Verify an executive in three passes: establish the current title on the company’s latest leadership page and regulator filing, establish the start and appointment dates from an official transition or appointment announcement, then confirm the actual responsibilities in governance documents or a detailed role biography. Record the source name, publication date, effective date, jurisdiction and exact wording for every fact.
This method prevents the most common error: treating a title, a joining date and an effective appointment date as if they were the same event. Executive information changes quickly, so date every check and repeat it immediately before publication.
Why one source is rarely enough
An executive profile usually contains at least four separate facts:
Recommended Free Tools
- Present title: the title the person holds on the date you check, such as Chief Executive Officer, President and Chief Operating Officer, or Executive Chair.
- Company joining date: when the person first joined the company, which may be years before the current role.
- Appointment or effective date: when the board appointed the person to the role or when the appointment took effect. An announcement can be published before the effective date.
- Responsibilities: the functions, teams, products or governance duties assigned to the role. A title alone does not establish this scope.
A leadership page is useful for a current snapshot, a regulator filing supplies dated officer data, an appointment release establishes the transition date, and a governance document explains how duties are divided. Treat these as complementary evidence rather than interchangeable sources.

Step 1: Identify the person, company and checking date
Start an evidence record before opening documents. Write the executive’s full name, the company’s legal or commonly used name, the company’s jurisdiction and the date and time of your check. Include the fiscal year or reporting period for any filing you use.
Identity errors are easy to make when companies have executives with similar names, regional subsidiaries or several presidents. Match the name in each document to the same company and role. If the company operates in more than one jurisdiction, note which entity employs the executive and which board made the appointment.
Minimum identity record
| Field | What to capture |
|---|---|
| Executive | Full name exactly as shown in the official source |
| Company | Company name and, where relevant, legal entity or subsidiary |
| Jurisdiction | Country or exchange whose filing and governance rules apply |
| Check date | The date you retrieved or reviewed each source |
| Reporting period | Fiscal year, annual report period or proxy year for a filing |
Step 2: Read the latest official leadership page
Use the company’s own management, leadership or executive-team page to establish the public-facing title and any functional description. Copy the title exactly, including combined roles such as “Founder, Chairman and Chief Executive Officer.” Save the page’s access date and, if displayed, its update date.
Leadership pages can change without preserving an archive. They are therefore strong evidence of what the company currently says, but weaker evidence of when an appointment occurred. Do not use a current page by itself to establish a historical start date.
What a leadership page can establish
- The title the company is presently using.
- Whether the executive holds multiple roles, such as chair and chief executive.
- A concise description of the functional scope, if the page provides one.
- Biographical details that can point you to earlier announcements or filings.
Example: a title with an explicit scope
Meta’s management page lists Mark Zuckerberg as “Founder, Chairman and Chief Executive Officer” and says he is responsible for “the overall direction and product strategy for the company.” Those two statements support both the title and a responsibility description because the company states them directly. They do not, by themselves, prove the date on which he became chief executive; obtain that date from a dated filing or appointment record.
Step 3: Confirm the title in the latest regulator filing
Next, locate the newest regulator filing that identifies executive officers. In the United States, proxy materials filed with the Securities and Exchange Commission commonly provide a dated officer table and biographies. Other jurisdictions use their own exchange or securities-regulator filings.

Copy the title from the officer table, then read the biography for service periods and role history. Record the filing date, the reporting period and the jurisdiction. A filing is especially valuable when the website and a news release use different wording.
Example: dated officer data in a fiscal 2026 proxy
DocuSign’s fiscal 2026 proxy lists these officers and service periods:
| Executive | Title in the proxy | Service period stated |
|---|---|---|
| Allan Thygesen | President and Chief Executive Officer | The proxy lists him as a current officer; a start date for this title is not stated in the cited summary. |
| Blake Grayson | Executive Vice President and Chief Financial Officer | Served as EVP and CFO since June 2023 |
| Robert Chatwani | President and General Manager, Growth | Served as President and GM, Growth since February 2023 |
| Paula Hansen | President and Chief Revenue Officer | Served as President and CRO since August 2024 |
| James Shaughnessy | Chief Legal Officer | Served as Chief Legal Officer since May 2022 |
The filing’s “since” dates are service-period evidence. They should not automatically be relabeled as the person’s first day at the company. Check the biography and earlier appointment announcement to determine whether the person held another company role before that date.
Step 4: Establish the appointment and effective dates
Search for a board appointment, succession or transition announcement. Capture three separate dates when they exist:
- Announcement date: when the company published the release.
- Appointment date: when the board made the decision, if stated separately.
- Effective date: when the new title legally or operationally begins.
Use the effective date when answering “When did they become CEO?” and use the announcement date to show when the public learned of the decision. If the source says only that someone “will become” CEO, do not describe the person as current CEO until a source covering the effective date confirms it.

Example: a future effective date
Dow’s April 14, 2026 release states: “The Dow Board of Directors has appointed Karen S. Carter, currently Chief Operating Officer, as Chief Executive Officer, effective July 1, 2026.” The same announcement says Jim Fitterling would become Executive Chair. The release proves the planned transition and its effective date. For a check made after July 1, 2026, verify the resulting incumbencies in the latest leadership page and filing rather than relying on the April release alone.

Step 5: Verify responsibilities independently
Responsibilities should come from governance reports, formal role descriptions, board charters, annual-report biographies or an executive biography that states the scope. Do not infer that a chief operating officer runs every operational function, or that a president leads the entire company, unless an official document says so.
Separate board and management duties
Governance documents often distinguish a chair’s board leadership from a CEO’s management authority. NatWest’s division-of-responsibilities report says: “The role of Chair is distinct and separate from that of the CEO and there is a clear division of responsibilities, with the Chair leading the Board and the CEO managing the business day to day.” The report also describes the governance officer’s advisory and board-support duties and the executive management team’s individual accountabilities. Use this type of document to explain who oversees what, rather than treating “Chair” and “CEO” as interchangeable labels.
Extract scope without expanding it
- Quote or closely reproduce the stated function, such as product strategy, business teams, infrastructure or central products.
- List only the divisions, products or committees named by the source.
- Distinguish direct management responsibility from board oversight, reporting or advisory duties.
- Mark an item as “not stated” when the source gives a title but no functional description.
For example, Meta’s page says Javier Olivan is COO overseeing business teams, infrastructure and central products. Those are the functions you can report. You should not add sales, finance, human resources or regional operations unless another official source assigns them to him.
Step 6: Apply the disclosure rules for the relevant jurisdiction
Disclosure conventions differ by market. Hong Kong Exchanges and Clearing guidance from 2016 says a senior-management table should include the full name, date of joining, present position, date of appointment and a brief description of roles and responsibilities. It also calls for prior relevant experience, roles and service periods in biographies.
When using that framework, keep “date of joining” and “date of appointment” as separate fields. A person may join the company in one position, move into senior management later and receive a new appointment date for the present role. The same distinction is useful in other jurisdictions even when the local form uses different labels.
Use a source-priority matrix
When sources disagree, compare them on authority, recency, directness and effective-date status. The following matrix shows what each source is best suited to prove.

| Source | Best evidence | Strength | Typical limitation |
|---|---|---|---|
| Latest regulator filing | Dated officer title, biographies and service periods | Formal, jurisdiction-specific and tied to a filing date | May be published after a transition or use a reporting-period cutoff |
| Official leadership page | Current public title and stated functional scope | Direct statement from the company and usually easy to access | May change without a historical version or appointment date |
| Appointment or transition release | Board decision, announcement date and future effective date | Direct evidence of the planned succession event | Can describe a future state that is not yet current |
| Governance or division-of-responsibilities report | Board, management and committee responsibilities | Explains duties beyond the title | May describe governance architecture rather than every operational task |
| Exchange guidance | Required disclosure fields and biography expectations | Defines what issuers in that jurisdiction are expected to report | Guidance is not itself proof that a particular executive holds a role |
Resolve conflicts transparently
Conflicts are normal during a succession. A press release may announce a future CEO while the leadership page still shows the incumbent. A proxy may use “President and CEO” while the website shortens the title to “CEO.” Resolve the discrepancy in a documented sequence:
- Preserve the exact wording from each source.
- Record each source’s publication or access date and any stated effective date.
- Decide which statement is current on your publication date by using the newest direct official evidence that covers that date.
- Explain the transition in chronological order: incumbent title, announced successor, effective date and later confirmation.
- Do not erase an earlier title; label it as historical or scheduled when appropriate.
If the latest filing predates an effective transition and the latest leadership page is undated, state the limitation plainly: the release supplies the effective date, while the page supplies the company’s current public listing as accessed on your check date. Seek a post-effective filing or an updated page before calling the matter settled.
Keep the dates in separate columns
A reliable evidence sheet avoids ambiguous phrases such as “started in 2023.” Use separate columns for:
| Date field | Meaning | Example of a precise entry |
|---|---|---|
| Joined company | First employment or service with the company | “Since February 2023” in the cited officer biography, if that is the only service period stated |
| Appointed to role | Board or company appointment decision | Appointment date stated in a release or filing |
| Effective in role | Date the appointment takes effect | July 1, 2026, in the Dow transition announcement |
| Source published | Date the document became public | April 14, 2026, for the Dow release |
| Checked | Date you retrieved the page or filing | October 19, 2026, for a current-status check |
If a source provides only one of these dates, preserve its wording instead of filling the other fields by inference.

“Who is the current CEO?”
Open the latest leadership page and copy the exact title. Check the latest regulator filing for a dated officer listing. If both agree, report the title with the filing period and the page access date. If they differ, apply the conflict procedure and identify which source is newer and which one directly covers the effective date.

“When were they appointed?”
Use the board announcement or filing that records the appointment decision. Add the effective date if it is later. A release published before the effective date is evidence of the appointment plan, not proof that the new title was already active.
“What does the COO actually oversee?”
Find a responsibility statement in the leadership biography, governance report or formal role description. Report the named functions only. Meta’s description of Javier Olivan, for example, identifies business teams, infrastructure and central products; the title itself would not establish that list.
Common mistakes and their fixes
| Mistake | Why it fails | Fix |
|---|---|---|
| Using a search-result snippet as proof | Snippets can be stale, truncated or drawn from an old page | Open the official page and record its wording and access date |
| Calling a scheduled successor “current” | The announcement may precede the effective date | Use the effective date and obtain post-effective confirmation |
| Conflating joining and appointment dates | An executive can join in one role and be appointed to another later | Maintain separate date fields |
| Inferring duties from a title | Titles vary by company and jurisdiction | Use an explicit responsibility or governance statement |
| Ignoring jurisdiction | Required fields and filing calendars differ | Apply the relevant exchange or regulator’s disclosure guidance |
| Relying on an old proxy after a transition | Proxy data is tied to its reporting period | Pair it with the latest page, filing and appointment release |
| Hiding a disagreement | Readers cannot tell which date or title is operative | Show both statements, their dates and the reason one is treated as current |
Publication checklist
Before publishing an executive verification, confirm every item below:
- The person and employing company are unambiguously identified.
- The title is copied from the latest official leadership page.
- A current regulator filing has been checked for the officer title and biography.
- The source publication date, filing period and jurisdiction are recorded.
- Joining, appointment and effective dates are separate and clearly labeled.
- An appointment or transition announcement supports the effective date.
- Responsibilities come from an explicit governance, role or biography statement.
- Board duties and management duties are not blended.
- Any conflict between sources is explained with dates and context.
- The check is refreshed immediately before publication; executive incumbencies and responsibilities should be rechecked within 30 days of the October 19, 2026 research date.
How to write the final verification
Lead with the status as of a stated date: title, company and the source that establishes it. Follow with the joining date and the appointment-effective date, each tied to its own source. Then describe responsibilities using the source’s wording and identify whether the duties are management, board or advisory responsibilities.
A precise sentence might read: “As of October 19, 2026, the latest company leadership page lists the executive as [exact title], while the fiscal-year proxy identifies the same title in its dated officer table. The appointment announcement says the role became effective on [effective date]; the biography separately records service with the company from [joining date]. The governance report assigns [named responsibilities] and distinguishes them from the chair’s board duties.” In a published article, replace each bracketed concept with the exact sourced wording and dates; never fill a missing date by inference.
