Sign in through your employer’s official HR or benefits address, open the life-insurance or beneficiary election, enter complete beneficiary details, choose the coverage amount, and submit the review screen. Do not treat an on-screen change as complete until you have a success message or confirmation number, saved the confirmation securely, and later verified that the election shows the intended values.
What you are changing—and why the distinction matters
A benefits portal usually stores beneficiary designations and insurance coverage as separate election fields. You may be able to edit both during one session, but each can have different approval rules, effective dates, or restrictions.
- Beneficiary designation: identifies who should receive a death benefit and how the benefit is divided.
- Coverage amount: sets the amount of life, accidental-death-and-dismemberment (AD&D), supplemental-life, or related insurance you elect.
Your employer’s summary plan description (SPD), certificate, and other plan documents control eligibility, deadlines, underwriting, effective dates, and administration. The U.S. Department of Labor (DOL) says ERISA plan administrators must provide important plan facts and documents, including an SPD that explains what a plan provides and how it operates. Read those documents before relying on a portal label or a default value.

Use the official sign-in route
Start at your employer’s known HR or benefits website, intranet, or a link supplied by HR. Avoid entering credentials through an unexpected email link. Have your multifactor-authentication method available; the portal may require a code, approval in an authenticator app, or another verification step.
Collect beneficiary information
For every person or entity you plan to add, have the legal name, relationship, date of birth, address, and intended allocation percentage. Use the spelling and identifying information that matches the beneficiary’s official records. If the portal supports both categories, decide which beneficiaries are primary and which are contingent.
- Primary beneficiaries are first in line under the plan’s rules.
- Contingent beneficiaries are considered if the applicable primary beneficiary designation cannot receive the benefit.
Some plans impose restrictions on trusts or minors, or require additional documentation. Do not assume that a minor can be paid directly or that any trust wording is acceptable; check the SPD or ask the plan administrator.
Read the plan documents first
Locate the SPD and any life-insurance certificate, enrollment guide, or annual-election notice. Look for:
- Who is eligible and when coverage can begin or end.
- Available coverage increments, maximums, and any waiting period.
- When evidence of insurability (EOI) or medical underwriting is required.
- How payroll deductions or premiums are calculated.
- Rules for changing beneficiaries, including restrictions or required forms.
- Portability or conversion rights if employment or group coverage ends.
- Election deadlines and any announced blackout period.
The DOL identifies beneficiary designation as information participants should check in plan materials or benefit statements. Those documents, rather than a generic portal instruction, govern your plan.
Step-by-step: update beneficiaries and coverage
1. Sign in and complete authentication
Open the employer’s official HR or benefits URL and sign in. Complete multifactor authentication if prompted. If you cannot authenticate, use the employer’s approved account-recovery process; do not create a second profile unless HR instructs you to do so.

2. Find the election area
Open the relevant plan election. Depending on the recordkeeper, it may be labeled Life, AD&D, supplemental life, insurance, Beneficiaries, Coverage, or Edit elections. Labels vary by vendor, so search the portal’s benefits menu if the wording differs.
Recommended Free Tools
Confirm that you are editing the correct plan and coverage tier. An employer may display basic life, supplemental life, and AD&D as separate elections, each with its own beneficiary or coverage settings.
3. Enter or review beneficiary designations
- Select the beneficiary-edit option.
- Add each person or entity, or open existing records to correct them.
- Enter the legal name, relationship, date of birth, address, and allocation percentage requested by the form.
- Assign each entry as primary or contingent when those choices are available.
- Check the portal’s allocation rule. If it requires 100%, make the primary allocations total exactly 100%; do the same for contingent allocations if the portal requires a separate contingent total.
Use the portal’s own decimal or whole-number format. A display that rounds percentages can conceal a small imbalance, so inspect the underlying fields before continuing. If the portal asks for a trust or an organization, follow its required format and documentation instructions instead of placing informal notes in a name field.
4. Select the coverage amount
Choose the amount offered for the specific plan. The selector may show fixed amounts, multiples of salary, or an increase/decrease control. Record the amount you are selecting before moving on.
Read every prompt that appears with the amount. A higher election can trigger EOI or underwriting, and the requested increase may not become effective until the insurer approves it. The portal may also display a new payroll deduction, premium, waiting period, or future effective date. A submission can therefore save the requested amount while approval or coverage commencement remains pending.

Use Save, Submit, or Confirm only after every value is correct. If the portal presents separate confirmations for beneficiaries and coverage, complete each one.
6. Wait for proof of submission
Remain on the page until you see a success message, confirmation number, downloadable receipt, or equivalent completion notice. A changed field or a browser message saying that the page was updated is not proof by itself.
Download or print the confirmation. Record the submission date, the effective date shown, and any EOI or underwriting reference. If the system sends an email, retain it with the portal receipt rather than relying on the email alone.
7. Reopen the election and verify it
After the portal finishes processing, reopen the election and confirm that the beneficiary records and coverage amount display as intended. If an EOI decision or effective date is pending, verify again after the plan or insurer updates the status. Keep the confirmation and the later verification together.
How beneficiary allocations work
Allocations describe the share assigned to each beneficiary within the category the plan uses. For example, two primary beneficiaries might be assigned 60% and 40% if the portal allows those percentages. The numbers must satisfy the portal’s stated total; do not infer a rule from another plan.
| Choice | What to check |
|---|---|
| Primary | Who is first in line under the plan’s beneficiary rules and whether the total allocation meets the portal requirement. |
| Contingent | Who should be considered if the applicable primary designation cannot receive the benefit, and whether a separate total is required. |
| Trust or minor | Whether the plan permits the designation and what legal wording or supporting documents it requires. |
Marriage, divorce, birth, adoption, death, or a change in a relationship can make an old designation inaccurate. Review the designation whenever one of those events occurs and whenever you change coverage. The portal record, the plan’s forms, and applicable law determine which designation controls; a personal note or an informal email does not replace the required election.

How to evaluate a coverage amount
Do not choose an amount solely because the selector makes it available. Compare each option on the dimensions the plan presents.
| Comparison point | Question to answer before submitting |
|---|---|
| Amount | What exact benefit amount or salary multiple will the election provide? |
| Payroll deduction or premium | What deduction or premium does the portal show, and when will it begin? |
| Evidence of insurability | Does the requested amount or increase require an application, medical questions, or insurer approval? |
| Effective date | On what date does the new amount start, and is any portion pending approval or a waiting period? |
| Portability or conversion | If employment or group coverage ends, what rights does the plan document provide for continuing or converting coverage? |
Beneficiary data and coverage amount can therefore move through different processes. A beneficiary edit may be recorded immediately while an increased amount waits for EOI, or a coverage reduction may take effect on a later payroll date. Save the dates and statuses shown for each election separately.

A field is locked or read-only
A locked field can indicate a plan restriction, a closed enrollment window, a pending life event, a recently submitted transaction, or a blackout period. The DOL notes that blackout periods can occur when plans change recordkeepers or investment options. Check the notice on the portal and your employer communications. Do not attempt to bypass a lock with a duplicate account or an unofficial form. Contact HR or the plan administrator listed in the SPD if the reason is not clear.
The percentages do not balance
Review every primary and contingent entry, including rows that are below the visible portion of the screen. Remove duplicate rows, correct decimal formatting, and make the total match the rule displayed by the portal. If the system requires a separate 100% total for each category, do not combine primary and contingent percentages into one total.
The submit button fails or the session expires
- Capture any error text and note the date and time.
- Sign in again through the official route and check whether a confirmation already exists before resubmitting.
- Use a supported, updated browser and a stable connection; avoid multiple browser tabs editing the same election.
- If the error persists, provide HR or the plan administrator with the error text, the plan name, and the values you attempted to submit.
Do not assume a failed page means nothing was recorded. Verify the election and transaction history first.

Read the payroll and effective-date notes on the summary and in the SPD. A deduction can start on a later payroll cycle, and an increase can be contingent on EOI or underwriting. If the displayed date conflicts with the plan document or an approval notice, ask the plan administrator to reconcile the records.

You received no confirmation
Check the portal’s messages, document center, and transaction history. If there is still no receipt or confirmation number, contact HR or the plan administrator and ask whether the election was received. Supply the approximate submission time and keep screenshots or downloaded pages that show the values, while recognizing that those records do not replace an official confirmation.
Who can resolve an unresolved problem
HR or the plan administrator named in the SPD is the escalation path for a locked field, rejected submission, unclear eligibility rule, missing confirmation, or disagreement about an effective date. Ask for the governing plan provision and the required correction method. Depending on the issue, the administrator may direct you to the insurer, require a paper beneficiary form, or reopen the election window.
Keep communications factual: identify the plan, the election you attempted, the beneficiary or amount involved, the date you submitted, and the confirmation or error number. Do not send unnecessary medical information by ordinary email; use the secure channel specified by HR or the insurer for EOI materials.

Beneficiary confirmations contain sensitive personal and benefit information, including names, dates of birth, addresses, and coverage details. Store the file in an access-controlled location, use a strong device password, and avoid leaving printed copies in an open workspace. If you use cloud storage, choose an account protected by multifactor authentication and limit sharing. Dispose of superseded paper copies securely rather than placing them in ordinary recycling.
Keep the confirmation, the SPD version you relied on, and any approval notice together. Record when you last verified the portal values. This creates a clear history without exposing the documents to people who do not need them.
A practical verification checklist
- Used the employer’s official HR or benefits sign-in page.
- Completed multifactor authentication.
- Opened the correct life, AD&D, supplemental-life, or insurance election.
- Entered legal beneficiary information and assigned primary or contingent status where supported.
- Matched the portal’s allocation rule, including any required 100% total.
- Selected the intended coverage amount.
- Read the EOI, underwriting, premium, payroll, waiting-period, and effective-date prompts.
- Reviewed the complete summary before submitting.
- Received and saved a success message, confirmation number, or receipt.
- Reopened the election and verified the recorded values.
- Stored the confirmation securely and noted any pending approval.
Bottom line
Make the change inside the employer’s authorized portal, treat beneficiary and coverage fields as separate elections, and follow the SPD for every eligibility, deadline, underwriting, and effective-date rule. The process is complete only when you have official proof and a later verification of the values; unresolved locks, rejected submissions, or conflicting dates belong with HR or the plan administrator.
