The best method depends on what you need the picture to show. To capture the PowerPoint window or desktop exactly as it appears, use your operating system’s screenshot shortcut. To create a clean image of slide artwork, export the slide from PowerPoint. To place another open window or a selected screen area directly into a slide, use Insert > Screenshot or Screen Clipping.
Choose the right kind of capture

A desktop screenshot includes interface controls, window borders and anything else visible. An export renders the slide itself and is usually sharper and easier to reuse in documents, websites or handouts.
Insert a screenshot directly into PowerPoint
This workflow is documented for PowerPoint for Microsoft 365, PowerPoint 2024, 2021, 2019 and 2016 on supported Windows and Mac installations.
- Open the presentation and select the slide where the image should go.
- Activate the window you want to capture. If it is minimized, restore it; minimized windows do not appear in the gallery.
- In PowerPoint, choose Insert > Screenshot.
- In Available Windows, click the thumbnail of the window. PowerPoint inserts the whole window at the selected slide position.
- For a region instead, choose Screen Clipping. PowerPoint displays the first available window; drag over the portion you want to capture.
- Resize or crop the inserted picture with PowerPoint’s picture-formatting tools. Repeat Insert > Screenshot when you need another capture.
If the intended window is not first in the gallery, activate that window before returning to PowerPoint. This command captures what is visible, so notifications, browser tabs and dialog boxes may appear in the result. Close or move anything private before capturing.

Take a screenshot of PowerPoint on Windows
Windows 10 and Windows 11: Snipping Tool
- Bring the PowerPoint window or slide show to the exact state you want to record.
- Press Windows logo key + Shift + S.
- Choose a mode from the capture overlay: rectangular, window, full-screen or freeform.
- For a rectangular or freeform capture, drag around the slide or region. For window capture, select the PowerPoint window.
- The result is copied to Snipping Tool for editing and saving. Select the notification or open Snipping Tool, then press Ctrl + S to save it.
Use window capture when you want the PowerPoint frame without surrounding applications. Use full-screen capture when a presentation spans the entire display or when you intentionally need the desktop context.
Keyboard alternatives
- Print Screen copies a full-screen snapshot to the clipboard.
- Alt + Print Screen copies the active window, which is useful when PowerPoint is the only window you want.
After either shortcut, paste with Ctrl + V into an image editor, document or slide, then save from that application. Clipboard behavior can vary with Windows settings and hardware, so Snipping Tool is the more controllable route when you need a file immediately.
Take a screenshot of PowerPoint on a Mac
macOS provides three documented combinations:
- Shift + Command + 3 captures the entire screen.
- Shift + Command + 4 changes the pointer to a crosshair so you can drag over an area.
- Press Shift + Command + 4, then press Space, to capture a window or menu. Click the target window.
macOS saves the capture as a file according to your screenshot settings, commonly on the desktop. Open it to annotate or edit, then insert it into PowerPoint with Insert > Pictures. If you need only slide artwork, export the slide instead of capturing the screen.

Save one slide or every slide as image files
Windows: Save As or Save a Copy
- In the thumbnail pane, select the slide you want, or leave the presentation ready to export all slides.
- Choose File > Save As. If the presentation is stored on OneDrive or SharePoint, the command may be File > Save a Copy.
- Choose an available image type. Microsoft lists JPEG, PNG, GIF and SVG for this Windows workflow.
- Choose a destination and save.
- When PowerPoint asks whether to export the selected slide or the whole presentation, choose Just This One or All Slides.
With All Slides, PowerPoint creates separate image files rather than one multi-page image. File names and the destination folder depend on your choices.
Mac: Export
- Open the presentation in Normal view and select the slide.
- Choose File > Export.
- Select an available image format. Microsoft lists JPEG, TIFF, PNG and BMP for this Mac workflow.
- Choose Save Current Slide Only when you need one slide. If your version offers width and height fields, set the required dimensions before exporting.
- Click Export and verify the resulting file.
PowerPoint’s available formats and menu labels differ between the Windows and Mac workflows and can vary by version. Use the choices actually displayed by your installation rather than assuming every format is available.
Get a cleaner, sharper result
Prepare the slide
- Switch to the intended view: Normal view for editing content, Slide Show or Presenter View for a presentation-state capture.
- Hide selection handles, guides, comments and speaker notes before using a screen capture.
- Close notifications and unrelated windows. Check the capture for confidential names, messages or browser data.
- For a screen capture, maximize PowerPoint and set display scaling so the slide fills as much of the capture area as practical.
Choose the right format
PNG preserves text edges and transparent areas well. JPEG can produce smaller files for photographic slides but may show compression around fine text. SVG, when offered and appropriate for your destination, keeps vector artwork scalable. TIFF and BMP may be useful in workflows that specifically require them. The correct choice depends on where the image will be used; no single format is best for every destination.

Check dimensions and aspect ratio
Do not stretch a 16:9 slide into a 4:3 frame. Crop only after deciding whether the destination requires the full slide. If a slide contains small text, export it rather than taking a low-resolution screen clipping.
When each method is the wrong choice
- Insert > Screenshot is not a slide-export tool. It records an open window or screen area and may include chrome that you do not want.
- Operating-system capture records pixels, not the underlying PowerPoint objects. Text may become difficult to read if the display is scaled down.
- Save As or Export does not show menus, cursor position, presenter controls or other desktop context. Use it when the slide image itself is the requirement.
Troubleshooting
The window is missing from Available Windows
Restore the window if it is minimized, then activate it and return to PowerPoint. Minimized windows are excluded from the gallery. If the application is on another virtual desktop or display, move to that desktop and try again.

PowerPoint uses the first window shown for Screen Clipping. Activate the intended window before choosing the command, then drag the selection again.

The screenshot is blank or shows a black video area
Protected video and hardware-accelerated content may deliberately prevent pixel capture. Capture the surrounding interface, use a still image supplied by the content owner, or export the slide when the content is part of your own presentation.
The exported image looks soft
Export rather than photographing the screen, avoid enlarging a small file, and set the export dimensions offered by your Mac version when available. For a screen capture, maximize PowerPoint and capture the window instead of a small region.
Only one slide was saved
Repeat the export and choose All Slides when PowerPoint presents the choice. On Mac, the documented Export workflow includes Save Current Slide Only; clear that choice or use the all-slide option your version provides if available.

A shortcut does nothing
Make sure PowerPoint or the desktop has keyboard focus, and check whether a laptop requires the Fn key for Print Screen. On macOS, confirm that screenshot permissions and keyboard shortcuts have not been changed in System Settings.

FAQ
Can I capture a slide without showing the PowerPoint interface?
Yes. Export the slide as an image, or use PowerPoint’s slide-show view and capture only the slide area. Export is generally better when you need reusable slide artwork.
Does PowerPoint export all slides into one image?
PowerPoint’s all-slide option creates separate image files for the slides. It does not create one tall image containing the entire deck.
Which shortcut captures only the active window on Windows?
Alt + Print Screen copies the active window to the clipboard. Snipping Tool’s window mode lets you select the window and save the result.
