To sort or filter data in Google Sheets, select the full range of related cells and use Data menu options. You do not need to convert the range into a Sheets table first. For a shared spreadsheet, use a standard filter if everyone should see the same applied filter, or a filter view if people need separate views.
Sort a range without separating related data
When each row represents one record—such as a person, order, or task—select the complete data range before sorting. Sorting only one column can separate its values from the rest of their row. Google’s sort and filter instructions recommend freezing the first row when the range has headers.
- Highlight the full range you want to sort, including all columns that belong to each record.
- Choose Data > Sort range > Advanced range sorting options.
- If the first row contains column names, select Data has header row.
- Choose the column and order for the first sort, then click Add another sort column to set tie-breakers. Click Sort.
For example, sorting first by department and then by last name groups departments while ordering names within each group. Each later sort key applies when earlier keys have equal values.
Sort an entire sheet by one column
To sort all rows in the sheet by a column, right-click that column’s letter and choose Sort sheet A to Z or Sort sheet Z to A. Use this sheet-level command when the whole sheet should be reordered, rather than sorting a selected subset.

Sort by color
To sort by text or fill color, first create a filter for the range. Open the filter control and choose Sort by color. Google documents this for conditional-formatting colors, but not alternating colors.
Filter a column in Google Sheets
A filter narrows what is displayed by hiding rows that do not match; it does not create a separately sorted result. Select the range, then choose Data > Create a filter. Alternatively, right-click a cell or range and select Create a filter.

- Open the filter control in the header area of the column you want to filter.
- Choose a condition, check or clear specific values, search for values, or use the color options.
- To remove the filter, choose Data > Remove filter, or right-click and select Remove filter.
A standard filter is visible to everyone with access to the spreadsheet, and anyone with edit permission can change or remove it. Google notes that filter settings persist even if the filtered data is removed; remove the filter to reset its settings.
If Create a filter is unavailable
Google identifies several possible causes: merged cells, hidden rows or columns, conditional-formatting rules, data-validation rules, or insufficient access. Check those conditions and your permissions before trying again.

Use a filter view to avoid changing what others see
Choose Data > Create filter view when collaborators need different ways to inspect the same sheet. Sort or filter within the view, then save it if you have edit access. Saved views can be named and shared, and different people can use different views at the same time. Only one filter view can be applied at a time.
A user with view-only access can create a temporary filter view, but cannot save it. For more on the distinction between standard filters and views, see Google’s guidance on filters and filter views.

Choose the right sorting or filtering method

Create a sorted or filtered result with a formula
Menu sorting changes the order of the selected data. A formula is useful when you want an ordered result rather than directly rearranging the source range. Google documents the syntax as SORT(range, sort_column, is_ascending, [sort_column2, is_ascending2, ...]). The sort column can be an index within the range or a single-column range with the same row count; use TRUE for ascending order and FALSE for descending order. Optional column-and-order pairs add further sort keys.
For example, =SORT(A2:B26, 1, TRUE) returns the range ordered ascending by its first column. Google describes FILTER as returning a filtered version of a source range, with rows or columns that meet the supplied conditions. Sorting a filtered range does not change a formula reference such as =B2 when B2 is within that range, according to Google’s sort and filter help.
Do you need to turn the range into a table?
No. A regular selected range can be sorted and filtered directly using the steps above. Google’s table documentation describes tables as a way to add structure to a data range, including column types and table-level actions. Tables also support filter views with their own sorting and filtering configurations, but they are not a prerequisite for the standard range workflow.
