Write video copy for the platform field and the viewer action you want: a post caption can explain why to watch or what to do next, a YouTube title and description help identify and contextualize a video, and accessibility captions represent its audio on screen. They are different pieces of writing, not interchangeable versions of one caption.
Start with the audience, platform, video, and goal
Before drafting, write a one-line brief that answers five questions:
- Audience: Who is this for, and what do they already know?
- Platform and format: Is this a YouTube upload, a short-form post, or another video post? Where will the text appear?
- Video subject: What does the video actually show or explain?
- Viewer benefit: What useful information, entertainment, or experience does it offer?
- One goal: Do you want comments, saves, link visits, or to help people find the video?
These choices determine what belongs in the copy. Meta recommends giving an audience and goal when developing social captions and treating generated text as a draft to refine, not a finished post. Meta’s caption guidance is platform-owner advice, not evidence that a particular caption guarantees reach.
Draft the post caption
Lead with the subject or payoff
Use plain language to say what the video is about or what a viewer can take away. A hook can create interest, but it should not overstate what follows. If the video shows three steps, do not promise a complete solution to a problem it only introduces.

Add only useful context
Give readers the detail they need to understand why the video matters: who it is for, what situation it addresses, or what they will see. Avoid repeating the entire video transcript in promotional copy. If the post links elsewhere, explain what the link leads to and why it is worth opening; use descriptive link text where the platform permits.
Ask for one relevant next step
Match the call to action to the video and the goal. A tutorial might invite viewers to save the steps; a discussion video might ask a specific question; a post intended to send readers to a resource should say what that resource contains. Meta recommends connecting the CTA to the post’s goal, but neither a CTA nor a caption formula ensures a particular engagement outcome.

Write YouTube titles and descriptions for their separate jobs
Make the title accurate and concise
Put the essential subject or important words near the beginning, and choose wording that suits the intended audience. A searchable title can make the topic explicit; a curiosity-led title can invite a click, but it still needs to accurately represent the video. YouTube’s title guidance recommends concise, accurate titles and warns against misleading viewers.
Use the opening description lines well
Give each video a unique description. State what this particular video covers in the first lines, since those are the lines viewers see before expanding the text. Add necessary context, useful links, and a next step without turning the description into a pile of keywords. YouTube recommends using one or two main descriptive terms naturally in both the title and description; its description guidance also explains that Analytics can show how viewers found a video. That is a way to review discovery, not a promise about ranking.

Adapt copy to each platform
Do not paste the same caption everywhere without checking how it fits the platform, audience, format, and available text fields. Meta offers examples for Instagram, Facebook, TikTok, Shorts, and LinkedIn; treat them as starting points from Meta rather than universal platform rules. Its suggestions include short, direct TikTok copy, a hook and question for Shorts, and clearer, less sales-heavy language for LinkedIn. Review Meta’s examples and adapt them to the actual video.
TikTok for Business’s hook, product-benefit validation, and CTA framework is specifically advertising guidance. It is not proof of organic performance or a mandatory formula. TikTok also advises testing creative patterns rather than expecting one format to work for every video. TikTok for Business published that guidance on November 24, 2024.

For public-service communication, NSW Government advises concise, accurate video titles and detailed YouTube descriptions with relevant terms, a summary, a CTA, and links. Its creative guidance also discusses putting a CTA and context in post text where appropriate. Keep accessibility captions separate from promotional copy
A caption written to persuade someone to watch is not a substitute for synchronized subtitles or closed captions. Accessibility captions should accurately represent spoken words and relevant non-speech audio. Automatic captions can help, but check them for spelling, punctuation, speaker identification, timing, and important sounds. Upload and autogenerated-caption options vary by platform and format; consult the platform’s current instructions before publishing.

- Use plain language and briefly describe the video’s content in the post text where that helps people understand it.
- Check whether the video also needs audio description so that important visual information is available to people who cannot see it.
- Use descriptive link text rather than a bare URL when the platform allows it.
- Write multiword hashtags in CamelCase, such as #VideoAccessibility, to make their component words easier to distinguish.
- Use emoji sparingly; do not rely on them to carry essential meaning.
- Warn readers in the post copy about flashing or intense motion, or loud or abrupt audio, when relevant.
UC Berkeley’s platform comparison, dated March 16, 2026, describes differences in closed, open, and autogenerated caption support. Because support changes by platform and post type, verify the options available for the specific format. If an endorsement requires disclosure, do not assume that placing it in the description is enough. The Federal Trade Commission says, “The disclosure has the best chance of being clear and conspicuous if it’s included in the video itself.” Check the FTC’s endorsement guides FAQ and current platform presentation. The FTC also notes that Instagram descriptions may be truncated to the first two or three lines, which is another reason not to bury a disclosure there.
Review the draft before publishing
- Check accuracy: Does the title and opening copy describe what viewers will actually see?
- Check usefulness: Can a reader understand the subject and benefit without decoding jargon or reading unnecessary setup?
- Check the action: Is there one clear, relevant next step rather than several competing requests?
- Check the destination: If there is a link, is its purpose clear from the surrounding copy or link text?
- Check accessibility separately: Are captions accurate and synchronized, and are warnings or context needed for the video’s audio or visuals?
- Check disclosures: If an endorsement disclosure is required, is it clear and conspicuous in the content?
- Check the platform: Does the text fit the actual format and its current caption, description, and link options?
Learn from results without treating copy as a guarantee
For YouTube, use Analytics to review how viewers found the video and consider whether its title and description clearly reflect that discovery context. On other platforms, use their current native analytics rather than assuming YouTube reporting applies. If you compare copy versions, change one meaningful element at a time and judge the result against the post’s goal; the official guidance cited here does not establish that any hook, hashtag, keyword, or template will increase reach.
