Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallIf Outlook messages keep landing in Deleted Items or Trash, first check the destination folder, then inspect Inbox rules and Sweep for an action that deletes or moves matching mail. If the messages are in Junk Email instead, review blocked senders and junk settings; those are separate from Trash. Recover affected messages from the folder where they remain, using the option available for your Outlook version and account.
Confirm where the messages are going
Open the affected message’s destination folder before changing settings. Microsoft accounts generally use Deleted Items; when you add some third-party accounts, such as Gmail or Yahoo, Outlook may show Trash. Junk Email is a different folder with different causes and fixes.
Also identify which Outlook environment and account you use: Outlook.com, Outlook on the web for work or school, new Outlook, or classic Outlook. The available settings and recovery commands vary by client and account type. Microsoft’s Outlook.com guidance addresses messages missing from an Outlook.com inbox; do not assume every step or recovery option applies to a third-party account configured in Outlook.
Check Inbox rules for delete or move actions
An Inbox rule can automatically delete or move messages that match a sender, subject, keyword, or other condition. In Outlook.com or Outlook on the web, open Settings, then Mail and Rules. Review rules for a condition that matches the affected messages and an action that sends them to Deleted Items or another folder. Edit or remove only the rule responsible.

Rule order can affect processing, so inspect other rules that might act on the same messages too. Microsoft explains how to work with message folders and rules in Outlook on the web; labels may differ in other Outlook versions.
Review Sweep and sender-specific actions
Sweep can apply automatic actions to mail from a particular sender. Depending on its configuration, it can delete all messages from that sender, keep only the newest message, or delete older messages. In Outlook.com or Outlook on the web, inspect Sweep settings or the action associated with the sender, then remove or correct any unwanted behavior. Microsoft describes these options in its message-folder guidance.

If messages are in Junk Email, check blocking and junk settings
Blocked senders and junk filtering generally route messages to Junk Email, not Deleted Items or Trash. If that is where the messages appear, review your blocked-sender list and remove an accidental block. For a legitimate message, mark it as not junk and consider adding the sender to Safe Senders. Keep junk protection enabled rather than disabling spam filtering altogether.
Microsoft says mail from a blocked sender is moved to Junk Email and documents the steps to block or unblock senders in Outlook. For messages incorrectly classified as spam, follow its guidance for mail going to Junk by mistake.

Recover messages from Deleted Items, Trash, or Junk Email
- Search the folder first. Look in Deleted Items or Trash for messages that were deleted or moved, and in Junk Email for messages classified as spam.
- Move messages that are still there. Select the message and use the available Move or restore command to return it to the Inbox. The exact label depends on your Outlook version.
- Check for further recovery if the folder was emptied. Some Outlook versions and account types offer a Recover Deleted Items option after messages leave Deleted Items; others do not. Follow Microsoft’s instructions for recovering and restoring deleted Outlook items for your client and account.
Recovery is not guaranteed once a message is removed from its folder. Retention and automatic deletion depend on the Outlook environment and account. Microsoft documents separate behavior for Deleted Items and Junk Email, and the available recovery location differs across accounts and clients. Some work or school accounts may require a computer or administrator for recovery; some account types do not support recovery after Trash has been emptied. See Microsoft’s guidance on emptying Deleted Items as well as the recovery instructions for your setup.

After changing the rule, Sweep action, or sender setting, send or wait for a new message from the affected sender. Check whether it reaches the Inbox or the expected folder. If it still disappears, check for another rule or sender-specific action, and confirm that you are examining the correct account and folder.
