To get a useful Copilot Cowork triage result, specify six things: the outcome you want, the messages and context it may use, your priority rules, the format of the result, actions it must not take, and when it needs your approval. Start with a read-only review, check the classifications against the original messages, and ask for drafts or mailbox changes only after you are satisfied.
Is Copilot Cowork the right tool for email triage?
Microsoft positions Cowork for multi-step work across Microsoft 365 apps and sources that produces a deliverable to review. Depending on your account access and enabled capabilities, it can sort email into folders, delete messages, respond inline, search organizational information, create documents, manage calendars, and run scheduled or event-driven tasks. For a quick question, a short summary, or conversational drafting, ordinary Copilot chat may be enough. Use a specialized agent for a narrow, repeatable job. Cowork is a better fit when the task spans steps or apps—for example, reviewing a week of mail, grouping requests by urgency, checking relevant meetings or files, and building a follow-up queue. That distinction describes Microsoft’s guidance, not a performance comparison.
Microsoft describes Cowork for work or school accounts as generally available, subject to licensing and tenant availability; administrators control availability in the tenant. Its overview marks personal-account availability as preview. These status labels were reflected in Microsoft’s pages reviewed October 4, 2026; access and rollout can change.

Build a triage prompt from six parts
Microsoft’s adoption guidance recommends making the task, inputs, decision rules, output, constraints, and approvals clear. For inbox work, the six-part structure below makes those instructions concrete. The example prompt is an adaptation of Microsoft’s general guidance, not a prompt Microsoft published or an independently tested formula.
1. State the outcome
Say what decision or work result you need, not just “organize my email.” For example: “Prioritize unread customer and project messages that need attention before my next workday.” A defined outcome gives Cowork a goal while leaving room for you to set the criteria.
2. Bound the inputs
Name the mailbox or folder, time period, and message status. If you want context from other Microsoft 365 sources, name those too and limit the request to information the signed-in account can access. “Unread messages in my Outlook inbox received since [date]” is more reviewable than “all my important email.”

3. Define decision rules
Explain what should count as urgent or important, and how to handle the rest. You might rank a stated near-term deadline first, then a customer-impacting issue or a teammate blocked on you, followed by a request for your decision. Put FYI messages in a separate group. Tell Cowork to flag unclear cases instead of guessing.
4. Specify the deliverable
Request a format you can inspect. A table can include sender, subject, received date, a concise summary, the reason for the priority, and a suggested next step. If you want a draft response, ask for it separately or specify which messages qualify; do not imply that a suggested response should be sent.
5. Set constraints
State explicitly whether Cowork may send, reply, delete, archive, move, or otherwise change messages. A read-only first pass is a useful boundary: it asks for analysis without authorizing mailbox changes.

6. Define the approval boundary
Tell Cowork when to stop for your review and which actions, if any, it may propose for approval. Microsoft’s prompt-writing guidance includes actions to approve as a distinct prompt element. A general instruction to “handle my inbox” does not make clear which actions you intend to authorize.
Adaptable read-only prompt for an inbox review
Replace the bracketed details with your own scope and rules. This example asks for a reviewable classification, not mailbox changes:
Review unread messages in my Outlook inbox received since [date]. Prioritize them using these rules: first, messages with a stated deadline within [time window]; second, messages blocking a teammate or affecting a customer; third, requests that need my decision. Group the rest as FYI. Return a table with sender, subject, received date, a two-sentence summary, the reason for the priority, and a suggested next step. Flag unclear cases as “Needs my judgment” and say what information is missing. Do not send, delete, archive, move, or reply to anything. Stop after showing me the table. After I review it, I may ask you to draft selected replies.

Microsoft’s prompt gallery includes a ready-to-run scenario titled “Organize my inbox.” Its published examples also show the value of specifying unread mail, a structured table, or a time window and urgency. The wording and detailed priority rules in the example above are practical adaptations, not a promise that Cowork will classify every message correctly.

- Start with a bounded, read-only pass. Specify the folder, date range, and whether to include unread messages only. Begin with a manageable scope rather than authorizing broad inbox cleanup.
- Ask for reasons and an uncertainty group. Have Cowork state why each message received its priority and place ambiguous messages under “Needs my judgment,” with the missing information identified.
- Check the result against the messages. Verify the summary, deadline, customer impact, and next step against the original email. If a rule was misunderstood, clarify it in a follow-up prompt and ask for the affected classification to be revised.
- Request drafts only for selected messages. Review each draft for factual accuracy, tone, recipient, and whether it says what you intend. A draft is not approval to send.
- Approve changes individually and carefully. If you later ask Cowork to take an action, inspect the action preview and approve only what is accurate and intended. Microsoft says sensitive actions such as sending email, posting in Teams, or scheduling meetings trigger an approval dialog with a preview; task controls also let users pause, resume, or cancel work. - Consider recurrence only after the rules work for you. For repeated triage, ask Cowork to propose a scheduled prompt or, where available, an event-driven task triggered by a matching email. Review the proposed setup. Availability and controls vary by tenant and feature rollout.
What Cowork can and cannot guarantee
Microsoft’s Application card: Microsoft Copilot Cowork says: “Cowork performs best when instructions are clear and specific, including details about recipients, formatting, and expected outcomes.” The same card warns that ambiguous or overly broad requests may be misinterpreted; AI-generated emails, messages, and documents can be inaccurate, especially when organizational information is incomplete or outdated; and complex tasks with many dependencies may not complete as expected. A clear prompt improves the chance of a useful, checkable result; it does not guarantee correct urgency labels or summaries.
Cowork operates within the signed-in account’s existing permissions. If that account cannot access relevant mail, files, or meetings, Cowork cannot use them to complete the review, so the result may be incomplete. Confirm the source material yourself when a missing message or context could change a decision.
