This guide explains what every shortcut does, where the result goes, how to work without a Print Screen key, and how to capture a webpage without configuring a browser.
Choose the shortcut that matches the result you need

On some Windows installations, the Print Screen key is configured to open screen snipping instead of copying the entire display. If your result differs from the table, use Windows logo key + Shift + S, which explicitly opens the Snipping Tool overlay.
Take a selected-area screenshot
Use the Snipping Tool overlay
- Press Windows logo key + Shift + S.
- When the screen dims, choose the capture mode from the toolbar: rectangular selection, freeform selection, window, or full screen (the available icons can vary by Windows version).
- Drag around the content you need, or select a window or the whole display.
- Click the notification that appears to open the capture in Snipping Tool, if you want to mark it up or inspect it.
- Press Ctrl + C to copy the snip, or Ctrl + S to save it as an image file.
A selection capture is usually best for error messages, one application window, or a small UI detail because it avoids revealing unrelated desktop content.

Paste a snip into another app
After selecting an area, open Word, Paint, an email, chat, or another image-capable app and press Ctrl + V. Clipboard captures are temporary: if you copy something else before pasting, the screenshot can be replaced.
Capture the whole screen to the clipboard
- Locate the key normally in the keyboard’s upper-right area. It may read PrtSc, PrtScn, or Print Scrn.
- Press Print Screen once.
- Open Paint, a document, message, or editor.
- Press Ctrl + V to paste the full-screen image.
This method does not automatically create a file. Save the pasted image from the application you used, choosing its format and destination.
Save a full-screen screenshot directly to Pictures
- Press Windows logo key + Print Screen.
- The display may briefly dim.
- Open File Explorer and browse to PicturesScreenshots (inside your user profile).
- Open, rename, move, or share the resulting image as needed.
If nothing appears, check that you pressed the Windows key and Print Screen together, rather than Print Screen alone, and confirm you are looking in the current Windows account’s Pictures folder.
Use a laptop or keyboard without a visible PrtScn key
Try the documented Windows fallback
Microsoft documents Fn + Windows logo key + Space Bar for hardware without a Print Screen button. Laptop manufacturers can assign different functions to Fn combinations, so test the shortcut and check whether a snip overlay, clipboard content, or a saved file appears.

Look for a shared or abbreviated key
- Read the small secondary labels on the top row, especially keys that also control brightness or media.
- Hold Fn while pressing a key labeled PrtSc, Insert, Home, or another key specified by the keyboard maker.
- If the keyboard has a function-lock key (often Fn Lock), toggle it and try again.
When hardware shortcuts remain unclear, Windows logo key + Shift + S avoids dependence on a physical Print Screen label.
Capture a Chromebook with an external PC keyboard
Chromebooks use different shortcuts. If an external keyboard lacks the Show windows key, Google documents Ctrl + Shift + F5. Do not assume Windows logo key combinations will behave the same way in ChromeOS. The exact save location and notification depend on Chromebook settings.
What gets captured, and what does not
Multiple monitors
A full-screen shortcut can include the complete desktop arrangement, while a selection lets you isolate one monitor or window. If the result is wider than expected, use Windows logo key + Shift + S and select only the display or application you intend to share.
Menus, tooltips, and timing
Opening the overlay can close a transient menu or tooltip. For a menu that disappears, prepare the interface first, then use a delayed snip if your Snipping Tool version offers a delay. Alternatively, capture the whole screen and crop it afterward.

Protected or blank content
Some video players, secure desktops, remote sessions, and hardware-accelerated surfaces can appear black or refuse capture. This is an application or security restriction, not a different keyboard command. Try capturing the surrounding window, using the application’s own export feature, or taking the screenshot on the local machine rather than through a restricted remote layer.
Annotate, crop, and share safely
- Open the notification after a snip to draw, highlight, crop, or erase before saving.
- Check the image for passwords, personal notifications, customer data, browser tabs, and other screens before sending it.
- Use descriptive filenames and a known folder when screenshots are part of a support ticket or bug report.
- For a clipboard capture, paste into an editor immediately so another copy operation cannot replace it.
Troubleshoot a screenshot that did not work
Nothing happens when you press Print Screen
Try Windows logo key + Shift + S. If that works, Windows may have mapped Print Screen to another action, or the keyboard requires Fn. Check the key’s secondary label and test Fn + Print Screen.
The screenshot is not in PicturesScreenshots
Print Screen alone only copies to the clipboard. Use Windows logo key + Print Screen for automatic saving, then check the Pictures folder for the Windows account that performed the capture.
The pasted image is old or missing
Repeat the capture and paste immediately with Ctrl + V. Clipboard contents can be overwritten by copied text or another image. If you need a permanent result, use Ctrl + S in Snipping Tool or the automatic-save shortcut.

The wrong monitor or window was captured
Use Windows logo key + Shift + S and choose a rectangular or window selection. Drag precisely around the intended display instead of relying on a full-screen capture.
The Fn combination changes volume or brightness
That indicates a manufacturer-specific keyboard layout. Try Fn Lock, inspect the printed secondary symbols, or use the Snipping Tool shortcut, which does not require a Print Screen key.
The overlay does not open
Press the Windows key by itself to verify it responds, then retry the combination slowly. A remapped Windows key, gaming-mode lock, policy restriction, or keyboard driver problem can intercept the shortcut. An on-screen keyboard can help determine whether the physical key is failing.
