Microsoft 365 is a subscription, not another name for Office 2024—and it does not mean every app or document must stay online. The key distinctions are how you buy the software, where your files are stored, whether a feature needs the cloud, and whether you use a personal or work account. Here are seven common misconceptions, corrected against Microsoft’s published product guidance.
1. Is Microsoft 365 the same as Office 2024?
No. Microsoft describes Microsoft 365 as a subscription and Office as also having one-time-purchase products. They are different buying models, not identical entitlements under different names. A subscription may suit you if you want its included services and ongoing updates; a one-time purchase may suit you if you prefer to buy a qualifying Office version once. Compare the features and terms of the specific products before choosing: Microsoft 365 plans.
2. Do you need an internet connection to use Microsoft 365?
Not for every task. Microsoft says installed and activated desktop apps such as Word, Excel, and PowerPoint can be used offline. An internet connection is needed for initial installation and activation, updates and billing management, and files that exist only in OneDrive rather than on your device. Microsoft advises reconnecting regularly: if the apps do not connect at least once a month, they may enter reduced functionality mode. See Microsoft’s offline-use guidance.

3. Is Microsoft 365 only a web app, with every document stored in the cloud?
No. Microsoft 365 includes desktop productivity apps as well as cloud services. You can work with a local file in an installed app without making that file cloud-only. OneDrive is a separate storage and sync option: files stored there can be accessed online, and files made available locally through the OneDrive desktop app can be available on the device offline. The distinction matters: a local document and a cloud-hosted document do not have the same connectivity needs, and a feature that relies on a cloud service may not work offline. Microsoft describes its apps and services separately from its offline requirements.

4. Does consumer Copilot use prompts and files in Microsoft 365 apps to train foundation models?
Microsoft’s consumer privacy statement says prompts, responses, and file contents used with Copilot in Microsoft 365 apps for home are not used to train foundation models. That statement is scoped to home use when signed in with a Microsoft account; it is not a blanket description of every Copilot product, account type, or form of data processing. 5. Can commercial Copilot read every file in a company tenant?
Microsoft says commercial Copilot accesses organizational content within the signed-in user’s existing permissions and under the organization’s Microsoft 365 controls. It does not itself give every employee access to every tenant file. Microsoft Learn puts the OneDrive point this way: “Copilot accesses OneDrive files only within the user’s existing permissions and honors the same security, compliance, and privacy controls applied across Microsoft 365.” See Microsoft’s commercial Copilot privacy documentation and data-protection guidance. This permission boundary does not fix existing oversharing: organizations still need to review who can access sensitive files.

6. Does everyone on a Microsoft 365 Family plan get the owner’s in-app Copilot features?
No. Microsoft’s current FAQ says AI features in Word, Excel, PowerPoint, Outlook, and Designer included with Family and Premium plans are available only to the subscription owner. Sharing a plan with family members therefore does not mean every member receives those in-app AI benefits. Check the current plan and Copilot terms, since included features and eligibility can change.
7. Does every Microsoft 365 or Copilot feature work offline?
No. Offline access to an installed desktop app does not make every feature available without a connection. Some functions depend on cloud services or account status. For example, Microsoft says Copilot in Excel requires AutoSave and a file saved to OneDrive. That is a specific requirement for that feature, not evidence that every Copilot feature has identical requirements. Check Microsoft’s offline guidance and the Copilot feature terms for the app you plan to use.

What to check before choosing a plan or setup
- Purchase model: Decide whether you want a subscription with its included services and updates or a one-time Office purchase, then compare the specific product entitlements.
- Storage and collaboration: Decide whether you want OneDrive storage and cloud collaboration, or primarily work with files saved on your device.
- Offline needs: Confirm which installed apps and files must be usable without internet. Files stored only online and cloud-dependent features need connectivity.
- Account context: Distinguish personal, home use from a work account when reviewing Copilot privacy terms and organizational access controls.
- Family sharing: If multiple household members need in-app AI features, check who is eligible under the current plan terms rather than assuming all members receive the owner’s benefits.
