The reliable fix is to treat calendar scheduling as a controlled transaction, not a single create command. Give the assistant visibility into every relevant calendar, normalize time zones and event identities, check participants and resources before booking, and make the create request idempotent. Use the same deterministic Google event ID or Microsoft Graph transactionId on every retry, read back after timeouts before creating anything else, and ask for confirmation when the request is ambiguous.

Conflict and duplicate are different failures

A conflict means two commitments overlap. The assistant may have created both events correctly from an API perspective, but it failed to recognize that a person, room, device, or other resource was already occupied.

A duplicate means the same intended meeting was created more than once. It often appears after a network timeout: the calendar service accepts the first request, the response is lost, and the assistant retries as if nothing happened. A second create call then produces another event.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

These failures require different controls. Availability checks prevent conflicts before creation. Idempotent creation prevents duplicates when a request is repeated. A production assistant needs both.

Use a scheduling pipeline instead of a blind create call

Put every booking through the same sequence:

  1. Interpret: extract the requested date, time, duration, time zone, attendees, organizer, conferencing details, and any external appointment ID.
  2. Resolve identity: determine which calendar, participant, room, equipment, or service account each name refers to.
  3. Read availability: query every calendar that can contain a commitment, including delegated, shared, work, and personal calendars where policy permits.
  4. Normalize: convert times to a common representation while retaining the original time-zone rules, and compare recurring occurrences, all-day events, attendees, and resources consistently.
  5. Check for an existing booking: search by your deterministic event key before attempting a create.
  6. Confirm when necessary: pause for user confirmation if time, duration, attendee identity, or event identity is unclear.
  7. Create or update idempotently: send the same provider-specific idempotency value for the same logical appointment.
  8. Reconcile: after a timeout or uncertain response, read the calendar and match the result before retrying.
  9. Log: retain the originating request, calendars examined, event key, provider event ID, and final operation result.

This ordering matters. Checking availability after creation is too late, and generating a new event ID for each retry defeats duplicate protection.

Give the assistant complete, policy-approved calendar visibility

An assistant cannot detect an overlap it cannot see. Grant read access, subject to your organization’s privacy rules, to every calendar that may contain a real commitment:

  • The user’s primary work calendar and any secondary work calendars.
  • Delegated or shared calendars used by an executive, team, or department.
  • Personal calendars when the user has authorized them and policy allows cross-account access.
  • Room, equipment, vehicle, on-call, or other resource calendars.
  • Calendars belonging to external participants when a free/busy mechanism exposes their availability.

Record which calendars were actually checked. If a permission error, expired token, or unavailable service prevents a check, do not silently report that the time is free. Mark the result as incomplete and ask for a decision or offer times that can be verified.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft describes its scheduling assistants as automatically detecting overlapping events and suggesting alternatives based on participant availability, time zones, and existing commitments. That behavior depends on the assistant receiving the underlying availability data; it is not a substitute for permissions and error handling in your integration.

Normalize time and event data before comparing it

Most false “free” results come from comparing unlike representations. Normalize each candidate and existing event into a structure that includes an absolute start and end instant, the source time zone, recurrence identity, attendees, and resources.

Data to normalize What to do Why it prevents errors
Time zones Convert instants to a common comparison form, but preserve the named zone and daylight-saving rules for display and future recurrence calculations. 09:00 in one zone is not 09:00 everywhere; daylight-saving changes can shift recurring meetings.
All-day events Represent the calendar’s date-span semantics explicitly rather than treating an all-day date as a midnight-to-midnight local event. An all-day hold can otherwise be missed or incorrectly treated as a short overnight interval.
Recurring series Store the series identifier, recurrence rule, and occurrence identifier. Two occurrences can share a title while belonging to different series or dates.
Attendees Resolve aliases to stable participant identities and compare required attendees separately from optional ones. Name matching alone can confuse two people or overlook a required participant.
Resources Resolve rooms and equipment to their calendar IDs and apply their booking rules. A meeting may be conflict-free for people but impossible because the room is already reserved.

Use half-open intervals for overlap calculations: an event occupies time from its start up to, but not including, its end. Two meetings where one ends exactly when another begins do not overlap under that convention. Apply the same rule everywhere so the assistant does not disagree with the calendar provider.

Detect conflicts before creation

For each proposed event, query availability for the organizer, every required attendee, and every required resource over the full interval. Treat an event as blocking when the provider marks it busy, even if its private details are hidden. If the provider exposes tentative or out-of-office states, apply the policy you have chosen rather than silently converting them to free.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When a conflict exists, return alternatives generated from the same constraints: the requested duration, working hours, time zones, attendee set, and resource requirements. Explain which constraint caused the rejection. A useful response is “The organizer is busy from 14:00–14:30 UTC; two required attendees are free at 15:00 UTC,” not a generic “No availability.”

Do not rely on the event title to identify an overlap. Titles can differ because of localization, edits, or user-entered wording. Compare normalized intervals and stable participant and resource identities.

Make creation idempotent so retries cannot create a second event

Idempotency means that repeating the same logical request has the same effect as sending it once. The assistant must derive one stable key from the originating appointment, then reuse that key for every retry and reconciliation.

Google Calendar event IDs

Google’s developer guidance says that supplying your own event ID prevents duplicate event creation when an operation fails after it has successfully executed in the Calendar backend. The event reference requires IDs to be unique within a calendar and recommends an established UUID algorithm because globally distributed systems cannot guarantee collision detection at creation time.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Generate the ID once, before the first create attempt. Persist it with the source request and target calendar. A retry for that same request must send the identical ID; generating a fresh random ID on each attempt removes the protection. If the provider reports that the ID already exists, fetch the event and compare its normalized fields before deciding whether to update, accept it as complete, or raise a collision.

Microsoft Graph transactionId

For Microsoft Graph event creation, set transactionId to a stable client-generated value. Microsoft defines it as a custom identifier that lets the server avoid redundant POST operations when a client retries creation of the same event. Keep the value unchanged for the lifetime of that logical appointment, including retries caused by timeouts or process restarts.

Design a deterministic key

Key component Example treatment Do not do this
Origin Use the source system and appointment record ID. Use only the meeting title.
Target Include the destination calendar ID. Assume an ID is unique across every calendar.
Occurrence Include a stable occurrence identifier for a recurring meeting. Use the series title and date as the only identity.
Version Keep a create key stable; use a separate revision for deliberate updates. Change the create key whenever a user edits the subject.

Hashing a canonical representation of these fields can produce a compact key, but the source appointment ID is preferable when one exists. Store the mapping so support staff can trace an external request to the provider event.

Retry safely after timeouts and partial failures

A timeout tells you that the client did not receive a response, not that the server did nothing. Use this recovery sequence:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Mark the operation as uncertain rather than failed.
  2. Wait briefly according to the provider’s normal consistency behavior; do not immediately issue a second create with a new identity.
  3. Read the target calendar and search by the deterministic event ID or transaction identifier.
  4. If exactly one matching event exists, compare its time, attendees, resources, and metadata with the requested appointment.
  5. If it matches, record success and return that event to the caller.
  6. If it differs, stop automatic updates and surface a collision for review; do not overwrite a user’s event merely because the key matches unexpectedly.
  7. If no match exists, retry the create with the same idempotency value.
  8. After the retry, read back the resulting event and persist its provider ID and operation result.

Apply bounded retries with backoff and a visible failure state. An endless retry loop can keep a degraded provider under load and make diagnosis harder.

Require confirmation when natural language is ambiguous

Natural-language requests often omit information that an API requires. Ask before booking when any of these are unresolved:

  • The date or time could refer to more than one time zone.
  • The duration is missing or conflicts with a known default.
  • A person’s name maps to multiple contacts or accounts.
  • “Move,” “add,” or “schedule again” does not identify whether the user wants an update, a new occurrence, or a separate meeting.
  • The request could match an existing appointment but does not say whether to reuse it.
  • A required room, conferencing service, or attendee is unavailable.

Show the interpreted details in the confirmation: date, local time and zone, duration, attendees, resource, and whether an existing event will be updated. Microsoft Research’s Scheduler work describes an assistant that finds times when everyone is available, sends invitations, and can reschedule or cancel meetings it booked. Those actions should still be gated by clear identity and authorization rules in your implementation.

Handle recurring events by series and occurrence identity

Recurring events are not interchangeable copies. Google documents that a recurring event contains a series rule, while individual occurrences have different event IDs and retain a relationship to the recurring event. Your duplicate check must therefore distinguish:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • The recurring series itself.
  • The specific occurrence date and identifier.
  • An exception that changes one occurrence.
  • A completely separate meeting that happens to share the same title and time.

When a user says “book the next weekly check-in,” resolve the series and the intended occurrence before creating anything. When a single occurrence is moved, preserve its occurrence identity and mark it as an exception according to the provider’s model. Matching only on title, organizer, or weekday can create false duplicates or modify the wrong meeting.

Design for cross-platform visibility and privacy limits

Google Calendar interoperability with Exchange can expose availability across systems, but private-event details are hidden across systems. An assistant may know that a period is busy without knowing whether two entries represent the same meeting. Treat that uncertainty explicitly:

  • Use free/busy data to block time even when the subject and attendee list are unavailable.
  • Do not infer event identity from opaque or redacted details.
  • Ask the user before merging two busy periods that cannot be proven to be the same appointment.
  • Keep permissions scoped to the minimum calendars and fields needed for scheduling.
  • Document which system is authoritative when two platforms show different details.

Cross-platform synchronization can also introduce propagation delays. After creating or updating an event, read from the system that owns the booking before assuming another connected calendar has caught up.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Log enough information to explain every duplicate

For each scheduling attempt, record an audit entry containing:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • The original user or external request ID and a redacted request payload.
  • The assistant’s interpreted time, time zone, duration, attendees, and resources.
  • Every calendar queried and whether the read succeeded.
  • The deterministic event key, provider event ID, and recurring-series or occurrence ID when applicable.
  • The create, update, read-back, and retry results, including timeout or permission errors.
  • The confirmation decision and the identity of the actor who authorized a booking.

Protect logs as calendar data. Avoid storing private subjects or attendee details when a stable ID and status are sufficient, and define retention and access rules before enabling verbose diagnostics.

Reference implementation logic

The following provider-neutral logic captures the required control flow:

request = interpret(user_message)
validated = resolve_people_resources_and_timezone(request)
key = stable_key(source_system, source_id, target_calendar, occurrence_id)

existing = find_by_provider_key(target_calendar, key)
if existing:
    return reconcile(existing, validated)

availability = read_all_relevant_calendars(validated.interval)
if availability.incomplete:
    return ask_for_permission_or_confirmation()
if availability.conflicts:
    return propose_alternatives(availability)
if validated.is_ambiguous:
    return request_confirmation(validated)

result = create_with_same_key_on_every_retry(validated, key)
return read_back_and_log(result, key)

The provider adapter should map key to Google’s caller-supplied event ID or Microsoft Graph’s transactionId. Keep the rest of the decision logic independent of either provider so a migration does not change safety behavior.

Test the failure modes before enabling automatic booking

  • Send the same request twice concurrently and verify that one logical event results.
  • Drop the network response after the server accepts a create, then retry with the same key.
  • Retry with a different key and verify that the system rejects or flags the operation rather than silently duplicating it.
  • Schedule across a daylight-saving transition and check both display and overlap calculations.
  • Use an all-day event, a tentative event, and a private event in each relevant calendar.
  • Book a recurring occurrence, edit one occurrence, and request the series again.
  • Revoke one calendar permission and confirm that the assistant reports incomplete visibility.
  • Create competing requests for the same room and attendee at nearly the same time.
  • Return a provider error after creation and verify read-back reconciliation.

Inspect both the calendar and the audit log after each test. A green API response alone does not prove that the correct event exists exactly once.

How to compare calendar assistants and integrations

When selecting an assistant or building an integration, evaluate these capabilities separately:

Capability Questions to ask
Conflict detection Does it check every participant, time zone, working-hours rule, and resource calendar before creation?
Retry duplicate prevention Can the client supply and reuse an event ID or transaction identifier, and does it reconcile uncertain responses?
Recurring-event handling Does it preserve series and occurrence identity, including exceptions?
Cross-platform visibility Which calendars and free/busy states are visible across Google, Exchange, delegated, and shared accounts?
Confirmation controls Can you require approval for ambiguous times, attendees, edits, cancellations, and new invitations?
Auditability Are source requests, provider IDs, retries, permissions, and final outcomes traceable?
Privacy behavior Does it respect private-event redaction and least-privilege access instead of guessing from hidden details?

Quick troubleshooting guide

Two events appear after a timeout

Find both records by source ID, provider ID, and creation time. Keep the event whose deterministic key matches the original request, then remove the unintended copy only after confirming it is not a legitimate user edit. Fix the retry path so it reads back and reuses the original key.

The assistant says a busy time is free

Check whether the blocking calendar was included, whether its permission token was valid, and whether the time zones and all-day semantics were normalized. A permission failure should be visible in the operation result, not converted to “free.”

The assistant keeps creating a new event for an existing meeting

Verify that the lookup uses a stable source ID, provider event ID, or occurrence identity rather than a title search. Ensure updates retain the create key and that recurring occurrences are matched separately from their series.

Cross-platform calendars disagree

Determine which system is authoritative, compare synchronization timestamps, and use free/busy as a blocking signal when private details are unavailable. Do not merge records that cannot be proven to represent the same appointment.

Operational checklist

  • All calendars that can contain commitments are authorized and monitored for read failures.
  • Time zones, all-day events, recurrence, attendees, and resources are normalized before comparison.
  • Every logical appointment has one deterministic identity.
  • Google retries reuse the same event ID; Microsoft Graph retries reuse the same transactionId.
  • Timeouts trigger read-back reconciliation before another create.
  • Ambiguous requests require confirmation with the interpreted details shown.
  • Recurring series and occurrences are matched by their provider relationships.
  • Private and cross-platform data limitations are treated as uncertainty, not as permission to guess.
  • Logs connect the source request to calendar IDs, event IDs, operation results, and authorization.
  • Concurrency, permission loss, daylight-saving changes, and partial failures have been tested.
