A strong sponsorship email is brief, specific to the brand, supported by one or two relevant proof points, and built around a realistic collaboration idea and one clear next step. It should make the fit easy to understand without reading like a mass pitch. No email format can guarantee a reply.

What to include in a sponsorship pitch email

  • A specific subject line: identify your channel and the brand or idea.
  • A real reason for contacting this brand: mention a product, campaign, or creator partnership only if you know it accurately.
  • Audience fit: explain who watches your content and why that audience is relevant to the brand.
  • Selected proof: include one or two current, honest metrics or a link to a strong example.
  • A plausible collaboration idea: name the format and angle, such as an integration, dedicated review, or short-form series, if it suits your channel and the product.
  • One ask: ask whether this is the right contact, offer to send your media kit, or ask if they are open to discussing the idea.
  • A useful signature: include your name, channel link, and media-kit link if you have one.

Keep additional background, a fuller audience profile, past partnerships, available formats, and rate information in a concise media kit rather than loading the email with every detail.

How to find the right person at a brand

Look for someone responsible for influencer marketing, creator partnerships, or brand marketing. Meet Sponsors recommends checking the brand’s creator campaigns and searching professional profiles for relevant job titles instead of defaulting to a general information inbox. Verify that the person still holds the role and confirm the contact route before writing.

How long should a sponsorship pitch email be?

Meet Sponsors recommends about 120–160 words for the email body; Sponsorship.so gives a broader 120–200-word target. These are practical recommendations from those guides, not an established industry standard. Use enough space to explain the fit and idea clearly, then cut unrelated background and extra asks.

Would you be the right person to discuss creator partnerships, or should I send over my media kit?

How to follow up without becoming a nuisance

Meet Sponsors suggests sending a brief follow-up after four to five business days, then one more after another interval, and stopping after two unanswered follow-ups. It recommends adding a small piece of new value rather than simply resending the original email. This is that guide’s practical advice; the available sources do not establish a universally optimal timing or number of follow-ups.

Keep sponsored endorsements truthful and disclosed

For U.S. creators, Federal Trade Commission staff guidance says a material connection can include payment or free or discounted products. If you endorse a product, make the relationship clear in a way people can readily notice and understand; a platform disclosure tool may not replace a clear disclosure of your own. Do not claim experience with a product you have not tried or make claims that lack support. The FTC guide is U.S. guidance, so check the requirements that apply in your jurisdiction. The FTC staff guide, Disclosures 101 for Social Media Influencers (November 2019), puts the responsibility plainly: “As an influencer, it’s your responsibility to make these disclosures, to be familiar with the Endorsement Guides, and to comply with laws against deceptive ads. Don’t rely on others to do it for you.”

If your creator channel uses a 24/7 YouTube video stream

For creators who separately run a YouTube channel live around the clock using uploaded videos, StreamNeo is a cloud service that loops uploaded videos or playlists without requiring a home computer to stay on. It is a channel-running option, not a sponsorship-email tool; your pitch should still explain the audience and the specific brand fit.
