These five tips apply to the Kibana workflows described in Elastic’s documentation; exact labels and availability can vary by version and setup.
1. Start with Lens suggestions, then refine the result
Elastic describes Lens as “Kibana’s drag-and-drop visualization builder.” Rather than choosing a chart before you know what the data supports, drag fields onto the Lens workspace and consider the visualization types it suggests. Then adjust the chart and its fields to match the question you are trying to answer.
For calculations beyond a basic aggregation, use Lens Formula. It supports filtered ratios, time shifts, and percent-of-total calculations, which can turn a chart into a more focused comparison. When the panel is useful beyond the current exploration, save it to the visualization library or add it directly to a dashboard. Elastic’s Lens documentation explains the builder and its capabilities.
2. Move between Discover, ES|QL, Lens, and dashboards
Use each Kibana view for the part of the investigation it handles best: query and filter data in Discover or ES|QL, shape an answer into a Lens visualization, and place that visualization on a dashboard when you need an at-a-glance view. This is a workflow, not a one-way publishing process: a dashboard panel can also lead back to its underlying events.

From a dashboard panel, choose the option to explore in Discover. Kibana carries the panel’s query and filters into the event view, so you can inspect the records behind a summary without reconstructing its context manually. Elastic’s Kibana getting-started tutorial documents this connected workflow.
3. Use filters to control the scope of an investigation
A dashboard is more useful when you can narrow it to the question at hand. Kibana provides several controls with different scopes: the KQL query bar, filter pills, a global time range, panel-specific time ranges, and dashboard controls. Use them to focus on a service, host, status, or interval instead of editing every visualization individually.
Rank #2
- KQL query bar: express a query that narrows the dashboard’s data.
- Filter pills: add or manage discrete filters alongside the query.
- Global time range: set the time window for the dashboard’s panels.
- Panel-specific time range: give an individual panel a different time window when its analysis calls for one.
- Dashboard controls: provide dashboard-level ways to focus the displayed data.
Before changing a panel, check whether a global filter already narrows the view or whether only that panel needs a different time range. Elastic’s dashboard documentation describes the available dashboard controls.
4. Add drilldowns from summaries to relevant evidence
A drilldown lets a person move from a summary visualization to another dashboard, carrying a selected value such as a host into the destination. For example, a high-level panel can provide a path to a host-focused dashboard without asking the viewer to locate and reapply that value manually.
Rank #3
Plan drilldowns around fields and values users can select in the source panel. They do not work with every result: Elastic documents that computed fields and some aggregation results cannot trigger drilldowns. Check the source visualization’s data before designing a workflow around a value that may not be selectable. See Elastic’s drilldown documentation for supported behavior and limitations.

Saved searches and Discover sessions can be reused as building blocks for dashboards, keeping useful query work available instead of starting over. Saving is also governed by access: Elastic documents that saving searches requires Create and Edit permissions for the Kibana Saved Objects feature.
If a save action is unavailable or fails, check those permissions before treating it as a problem with the search itself. An administrator may need to grant the required access. Elastic’s saved-search documentation covers saving and permissions.
