Choose based on what you remember. Use Everything when you mainly remember a filename, extension, folder, or path and want the quickest, lightest lookup. Use Windows Search when you need built-in Windows integration, document-content and metadata indexing, or results from supported Microsoft work and school services. Use a local LLM file-search tool when you remember an idea rather than the exact words and are willing to pay the extra setup, storage, and model-resource cost.

There is no defensible universal winner: the available official documentation describes capabilities, not a controlled three-way benchmark using the same computer, corpus, index settings, and query set. In practice, a hybrid setup often works best.

The short answer: match the search engine to your memory cue

File search feels slow or unreliable when the search method does not match the clue in your head. These three approaches solve different problems:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Everything: fastest for exact or partial names, extensions, paths, and folders.
  • Windows Search: broadest built-in coverage for properties, document text, common data types, and Windows-integrated services.
  • Local LLM search: strongest for concepts, paraphrases, and natural-language questions across your own documents.

If you remember “the PDF called renewal-terms,” start with Everything. If you remember “the spreadsheet modified last week containing a supplier ID,” Windows Search may be the better first stop. If you remember only “the invoice that discusses a penalty for ending the contract early,” a semantic search layer can find it even when none of those words appear exactly.

What each approach actually indexes

Everything: a filename and path index

Voidtools describes Everything as a utility to “Locate files and folders by name instantly.” Its official feature list emphasizes quick filename indexing, quick searching, minimal resource usage, and real-time updating. The stable release listed by Voidtools is 1.4.1.1032; 1.5.0.1424b is identified separately as a beta.

That design makes Everything excellent at questions such as:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • “Where is budget-2025.xlsx?”
  • “Show every .dwg file under this project folder.”
  • “Find folders whose names contain ‘archive’.”
  • “List files with ‘contract’ somewhere in the path.”

The core official description is about names and folders, not semantic document understanding. Do not assume that a basic Everything installation will understand the meaning of a paragraph inside a PDF, perform OCR on a scanned page, or answer a natural-language question. Those capabilities would depend on additional tools or features, not on the filename index itself.

Windows Search: properties, content, and Windows data

Windows lets you choose between indexing file properties only and indexing properties plus content. The content option can cover common formats such as TXT, PDF, DOC and DOCX, RTF, PowerPoint, Excel, and common image formats, subject to the installed filters and the locations you include.

Windows Search is more than a folder search box. Microsoft documents a desktop search system for files and data such as email, contacts, calendar items, documents, photos, and multimedia, with extension points for third-party developers. On a work or school account, Microsoft Search can also expose OneDrive, Outlook, SharePoint, and other supported cloud content when that integration is enabled.

Windows’ semantic-search documentation describes concept expansion: a query such as “sunset” can match related terms such as “dusk” or “twilight.” If the semantic index is unavailable, the system can silently fall back to ordinary keyword matching. That means a result can look like a normal text search even when the semantic capability is not active.

Local LLM file search: an ingestion and retrieval pipeline

A local LLM file-search system is usually several components rather than one index. It extracts text from files, divides that text into chunks, creates embeddings or another semantic representation, stores those representations in a local index, and uses a locally running language model to retrieve or explain relevant passages. Tools designed for local LLMs, retrieval-augmented generation (RAG), and agents describe this as a local-first workflow when the model and data remain on the device.

Because the index represents meaning, it can retrieve a document even when your query uses different wording from the source. “Early termination charge” may find a passage written as “fee for ending before the renewal date.” The quality depends on extraction, chunk size, embedding model, supported formats, OCR quality, metadata handling, and the model’s ability to rank the retrieved passages. Semantic retrieval is not magic: a badly extracted scan or an incomplete index cannot produce a reliable result.

Side-by-side comparison

Question Local LLM file search Windows Search Everything
Best query style Natural-language questions, concepts, approximate meaning Keywords, properties, document content, integrated Windows data Exact or partial filename, extension, path, folder
Main index Extracted text plus embeddings or another model-based index; implementation-dependent Windows properties/content index, with an optional semantic index Filename and folder index; the official product page emphasizes name search
Integration Depends on the application and its connectors Deep Windows and Microsoft Search integration Focused standalone utility
Privacy posture Can remain local when models, data, and connectors are configured locally Semantic-index data is documented as local, but work or school cloud results depend on account settings Local utility; verify deployment and permissions before indexing network locations
Setup cost Highest: model, ingestion, storage, and tuning Usually already present; scope and content indexing may need adjustment Low: install it and allow the filename index to update
Best reason to choose it You search by meaning across many personal documents You want one Windows surface for files and supported data You need immediate filename lookup with low overhead

Which is fastest for finding a file by name?

For a filename, extension, folder, or path fragment, choose Everything first. Its explicit design goals are quick filename indexing, quick searching, minimal resource use, and real-time updating. It avoids the heavier content-processing work that semantic retrieval requires.

Windows Search can also locate names quickly, especially after its index is current, but it is doing a broader job and may include metadata, content, and integrated data sources. A local LLM index is unnecessary overhead for a name-only question: extraction and embedding do not improve an exact filename lookup.

“Fastest” should still be read as a workload recommendation, not a published millisecond ranking. No cited source measured all three systems on the same machine and corpus. Your result time will depend on drive type, index health, number of files, filters, permissions, and whether a search is served from an already-warm index.

Can they search inside PDFs and Word documents?

Windows Search

Yes, when the relevant locations are indexed, content indexing is enabled, and Windows has a suitable filter for the file type. Microsoft’s documented examples include PDF, DOC/DOCX, RTF, PowerPoint, Excel, and TXT. A properties-only configuration will find a file by name and metadata but will not provide full text from its body.

To check the setting, open Settings, search for Indexing Options, open Advanced, and review the File Types tab. Select Index Properties and File Contents for formats whose text you need. In the main Indexing Options window, use Modify to include the folders that contain the files. Indexing a location does not guarantee readable text if the document is encrypted, damaged, image-only, or handled by an unavailable filter.

Everything

The official core description supports filename and folder lookup. Treat in-file PDF or Word searching, previews, OCR, and semantic matching as separate capabilities that are not established by that basic description. If your main clue is text inside a document, use Windows content indexing or a dedicated semantic tool instead of assuming a filename index will read the document.

Local LLM search

A local LLM system can search extracted document text and return passages by meaning, but only for formats its ingestion pipeline can parse. Text-based PDFs and DOCX files are usually easier than scanned PDFs. Image-only pages require OCR before semantic indexing; otherwise the system has no text from which to build a useful representation. Re-index files after major edits, and check whether the application preserves page numbers, filenames, and folder paths so you can verify a result.

How to configure Windows Search for useful content results

  1. Open the index settings. Press the Windows key, type Indexing Options, and open the Control Panel result.
  2. Choose locations. Select Modify and include only the folders where searchable documents actually live. Removing temporary build, cache, and duplicate folders reduces unnecessary work.
  3. Enable content indexing. Select Advanced, open File Types, and choose Index Properties and File Contents for the formats you need. Keep properties-only indexing for formats where body text is not useful.
  4. Allow the index to settle. Large additions or setting changes can require time. Search a known document after the status indicates indexing is complete rather than judging the system during initial ingestion.
  5. Test with two queries. Search once for an exact filename and once for a distinctive phrase inside a known document. If the name works but the phrase does not, content indexing, the location scope, or the file filter is the likely issue.
  6. Check cloud scope separately. Work or school results from OneDrive, Outlook, SharePoint, or other Microsoft Search sources depend on account and organization settings. A local index does not mean every result is local.

Microsoft’s troubleshooting guidance warns that indexing more than 400,000 items may lead to performance issues. That is a workload-specific warning, not a claim that Windows Search loses to another product at exactly that count. If your index is near or above that scale, narrow locations, exclude disposable data, and monitor whether indexing or search responsiveness improves.

How to use Everything without overcomplicating it

  1. Install the current release you intend to use. Voidtools lists 1.4.1.1032 as stable and 1.5.0.1424b as beta; choose deliberately rather than treating the beta as the stable build.
  2. Let filename indexing complete. Everything’s advantage depends on a current name index. Confirm that the volumes and folders you need are included and accessible to the account running it.
  3. Start with a distinctive fragment. Type part of the filename, extension, or folder name. Add a path fragment when several projects use similar names.
  4. Narrow the result set. Use an extension or folder constraint when a broad term returns too many matches. Sort or inspect the full path to distinguish similarly named copies.
  5. Open the containing folder before editing. Duplicate filenames are common. Verify the path, date, and size so you do not modify an archived or generated copy by mistake.

Everything is particularly valuable on large NTFS collections where filenames are the strongest memory cue. It is less suitable as the only search tool when your documents are poorly named or your questions depend on their contents.

How to plan a local LLM file-search setup

1. Define the corpus

Decide which folders are allowed into the index. Separate personal documents, confidential work material, source code, and disposable downloads. A smaller, clean corpus usually produces more relevant results than an indiscriminate index full of duplicates and temporary files.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Confirm extraction and OCR

List the formats you need: DOCX, PDF, TXT, spreadsheets, presentations, email exports, images, or scans. Verify that the chosen application can extract each one. For scanned PDFs and photographs, add OCR before indexing. Keep the original file path and page or section metadata in every chunk so a retrieved passage can be checked.

3. Choose the local model and storage location

A local model needs disk space and memory, and larger models generally increase resource demands. The available documentation does not establish a universal RAM, CPU, GPU, or storage budget; those requirements depend on model size, quantization, embedding method, corpus size, and concurrent use. Store model files and indexes on an encrypted local volume when the documents are sensitive.

4. Ingest and monitor

Run the importer, watch for parse errors, and record which files were skipped. A semantic search result is only as complete as the ingestion job. Re-run ingestion after edits, and avoid silently mixing an old index with a changed folder tree.

5. Test with meaning-based questions

Use questions that ordinary keyword search misses, such as “Which invoice mentions a renewal penalty?” Compare the returned passage with the source document. If results are vague, try shorter queries, add a date or project name, inspect chunk size, and confirm that the relevant files were actually indexed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Protect the local boundary

“Local” is a configuration property, not a guarantee supplied by the words AI or LLM. Check whether the application sends prompts, embeddings, telemetry, connectors, or model downloads to a remote service. Disable cloud connectors when on-device-only handling is required, and apply normal file permissions to the indexed folders.

Do you need an LLM for semantic file search?

No. Semantic retrieval can be built with embeddings and a vector index without using a conversational language model to generate answers. An LLM becomes useful when you want the system to explain results, combine passages, answer follow-up questions, or provide a natural-language interface.

Conversely, an LLM alone is not a file index. It needs an ingestion pipeline, searchable representations, and access to the documents. If you only need “find every filename containing invoice,” adding a model makes the system more complex without improving the core task.

For many users, Windows’ optional semantic capabilities are a middle ground: concept expansion can improve retrieval while retaining the built-in Windows workflow. If that index is unavailable, Windows can fall back to keyword matching, so verify behavior with a known synonym pair rather than assuming semantic matching is active.

Privacy and data-boundary differences

Scenario What to verify
Everything on local drives Which volumes and folders are indexed, which account can read them, and whether any network paths are included
Windows Search on a personal PC Indexed locations, content filters, and whether results remain limited to local data
Windows Search with a work or school account Whether OneDrive, Outlook, SharePoint, or other Microsoft Search content is enabled; cloud results can appear alongside local results
Local LLM/RAG Model location, embedding service, telemetry, connectors, logs, backups, and whether prompts or document chunks leave the device

Windows documents that semantic-index data is stored locally, but that does not mean every Windows Search result is local when work or school cloud-content search is enabled. A local LLM deployment can provide a strong privacy boundary, but only when the model, index, application, and connectors are configured to stay on-device.

Indexing overhead, scale, and maintenance

Everything normally has the smallest setup burden because it maintains a filename-focused index. Windows Search has a broader maintenance load: properties, content, semantic data, and integrated sources all depend on your selected scope and filters. A local LLM setup adds extraction, chunking, embeddings, model files, and re-ingestion when documents change.

Do not quote a universal storage or speed number for the LLM approach. There is no single resource budget that applies to every model and corpus. Expect higher overhead when you index more pages, retain multiple embedding versions, use OCR, or run a larger local model. Test on a representative folder before importing an entire archive.

At Windows scale, Microsoft warns that more than 400,000 indexed items may lead to performance issues. Treat that as a signal to review scope and index health, not as a product shootout threshold. Duplicate downloads, cache folders, virtual environments, and generated build trees are often better excluded than searched.

Common failure modes and fixes

“The filename exists, but Windows Search cannot find it.”

  • Check that the parent folder is included under Modify in Indexing Options.
  • Confirm the index status has finished updating.
  • Rebuild or repair the index only after correcting scope and filters; rebuilding an incorrectly scoped index repeats the problem.
  • Use Everything as a quick check that the file exists and to reveal its actual path.

“Windows finds the document but not words inside it.”

  • Switch the relevant extension to Index Properties and File Contents.
  • Check whether the PDF is scanned, encrypted, damaged, or missing a usable filter.
  • Test a plain-text or DOCX file in the same folder to separate a location problem from a format problem.

“Everything returns too many results.”

  • Add the extension, folder, or a more distinctive name fragment.
  • Inspect the full path before opening a duplicate.
  • Exclude irrelevant volumes or folders from the index if they never belong in your searches.

“The local LLM confidently returns the wrong passage.”

  • Open the cited source and verify the exact wording; treat generated explanations as navigation help, not proof.
  • Check extraction and OCR quality, especially for tables and scanned pages.
  • Reduce duplicate or stale documents and re-index changed files.
  • Use a filename or Windows keyword query to cross-check the semantic result.

“The local search is private, but traffic appears in logs.”

  • Inspect connector, telemetry, update, and model-download settings.
  • Disable remote providers when policy requires on-device processing.
  • Review application logs and backups for stored prompts, chunks, and embeddings.

Decision guide by real-world task

Your task Best first choice Why
Find a file whose name you partly remember Everything Its index is optimized for names, paths, folders, and extensions with low overhead.
Search text inside ordinary PDFs and Office files Windows Search Content indexing is built in and covers common document formats when configured.
Search Outlook, OneDrive, SharePoint, or Windows data from one surface Windows Search It has the deepest documented Windows and Microsoft Search integration.
Find a document by an idea or paraphrase Local LLM or semantic search Embeddings and concept matching can bridge wording differences.
Search a sensitive archive without uploading documents Local LLM, carefully configured Models and indexes can stay on-device, but every connector and telemetry path must be checked.
Search a very large folder tree with minimal setup Everything Filename indexing avoids the ingestion and model costs of semantic systems.
Use one tool for all three query styles Hybrid setup No single option combines the lightest filename index, Windows integration, and semantic retrieval equally well.

The practical recommendation

Install or keep Everything if your first question is usually “where is the file whose name contains…?” Keep Windows Search enabled if you depend on Start or taskbar search, properties, document text, Outlook or Microsoft 365 integration, or other built-in Windows workflows. Add a local LLM/RAG layer when you repeatedly ask concept questions that ordinary names and keywords miss.

For a hybrid workflow, use Everything for immediate name lookup, Windows Search for integrated content and data, and semantic retrieval for meaning-based investigations. Measure the setup on your own corpus if speed or resource use matters: the available official sources do not establish a universal ranking, and your file formats, index scope, hardware, and privacy settings determine the outcome.
