 questions or fewer and suggests about three minutes to complete. Treat those figures as vendor guidance, not a universal rule or a promise of a particular response rate. A shorter survey is preferable when it still answers the decisions you need to make; remove questions whose answers will not change an action.

When and how to send the survey

Send it while the event is still fresh

SurveyMonkey recommends sending within one to two business days after an event, while Cvent recommends sending as soon as possible. These are practical suggestions rather than proof of one best send time for every audience. For a multi-session event, an end-of-session link, QR code, or event-app prompt can capture immediate reactions; an email follow-up can reach attendees after they leave.

Use reminders sparingly and close the loop

If you send a reminder, allow a few days before doing so and limit the number of messages. Tell attendees briefly how you will use their feedback. A thank-you page can also link to relevant materials, such as slides, recordings, or information about the next event, when those are available and useful.

Interpret responses without overstating them

Make fair comparisons

Compare results across events or attendee groups only when the question wording, audience, and scale are sufficiently consistent. If you change a question or response scale, note the change rather than treating the results as directly equivalent.

Read comments as evidence of issues, not a vote count

Look for recurring themes and specific examples in written feedback. Keep the context of each comment, and do not treat a handful of comments as representative of all attendees. Closed-response results describe the answers received; they do not by themselves explain why people answered that way.

Survey each audience about what it knows

Attendees, sponsors, and speakers have different experiences and knowledge. Ask attendees about their participation and experience; use separate feedback questions for sponsors or speakers when you need to assess their outcomes or needs. Staff process reviews should likewise be separate from attendee-experience questions.

There is no single response-rate target established as correct for every event; rates vary with the audience and event type. Judge the responses in context rather than promising or assuming a universal benchmark.
