To work offline on a Chromebook, prepare while you’re connected: enable Google Drive offline access, mark the files or folders you need as Available offline, and wait until each shows a check mark. You can then edit those files without internet; changes sync to Drive the next time the Chromebook connects. Chromebook Plus also offers a broader option to sync My Drive, but that can use substantially more local storage.

Make Google Drive files available offline

  1. While connected to the internet, open Google Drive settings and scroll to Offline. Turn on offline access. It may take a few minutes to activate. See Google’s instructions for using Drive files offline on a Chromebook.

  2. Open the Chromebook Files app and select Google Drive. Select the file or folder you need, then choose Available offline. Google says this method also works with shared drives.

  3. Wait until a check mark appears next to the item. It indicates the offline copy has synced. If you don’t see it, the file may still be syncing or may not have synced successfully, so stay online and check again before disconnecting.

  4. When you reconnect, changes to files made available offline sync to Drive. Wait for the connection to return, then check Drive to confirm your work is there before deleting local copies or acting on an unexpected conflict. Google confirms syncing on reconnection but does not specify a universal sync time or a general conflict-resolution procedure.

Choose individual files or sync My Drive on Chromebook Plus

For most Chromebooks, selecting specific files and folders keeps the offline set limited to what you need. On Chromebook Plus, you can instead enable broader syncing for My Drive. Both approaches require an internet connection to prepare and enough local storage for the offline copies.

Turn on File sync for My Drive

  1. While online, open Settings > System preferences > Google Drive.

  2. Enable Access your Google Drive files when you’re offline. This turns on File sync for My Drive and starts syncing those files to the Chromebook.

  3. Wait for a check mark beside a file to confirm it has synced. Files outside My Drive can still be made available individually in the Files app.

Google says low available storage can turn off File sync automatically, and offline files may then stop being available. The Drive settings include Clean up storage, but Google cautions that some files may remain offline after cleanup. Its Chromebook storage guide describes offline files as temporary versions of Drive files saved for offline use and notes that low space can affect downloads and other local data. Check Settings > Storage management before syncing broadly. If space is limited, choose only the files needed for your trip and verify their check marks before going offline.

Optional: keep a separate copy on a USB drive

A compatible USB flash drive can provide a separate local copy or help transfer files, but it is not required for Drive offline access and will not automatically sync edits back to Drive. Check your Chromebook’s ports and the drive’s file-system compatibility before relying on it. See Google’s guide to using external storage with a Chromebook.

What you can do offline

Google’s Chromebook offline guide lists several activities that work without an internet connection, including:

  • Viewing, creating, and editing documents, spreadsheets, and slides with Google Drive.
  • Viewing, responding to, and searching Gmail, after enabling Gmail offline in its settings. Messages sent offline remain in Outbox and send after you reconnect.
  • Editing Google Keep notes. Let notes save while you are online before relying on them offline.
  • Viewing and editing photos with the built-in editor.
  • Reading web pages you saved, and using apps designed to work offline.

Offline features vary by app and service; Google warns that some do not work offline. Some offline features are also unavailable in Incognito or guest mode. If you use a work or school Gmail account, your administrator may control whether Gmail offline is available.

Troubleshoot offline files and reconnection

Google’s help pages do not show publication dates in the reviewed content. Interface labels may change with ChromeOS updates, so if a label differs, look for the same offline or Google Drive setting in your Chromebook’s current Settings.
