Its limits and exclusions are the deciding factors: for example, the standard allowance is two invoices and two captured receipts per month.
What QuickBooks Free includes
QuickBooks describes Free on its US site as an ongoing $0-per-month plan with no credit card required to start. The vendor lists these features and limits:
- One user, with no accountant access.
- One connected bank account.
- Income and expense tracking, including business and personal expenses.
- A monthly profit-and-loss report and access to three core reports: profit and loss, balance sheet, and account quick report.
- Up to two invoices, two captured receipts, and one estimate per month.
- Five mileage trips per month.
- Payment acceptance and the ability to enter manual sales-tax amounts on invoices.
QuickBooks says unlimited invoices may be available if a customer qualifies for and enables QuickBooks Payments. Treat that as a conditional exception, not a standard unlimited-invoice allowance. When the limits are likely to be a problem
The monthly caps matter if the business routinely bills clients, stores receipts digitally, prepares estimates, or logs mileage. A busy month can exceed the allowance even when the business is otherwise simple. The one-user limit and absence of accountant access can also be restrictive if an employee, bookkeeper, or accountant needs to work in the account.

QuickBooks also lists employee-payment capability, multi-user access, unlimited bank accounts, and custom reports among the features Free does not include. These exclusions can matter to a business with staff, several accounts, collaboration needs, or reporting requirements beyond the three core reports.
Free plan versus the 30-day trial
The Free plan and the free trial are different offers. QuickBooks describes Free as an indefinite $0-per-month plan with limits. Its 30-day trial provides access to paid-plan features; to continue using the paid plan after the trial, a subscription is required. QuickBooks positions Free for solopreneurs or businesses of one with light activity, but that is the vendor’s description rather than independent evidence that it suits every business. How to decide whether Free fits your business
- Check a typical month’s activity. Count invoices, captured receipts, estimates, and mileage trips. Compare them with the standard limits of two, two, one, and five respectively. If you expect more than two invoices, check whether you qualify for and enable QuickBooks Payments before relying on its stated exception.
- Check who needs access. Free is limited to one user and does not include accountant access. If a business partner, employee, bookkeeper, or accountant needs account access, that is a meaningful mismatch.
- Check the account and reporting needs. Decide whether one connected bank account and the three listed core reports cover your work.
- Check for excluded capabilities. If you need employee payments, custom reports, or another feature QuickBooks excludes from Free, identify that specific need before comparing plans.
- Compare the current cost with the feature you need. QuickBooks lists paid options including Simple Start, Essentials, Plus, and Advanced. Its prices and promotions can change, so verify the current checkout price and terms on the official pricing page rather than relying on an advertised or previously listed price. How to interpret the choice
If one person handles the books, one bank connection is enough, the reports meet the business’s needs, and activity stays within the caps, Free may be a reasonable starting point based on the vendor’s published limits. If routine work conflicts with a cap or exclusion, compare paid plans against the specific capability that would solve the problem. A paid plan is not automatically a better fit simply because it has more features.
