For flyers, brochures, newsletters, labels, and similar office publications, Microsoft recommends moving the work to Word or PowerPoint. That is a starting point, not a guarantee that either app will preserve Publisher’s page-layout workflow. If you need to keep existing publications, export them before Microsoft 365 access to Publisher ends on October 1, 2026.
Which Publisher alternative fits your publication?
Microsoft describes Publisher as desktop publishing software for print and online publications, ranging from greeting cards and labels to yearbooks, catalogs, and professional email newsletters. Its workflow includes templates, text boxes, and images. Microsoft’s suggested replacements are organized around common tasks rather than an exact feature-for-feature replacement.

Choose between an editable replacement and a faithful copy
For a copy to view, share, or print
Export the Publisher publication to PDF or XPS. These are fixed-format outputs intended for viewing and printing, not documents you can continue editing in Publisher. Microsoft describes PDF as easy to share and notes that many commercial printers use it. Publisher’s PDF options include minimum-size output for online viewing, standard output for distribution, high-quality printing, and commercial press. Ask your printer which format and settings it requires before exporting.

Microsoft says PDF export can preserve high-quality print characteristics, embed fonts, and retain searchable text and hyperlinks. Its instructions for PDF and XPS export are in Save As or convert a publication to .pdf or .xps using Publisher.
For text you need to edit in Word
Microsoft’s documented route is to save the Publisher publication as a PDF, then open that PDF in Word. The converted document is optimized for text editing, not for reproducing the original design. Microsoft warns that layout may vary from the PDF, particularly when it contains many graphics. Treat the Word file as a starting point and review and repair its formatting.

For another desktop-publishing app
The cited Microsoft guidance does not establish which third-party desktop-publishing app is the closest substitute, whether a specific app can open .pub files, or how much layout it would preserve. Before moving a complex publication, verify those details in the candidate app’s current documentation and test with a copy of a representative file. Microsoft says third-party direct-conversion services vary in quality and capability and are not supported by Microsoft.

Microsoft 365 subscribers will not be able to access Publisher after October 1, 2026, according to Microsoft’s retirement notice. Microsoft recommends converting files before that date. Support for perpetual Publisher ends October 13, 2026, alongside support for Office LTSC 2021 and Consumer Office 2021. Microsoft’s FAQ says a perpetual-license copy of Publisher can still be installed and used after support ends, but it will no longer be supported.

- Prep your documents for printing in just a few clicks
- Inventory the .pub files you need. Identify which need only to be preserved or printed and which must remain editable.
- Export important publications while Publisher is available. In Publisher, use the PDF or XPS save/export option and select settings suited to online sharing, distribution, high-quality printing, or commercial press. Keep the original .pub files as well as the exports.
- Open and inspect the exported copies. Check pages, fonts, images, links, and print dimensions; have a printer confirm its requirements for commercial work.
- For files that need text editing, make a separate Word conversion. Follow Microsoft’s PDF-to-Word route and expect to review layout changes rather than assuming the result is publication-ready.
- For a large archive, consider batch export only if you can test it. Microsoft provides a sample PowerShell script as an instructional reference, but says to modify and test it for your needs. It requires a working, licensed Publisher installation, so it depends on retaining access while that installation is available.

Make the choice by job and destination
- Routine office publications: start with Microsoft’s Word or PowerPoint suggestion for the specific job, then check the result instead of expecting an identical Publisher layout.
- A publication that must look the same: preserve it as PDF or XPS and verify the exported pages.
- Content that must be editable: use Word conversion for text editing, allowing time to repair layout; for complex designs, verify a dedicated replacement before migrating.
- Commercial printing: ask the print provider for its file and export requirements before producing the final copy.
- Many files to preserve: plan the archive export before Publisher access changes, and test any batch process on copies first.
